Functional Requirements

1) Data Accessibility

1.1 System will publicly available via a searchable website.

1.2 Patient vaccination record can be downloaded in pdf format and can be seen using his/her personal information by the patient.

1.3 Vaccine providers will have permissions to create and update vaccination record.

1.4 There will be a link for other entities who want to validate person vaccination status.

2) User Accounts

2.1 User accounts for providers will be username and password protected.

2.2 All user accounts will be tied to hospitals or provider facilities.

3) Report Generation

3.1 Providers and authorized personals will have ability to generate report state, province and facility wise.

3.2 Reports can also be generated based on vaccine type eg. Single/double dose or manufacturer.

3.3 There should be graphical representation of data.

4) Digital ID Data Requirement

4.1 Digital will contain following fields:

4.1.1 Patient Last and First Name and Date of birth.

4.1.2 Vaccine manufacturer information

4.1.3 Vial number and dates of administration.

4.1.4 Zip code and phone number or email.

4.2 In addition to digital pdf and paper copy, patient will also be getting QR code image.

4.3 Each digital id will have a unique id which can be in format of “state two letter abbreviation and a unique system generated string (combination of letter and numbers)”.

5) Digital id search and validation

5.1 Entities who want to validate customer vaccination status will scan QR image and get that information.

5.2 Entities will also have secure portal where they can enter unique ID provided by customer to validate information.

5.3 Patients will also have option to download digital by entering his personal details.

Non-Functional Requirement

1) Accuracy and Validity

The system will employ numerous data quality assurance techniques, including but not limited to

1.1 Input Masks.

1.2 Drop down lists with standard response.

1.3 Basic data logic warning.

1.4 Form completeness requirement.

2) Capacity and uptime requirement

2.1 Provider system should be available during business hours every day. Validation system should be available 24 hours every day.

2.2 Data will become available for use immediately.

2.3 System will be able to take load of 10k concurrent users.

2.4 System will be expanded vertically or horizontally to take additional loads.

3) Security

3.1 Patient information will be secured will follow the federal/state guidelines.

3.2 The software must be available and behave reliably even under DOS attacks.

3.3 Each unsuccessful attempt will be stored for audit.

4) Operational

4.1 System can run on any web browser and on mobile app.

4.2 Interaction with the system should be easy to learn and operate.

4.3 Real time database backups are desirable.

4.4 System will also provide API to providers for nightly batch updates.

4.5 Providers can request service accounts for batch processing or for integration with their system.

5) Performance

5.1 Database queries for update and select should in acceptable level.

5.2 Batch process should run only at night time and should not take more than 1 hour.

6) Cultural and Political

6.2 No special cultural and political requirement.

Requirement gathering techniques

Following requirement gathering techniques are followed for this project.

1. Document Analysis

Document analysis technique will analyze the system as is. Current state analysis can focus on an entire business organization or on one or more specific processes within a department or team. The as-is phase outlines the current state of your processes and any gaps or issues with the current mode of operation. Once Project team have that mapped out, they can enter the to-be phase of process management. First project team collected the existing data ( e.g. paper vaccination card ) and system documentation for data models and process from individual providers as they store the data for patient and administer vaccines. It provided detailed information about data which the new system will process to system analyst.

2. Interviews

Interviews of stakeholders and users are critical to creating the great software. Without understanding the goals and expectations of the users and stakeholders, we are very unlikely to satisfy them. We also have to recognize the perspective of each interviewee, so that, we can properly weigh and address their inputs. Listening is the skill that helps a great analyst to get more value from an interview than an average analyst.

System analyst for this project interviewed staff of a high-volume facility and a low volume facility to understand how the current paper card-based system works. He asked whether they had any ideas for the new system, as well as whether there were any integration issues that would need to be addressed. Next, he interviewed an organization who are interested to validate vaccination status of their employees. He got expectation for validation from an external user perspective. Lastly, he interviewed few selected patients to explore the issue with the paper-based card.

Findings in Requirement Gathering process

Problem - All patients get a generic paper card which doesn’t have any serial number and easily be forged. Some of the companies require proof of vaccination for all their employees so that they can assess the pandemic situation and safely reopen office. There are certain other entities to who want to limit the human interactions and provide access to their facility only for the vaccinated people to minimize the pandemic impact. There are systems that provides digital id however there is no central system that tracks vaccination data for all people.

Objective – The objective of the proposed system is to provide and central system which will be available over the internet. This system will safely store the patient vaccination record and also provide a separate portal to external entities to validate their someone’s vaccination status.

Significance – Vaccination records provide a history of all the vaccines you or your child received. In case of covid 19, This record may be required for certain jobs, travel abroad, or school registration. It might be complex situation if someone loose his card. A digital id card is safe and convenient way to store in the smart phone and present it wherever it is needed. It will also motivate people to get vaccinated.
