Mission/ Purpose

The Purpose of this charter is to plan a party for Mr. Vandell Bland Jr. to celebrate a milestone. It aims to provide an extravagant gathering, a memorable milestone birthday experience and provide Mr. Bland Jr. with a sense of enjoyment and satisfaction.

SOW

The Statement of work includes a birthday banquet, party site arrangement, decorations, a catering service, a birthday cake, music, photographer, and invitations.

Objectives

The objective of this party project is to plan a memorable birthday experience for Vandell Bland, Jr. by fulfilling his requirements and providing satisfaction. The party is expected to take place on 06/17/19 at the Phillips County Community College Fine Arts Center target of 200 attendees. The birthday party will be be upscale with a classic red carpet theme, which is expected to fall within a budget of $5,000-$10,000.

Business Need

The organization needs to gain popularity and customer loyalty within the community. Monetarily gain will increase in relation to a growing reputation, referrals, experience, and revenue.

Project Manager and Stakeholders

Matishia Bland is the project manager. Project Sponsors are the parents, Mr. and Mrs. Vandell Bland Sr. They are responsible for funding a 18-month Birthday project, setting the budget, time constraints, and the attendees of the 200-person guest list.

Milestones

The preliminary schedule has to be approved by the project sponsors, Mr. and Mrs. Bland Sr. Upon approval, resources will be assigned to carry out the workload. Reserving the banquet hall and fine arts center, date, and time are key milestones for the project. Also, setting theme and décor for the surprise part, reserving a photographer, music, catering, a host as well as party invitations, and thank you notes are included as project milestones.

Budget

The budget is set from 5,000- $10,000. The budget is estimated based on the guest count of 200, banquet hall and fine arts center, décor, caterer, music, and photographer.

User Acceptance Criteria/Quality

Our ability to stay in budget and help Mr. and Mrs. Bland implement and manage all necessary tasks within the scope of this project that are required to host a successful surprise party.

High-Level Project Assumptions

Everyone will provide an error-free service in a timely manner. Projects task will resemble that of a surprise birthday party.

High-Level Project Constraints

The project manager is authorized to decide on allocating resources within a budget constraints, hiring a project team, delegate responsibilities within the framework of the project, and to communicate with Mr. and Mrs. Bland Sr. for approval, to ensure the successful and timely completion of the project.

Exclusions and Boundaries

The project manager is responsible for developing the project plan, monitoring the schedule, ensure task are carried out in a timely manner, monitor the cost of resources, allocate resources efficiently, and maintain control over the project at every step.

Major Risks

Not being able to plan the surprise party in timely manner, the party not being a “surprise” or exceeding the budget limits.
