Project Management Flowchart and Summary
Scenario
Intuit, Inc. would like to migrate their existing applications, such as payroll management and customer relationship management (CRM), to cloud-based applications. The CEO believes that cloud-based systems will save the company time, money, and resources in the long run. One challenge is that many legacy systems are not automatically compatible with the new cloud-based systems and need to be manually exported or transferred. Training users is also a challenge since there are various locations across the country.
At a recent meeting, the development team determined there are 7 phases in this project that need to be completed. As IT project manager, you are tasked with planning out the 7 phases. This includes developing a swimlane flowchart that describes the processes, roles, and responsibilities of various departments and personnel during each phase of the project.
Phases
· Phase I: Scoping and Planning
· Phase II: Order/Install Equipment
· Phase III: Install/Test Software
· Phase IV: Conduct Hardware/Software Testing
· Phase V: Conduct Training
· Phase VI: Implementation and Roll Out
· Phase VII: Evaluation and Post Implementation
Personnel
Note: These positions came from Intuit, Inc. documents, but names have been changed to keep this a fictional scenario. Any relation to actual names is coincidental.

Instructions
Use the project phases and personnel information provided above to develop your swimlane flowchart for this cloud migration project. Add additional processes and human resources as you see fit. Your swimlane flowchart should visually distinguish job sharing and responsibilities for phases and sub-processes of the project.
Use Lucid chart, Canva, MindTools, or another website or software of your choice to create your flowchart. See an example of a swim lane flowchart below.
To accompany your flowchart, write a 350-word summary that answers the following questions:
· How do you support c-level managers in this project? How do you seek support from upper management?
· What techniques can you utilize to lead and influence the project?
· What are two challenges within each phase?
Project Management
A project is a company undertaking that requires proper coordination of activities. A project is considered successful when the objective of which it was formed is achieved. Therefore, each department is required to integrate its activities to ensure its effectiveness in implementing the project. Managers are the critical part of projects because they are the source through which all decisions are made are projected. For example, I would support the managers with the critical analysis of the projects. What that entails and what is needed to ensure their success. Therefore, I will actively participate in decision-making and ensure that all requirements are met without fail. Senior management requires an expert and a proper understanding of what is intended with the project. I want to ensure that upper management has a clear view of the critical importance of the project and the challenges they are likely to face during the installation, for example, delay in running the business, cost of training the operators, and the cost related to hiring the expert who will provide guidance or use the payroll system of the cloud-based application.
The realization of the projects is challenging as there is a possibility of facing resistance at all stages. So, this requires critical procedure and handling of human labor with due diligence. For example, it is necessary to ensure that each employee understands the key benefits to be derived from the project. And this will require me to become social and objective in my illustration. I will explain some of the critical places where the application had a significant impact on the company's performance. The employees will be influenced with a proper and thorough understatement, which can help me introduce the project with little resistance.
The challenges that are experienced in the project are standard in each phase of implementation. For example, in the beginning, the company has only estimated what is needed for the project; the preparation phase requires that all requirements and execution procedures are put in place. Another challenge is the assignment of deadlines; initially, the project executors need to be skeptical. They must ensure that every installation procedure is implemented to avoid system failures in the advancement phase.
The execution phase has two key challenges; lack of communication, which can hinder the project to a greater extent. Another challenge in the execution phase is the inadequate skills of the team members. So, this can be a substantial challenge that can result in the failure of the project. The last phase of the project has two key challenges, lack of accountability, project executors should be held responsible for their actions. Another critical challenge is inadequate risk management. What are the key loopholes that can impact the end-use of the system? This challenge must be adequately addressed in the final phase.
