Project Proposal: Electronic Self-Service Plan

Summary of the Project

Getting students’ information in one database is no longer a trend but a requirement for learning institutions. The project proposal that I have chosen to work on, is the electronic self-service plan (ESSP). I have seen numerous schools having challenges in identifying students or storing their data. So my proposed project will be to develop an efficient, effective and friendly electronic service that helps capture students’ information as well as help them get services with ease. It is tedious to record students’ information on paper as well as cumbersome to archive students’ information. Retrieval of such information can deem difficult when stored manual in paper records.

Project Goals

Upon the completion and implementation of this project, the following goals will be attained:

· Data will be used proactively to achieve better student outcomes more so in recording, archiving and retrieval of information.

· The ESSP will help create a collaborative planning process with students’ and school staff’s input.

· Create a seamless process that allows school staff to provide quick services to students hence efficiently using time.

Project Objectives

· By the end and implementation of this project, the school is expected to get more output for an hour of work. The ESSP for the students will speed up work or improve its quality.

· The ESSP will enable students to access, and input their profile data. It will make it easier for students to complete their student profile thus enabling the administration to identify and connect students predisposed to risks of interventions. This means that the students’ profiles will be used to provide an at-a-glance view of the student’s needs.

· Upon implementation, the school will use the quantitative and qualitative data thus archived to measure department performance and secure additional resources for students’ needs.

Key Stakeholders and Customers

It is important to note that, some the stakeholders of this project will be the potential and existing students’ whose data entry and profiles will be managed by this system as well as staff and parents or guardians of the students. This project is intended to assist schools in managing their students’ data making the schools key customers for the project.

Milestones for the Delivery of This Project

The ESSP will be completed in 3 phases.

· Visiting potential schools to identify key areas where ESSP can be applied

· Designing and developing the ESSP for schools

· Implementing the ESSP by; training staff, selling and installing in school systems

Project Timeline

Week one:

· Visiting schools

· Drafting report on priority areas for ESSP

Week 2:

· Presenting the report to designers

· Designing and developing the ESSP

Week 3 and 4:

· Training staff, and inducting student-users

· Piloting, selling and installing the ESSP to schools

Project’s Greatest Challenges and Provide Recommendations for Addressing the Challenges

There are two challenges that the project may encounter. One may be the inability to meet deadlines. However, early scheduling will be done to ensure timely delivery. A cost or budgetary constraint is also another challenge. However, we can overcome this by approaching financiers and investors for funding.
