INTRODUCTION

This proposal was requested by the operations manager of Castle’s Family Restaurant, Jay Morgan, who is also the HR manager. The purpose of this proposal is to identify ways he can complete HR tasks cost effectively as well as eliminating the need to travel to each location to complete his HR tasks. Mr. Morgan is seeking for ideas to save time and money which will allow him more time to focus on other business functions.

In an effort to assist Mr. Morgan, I will begin by completing a business assessment to get an understanding of the business and identify any problems that may have a need for improvement. The proposal will then include an HRIS needs assessment which will provide how the business can benefit. The conclusion will then be a summary of all of the points discussed in the proposal.

BUSINESS ASSESSMENT

Castle’s Family Restaurant is located in Northern California and consists of eight restaurants with 300- 340 employees. At Castle’s, only 40% of its employees are full time which most likely adds additional HR tasks since the majority of employees are part-time. The operations manager, Mr. Morgan, oversees the overall process of the restaurant on a daily basis. His main focus should be on the day-to-day activities; however, he is also the HR manager and handles human resource tasks, such as recruiting, scheduling, hiring, payroll, and responding to employees with HR questions. The operations manager travels to each location to handle HR tasks when he should be focused on the daily operations. Mr. Morgan has revealed that he uses an excel spreadsheet to handle payroll and prints payroll checks using a computer application.

IDENTIFIED PROBLEMS

The following problems have been identified:

· Castle’s operations manager, Jay Morgan, also has the addition responsibilities of an HR as he is the only manager.

· Only 40% of Castle’s employees are full-time.

· Payroll is completed by the operations manager with use of an Excel spreadsheet.

· Paychecks are printed by the operations manager using a computer application.

· The operations manager spends a lot of time traveling to each location just to complete an HR task.

The HR function of Payroll will be analyzed since it appears Mr. Morgan does not have the automation in place to efficiently and remotely handle the payroll and all eight restaurants. This function is a priority as there is a need for time and cost savings. The resource-based view theory (Kavanagh, 2012, p 293) would be relevant in this situation as Castle’s does not have the automation in place that would reduce Mr. Morgan’s travel time, as well as provide the cost-effective outcome he desires. This appears to be a resource that would help Mr. Morgan reach his goals.

HRIS NEEDS ASSESSMENT

In today’s world, automation is everywhere and it allows both managers and employees to efficiently complete tasks. The use of technology can save a business money, and in this particular case will solve many of Mr. Morgan’s dilemmas. HRIS will make it possible to remotely handle scheduling, recruiting, and most importantly handle payroll in a more efficient manner. Mr. Morgan will not have to travel to each location just to complete the payroll, and he will no longer have to print all of the paychecks himself.

As a matter of fact, Mr. Morgan may want to also consider expanding the automation to Employee Self-Service, or ESS, (Kavanagh, 2012, p. 295). This will enable employees to view paychecks online and eliminate the need to print the paychecks. This self-service portal can also offer other options for employees regarding choosing benefits, updating tax exemptions, and a plethora of other tasks. An ESS would save the company time and money as they can focus on the many other tasks at hand as employees can complete simple tasks on their own.

CONCLUSION

Mr. Morgan has reached out to obtain suggestions to make his processes more efficient and cost effective. A few areas for improvement have been identified, however, it appears by first concentrating on improving the automation within the company, Mr. Morgan will find that he can complete most tasks remotely, diminishing the need to constantly travel and reduce his travel expenses. It will be suggested that the HR functions become automated, using an HRIS, as well as providing an employee portal where the employees can view their paychecks, which Mr. Morgan currently prints for them.

The use of an HRIS will increase the effectiveness of Mr. Morgan’s day to day operations as he can focus more on those tasks since the automation will simplify his HR duties. No longer will he waste valuable time traveling when he can perform many of the HR tasks remotely, even from home. His time will be well spent on the operations of the business, which will be beneficial to the company.
