Lucky Me Animal Rescue Adoption
Introduction
Several factors are responsible for influencing the success of a project. The Lucky Me Animal Rescue project is affected by several risks presented in Appendix A attached at the end of this report. This report illustrates the impacts of the risks identified in Appendix A on the project quality. The report also illustrates the tasks and actions taken to mitigate and improve the project's performance during the controlling phase.
Effects of Risks identified in Appendix A to the quality of the project
The identified risks impact the quality of the project in several ways. A scope may cause unproductive and resource-wasting practices while performing the critical project activities. It compromises deadlines and weakens the communication among team members, thus compromising the success of the project (Niemi et al., 2021). Effects of scope creep on the quality of the project can be avoided by ensuring that all parties make written acquisitions for all details required in the project. All accommodated scope creep should be explained to ensure adequate allocation of resources and budgeting for all costs. Communication risks can also compromise the quality of the project. Poor selection of communication tools can pose ineffectiveness and lack of clarity. This leads to deficient performance and throughout the project. This can be mitigated through training team members and coaching them on various aspects of communication.
Poor scheduling can lead to adverse impacts on the quality of the project. This may include inadequate allocation of time to crucial project elements, leading to incomplete tasks and inadequately attended activities (O'Har et al., 2017). Poor schedules may lead to inadequate quality outcomes due to overemphasizing a particular aspect and neglecting others. This can be solved by generating a digital copy of the schedule that effectively plots the entire activities of the project. Detailed planning can be essential in incorporating the scope of the project to foster quality project outcomes. Legal risks affect the quality of the project by compromising the legal viability of the project. This can be solved by introducing legal experts to offer legal advice for the project.
Summary of the Controlling Phase
The controlling phase of the project management is critical to the progress and future of the project. The controlling phase entails monitoring and evaluating the progression of the project (Bukłaha, 2017). This includes making updates to all relevant stakeholders and teams. The phase can effectively manage the project's time, costs, schedule, resources, and quality. Project managers can use the controlling phase to manage time. This includes helping the managers to plan, which can be effective in time management. The planning phase can be used to set clear priorities by making priorities and focusing on one task at a time. Proper time management would lead to effective methods in minimizing interruptions and setting shorter deadlines for the project.
The controlling phase can also be used to manage costs. The lucky Me Animal Adoption event project can utilize scheduling documents, appropriate input, and output documents to plot strategies to control costs. This includes the project business case, the project charter, and the project communication plan (Sharma et al., 2017). These documents effectively manage costs by ensuring project managers stick to the scope and schedule of the project. The controlling phase can be used to plot a better project schedule through appropriate documents, such as using the risk register to control and mitigate risks that may affect the scheduling. Engaging relevant stakeholders in the controlling phase is essential in implementing better schedules. Effective scheduling leads to the efficient allocation of resources and improves the quality of the project.

ID |
Risk Description |
Likelihood of the Risk Occurring |
Impact of the Risk Occurrence |
Mitigating Action / Actions to Mitigate the Risk |
|
1 |
Project purpose and scope is not well defined |
The likelihood of the risk occurring is medium |
The impact of the risk if it occurs is high because it can lead to incomplete and unmet objectives in the project. |
Ensure the project case is completed and provide a fully described project scope by defining all the essential purposes of the project. |
|
2 |
Project design and deliverable definitions are not clear. |
The likelihood of the risk occurring is low. |
The impact of the risk on occurrence is high and may lead to poor allocation of resources. |
Engaging knowledgeable experts would help plot better design. Including workshops to foster the use of inputs will effectively define deliverables. |
|
3 |
Project schedule is unclear. |
The likelihood of the risk occurring is low. |
The impact of the risk on occurrence is medium and may affect allocation of resources, time, and quality of the project. |
Introduce a scheduling workshop with all projects teams to make them understand the plan to reduce the risk of unhandled tasks. |
|
4 |
Lack of control over staff priorities |
The likelihood of the risk occurring is medium. |
The impact of the risk on occurrence is medium. It may affect schedules and impact the segregation of team duties. |
The project manager should brief the team members on the importance of the project. Communicating final booking dates as soon as possible should be conducted. |
|
5 |
Delays from Contractors and other partners |
The likelihood of the risk occurring is low. |
The impact of the risk to the project is high and may cause shortages in supply and affect the operability of the project. This may also affect scheduling. |
Including penalties to all contractors and associated partners. Implementing a protect lead time in the schedule. Check in with partners on a regular manner. |
|
6 |
Estimating and scheduling errors |
The likelihood of the risk occurring is medium. |
The impact of the risk on the project is high and may lead to underperformance in the overall project. Resources allocation may be compromised leading to a inadequate quality project. The time schedules may be compromised due to increased errors. |
Flag forecast errors and/or delays to the Project Board early. Breaking the risks into cost estimation and scheduling errors may be effective in reducing the risks. Tracking and forecasting on costs will help make adjustments. |
|
7 |
Delays legal procedures |
The likelihood of the risk occurring is low. |
The impact of the risk on the project is medium and may lead to compromised contracts delaying legal actions. |
Ensuring that all contracts are appropriately signed. All legal documents must be attended by legal experts. A legal team must be incorporated in the project to ensure legal delays are managed. |
|
8 |
Lack of adequate and proper communication. |
The likelihood of the risk occurring is low. |
The impact of the risk on the project is medium and may compromise most activities including poor updates to stakeholders and other partners which may lead to inadequate quality project outcomes. |
A communication plan should include the frequency, the goal, and the relevant audience. Stakeholders should be identified earlier and ensure that are engaged in all matters of communication. |
|
9 |
Increased pressure to reduce task durations leading to increased risk of errors. |
The likelihood of the risk occurring is low. |
The impact of the risk on the project is medium and may cause challenges in maintaining the project schedule and lowering the quality of the project. |
Sharing the schedule with all project teams and stakeholders would lead to reduction of the risk. Explaining the schedule to the teams would also be effective in generating a better pace to reduce pressures while performing tsks. |
|
