Project Team and Stakeholder Management

Introduction

Trillo Apparel Company is an apparel design and manufacturing company in Mexico. Over the years, the company has expanded its business in four districts: North, South, West and East. The company’s productions have been on increase over the recent month forcing the management to think of an expansion plan. Due to business dynamics in District 4 that seems to outweigh other production stations, the management is determined to move the company to the East as part of the expansion plan. As project manager for the District 4 Warehouse Move project, my first role is to determine the key stakeholders for the project. According to Winch, (2007), project stakeholders are individuals or groups of people with interest in the project development. They may include investors, vendors, external customers, and project teams among others.

Communication between project manager and stakeholder

Communication plan between stakeholders and project manager will play a fundamental role in establishing the project plan, implementation and completion. Communication plan can be categorized into two categories; external and internal communication. Also, the base of communication between the two principles will depend on protocol and communication purpose. A structure communication channel will include formal and informal communication channels such as the use of telephones, email, social media, teleconferencing, and round tables among others. Communication strategy will be determined on the basis of information type, protocol, communication timeframe, communication channels, target audience, feedback/response, information outcome, and interaction level.

Project team selection concerns

The process of forming a project team is not necessary the exercise of choosing members randomly; it is strategic selection methods aimed at forecasting the project objectives and desirable skills and experienced for project implementations. The first concern to consider will be the professional experience with regard to project demand. Team members will expertise skills and knowledge in the various relevant fields for project management and will be selected following the organization selection process. The process involves the normal employee recruitment and selection or contracting policies. The second concern is the project objective. Given the time frame for project completion, I will critically evaluate the desirable human resource capacity required for the completion of the project in provided timeframe. Thirdly, I will intrigue much on each team member’s performance capability and commitment since it will impact project implementation process. Lastly, I will critically evaluate the team’s communication behavior and ascertain their commitment to the decision making process.

Situational factors for project team performance

The project team will be developed strategically to implement the project’s objectives. They must be ready and prepared to undertake personal goals for collective responsibilities. However, due to high risks and uncertainties, certain situational occurrence or incidences may impact the progress of the project. As a project manager, I will establish project risk management team to evaluate possible factors that could lead to project delivery challenges. The role of project team is the development of risk identification mechanisms, risk mitigation, and management plans (Chapman, & Ward, 2003). Other factors that may possibly affect the project’s team performance may include communication problems, compensation challenges or decision-making challenges. For the sake of the project objectives, I will design a communication strategy to enhance quality communication internally and externally. The human resources department will design a short-term compensation plan for the employees based on the organization’s policies. Decision making might be vital for team performance; however, the team leaders and supervisors will take a center stage in decision making on behalf of the all the team members.

Project pitfalls

Any project must encounter pitfalls; altogether, project risks and uncertainties are inevitable. One of the pitfalls I would jealously want to watch out for is the project schedule and project time. Commitment to the project schedule is the most critical test for the success of the project. I would design project development milestones and ensure successful completion of each step in a timely manner. Also, the project objectives are watch-out pitfall since there is high possibility that the team members may lose its focus and dispense their efforts in different objectives.
