Meeting Minutes

The meeting was opened by the word of prayer led by the project secretary.

After the meeting was officially opened, the project manager thanked everyone for their attendance and also read apologies for those who never attended the meetings but had sent their apologies in advance.

Among those who had sent their apologies included three project members who had earlier involved in a road accident.

The secretary also read the minutes of the previous minutes.

The minutes were supported and seconded by one member.

The meeting minutes will be due after three of the meeting.

The written minutes will be sent to all participants by the note taker or the secretary via email.

Action Item Log

-The first action item of the meeting is to come up with the ideal ways of constructing the coffee house using the most minimal inputs and also make the best coffee house in the area.

Five days after the PMO Status meeting has been submitted

All project team members will be notified on the action item log through email

The secretary of the team will be the one who will send the action item log to the members

The receivers of the action item log will be all project members and participants

Meeting Agenda

The initial meeting agendas is to look for the most dynamic ways and strategies of coming up with the most reliable ideas of setting up a coffee house.

The first agenda is to find out ways of cleaning the site where the coffee house will be established. Such methods include leveling.

In addition to that, there should be ways of setting up the coffee house to make it as unique and appealing as possible.

Both the internal and external features of the coffee cage are to be intensively discussed in the best ways possible of contracting both the internal and external features.

The most critical agenda of the meeting is to find ways of getting the finance of the project as well as establishing the best ways of using the capital in the establishment of the agenda.

Every participant and stakeholder is responsible.

In addition to that, ways of sourcing the best suppliers of the raw materials will be a core agenda. The people or contractors to offer services such as plumbing, internal as well as external construction services will be discussed in depth.

The agendas of the meeting will be submitted to the team two days before the meeting.

The method of sending the agendas to the project participants will through email.

The receivers of the agendas will be all project members and participants that will be expected to attend the meeting

Status Reports to Project Manager

As the project continues to be undertaken, all the procedures and activities on the project will be submitted to the project manager so that he can know whether the events in the plans have been undertaken according to the set standards. Subcontractors will have to keep updating the project manager every week. This will be done through written ways. The meetings between the contractors in the field and the project managers will be organized in the manager’s office.

What is expected to be notified to the project manager include the far the project has been undertaken, the raw materials that have been used, any difficulty that has been encountered in the process of conducting the project's activities, the wellbeing of the workers as well as any additional requirement and inputs that are needed for the project.

The Status report will be submitted to the project manager after every week on Tuesday at 10 am

The contractors and the project manager will be responsible for updating the strategic alignment team on the ways the project is going on as far as vital features are concerned.

The team will be notified after every week through written methods such as email or written papers and documents.

The team is responsible of ensuring that the project is strategically positioned so that at the project has been entirely constructed, it will be in a good position where clients quickly access the coffee cage without any difficulty.

In case the team realizes that there are some strategic limitations, it will send off its members to the site to rectify the mistakes.

Project Schedule Updates

The timelines and schedule of how the project will be undertaken will be submitted to the implementation schedule owner

The updates will be submitted after every two weeks on Tuesday at 11 am

The updates will be submitted as a paper copy
