HFT 3754 – Professor Patti Shock
An RFP is a Request for Proposal. An RFP is a document you send to venues you are considering to hold your event. Venues that are interested in your event will respond with a proposal. You then select the site that best matches your needs. Include event details, including pictures. Who, what, why, where, when and how. Include previous 3 years of history, event title, SMART objectives, event size, time of year, demographics on attendees, etc. See attachment titled: RFP TEMPLATE 3754, for the template you are to follow. Do not write in a narrative paragraph format. List items instead. It is easier for a venue to locate the info they need in a list format.
Remember - this is for a special event, not a convention, meeting, exposition/tradeshow or a wedding. (There are separate classes for these type of events). Your event must be more than just a banquet. If you are just doing a banquet it would have to be at this level: http://www.vimeo.com/95823098
A special event would be a concert, fair, festival, etc. Some examples for this class would be a Food and Wine Festival, a Renaissance Fair, an Art Fair, a Music Festival, a Concert, a Fun Run, a Fashion Show, etc.
Your event would need to include specific space needs (in square feet) for decor, entertainment, costuming, audio-visual, lighting, staging, food & beverage, activities, vendors, etc.
Your event should be for between 500 and 10,000 attendees.

50 points. You can submit this assignment late for a 10 percent per week penalty.
Purpose: to encourage students to focus on the elements of the event.
