As a general approach, our classes will be divided in 3 parts:

PART 1: We’ll have content delivery – theoretical background.

PART 2: We’ll allocate time for some activities we might have for the week, or continue with class discussions.

PART 3: At the end of each class there will be time allocated to discussing the assessments.

If you are not able to attend a class, don’t sweat!

Recordings will remain available throughout the trimester and will be shared with you via Announcements weekly.

Discussion Forums are also available: Ask the Facilitator Forum, Student Forum and Class Discussion Forums (when indicated).

Approach to the subject delivery

Some break in the middle of the session. Usually around 4:30 or before an activity starts..

Face-to-face classes are not recorded, but if you miss a class, a content delivery (Part 1) recording will be shared with your so you don’t miss this part.

However, it’s highly recommended that you attend both F2F and OL classes to participate in class activities, discussions, and to have an opportunity to talk to your Learning Facilitator.

OL Classes will also have a time scheduled and recordings will remain available in the Collaborate Ultra link as well as shared via announcements.

If, for any reason, an additional session is required to cover a content, a recording will be sent to you in advance and/or a time will be negotiated with you to cover it.

Both OL and F2F classes will have discussions, activities and we expect that students are proactive in their studies and come prepared for each class.

Is there a difference between F2F and OL classes?

In this module, we are going to look at Chance Control Tools & Techniques, but more so, tools & techniques to Monitor & Control the project. So we are covering a lot of the “Monitoring & Controlling PG”.

Executing Process Group

(PMI, 2017, p. 595)

“The Executing Process Group consists of those processes performed to complete the work defined in the project management plan to satisfy the project requirements.”

This PG involves coordinating resources, managing stakeholder engagement, and integrating and performing the activities of the project in accordance with the project management plan.

The key benefit of this PG is the that work needed to meet project requirements and objectives is performed according to plan. The processes in this PG may generate change requests. If approved, change requests may trigger one or more planning processes that result in a modified management plan, project documents, and possibly new baselines.

Monitoring and Controlling Process Group

(PMI, 2017, p. 613)

“The Monitoring & Controlling Process Group consists of those processes required to track, review, and regulate the progress and performance of the project; identify any areas in which changes to the plan are required; and initiate the corresponding changes.”

Monitoring: is collecting project performance data , producing performance measures, and reporting and disseminating performance information.

Controlling: is comparing actual performance with planned performance, analyzing variances, assessing trends to effect process improvements, evaluating possible alternatives, and recommending appropriate corrective action as needed.

The key benefit of this PG is that the performance of the project is measured and analysed at regular intervals, appropriate events, or when exception conditions occur in order to identify and correct variances from the project management plan.

This PG also involves:

Evaluating change requests and deciding appropriate response

Recommending corrective or preventive action in anticipation of possible problems

Monitoring ongoing project activities against project management plan and project baselines

Influencing the factors that could circumvent the change control process so only approved changes are implemented.

Continuous monitoring provides the project team and other stakeholders with insight into the status of the project and identifies any areas that require additional attention. This PG monitors and controls the work being done within each KA, PG, life cycle phase, and the project as a whole.

Closing Process Group

(PMI, 2017, p. 633)

“The Closing Process Group consists of the process(es) performed to formally complete or close a project, phase, or contract.”

This PG verifies that the defined processes are completed within all of the PG to close the project or phase, as appropriate, and formally establishes that the project or phase is complete.

The key benefit of this PG is that phases, projects, and contracts are closed out appropriately. While there is only one process in this PG, organisations may have their own processes associated with project, phase, or contract closure.

This PG may also address the early closure of the project, for example, aborted projects or cancelled projects.

Assessments Overview

This subject examines ways to understand the attitudes and behaviours of individuals and groups working together on projects, and hopefully, this will also help in improving these relationships.

We also look into how to support and motivate team members to perform as high performance teams, how to manage conflicts and to manage various other project stakeholder relationships.

These are things and situations that you might have encountered in your work and life and as we examine the concepts and theories behind them, I’d would encourage you to share your examples and insights.

Assessment 1 – Task Summary

In this assessment, you are required to write an individual report of 2000 words (excluding tables, figures, and graphs) proposing a change to be implemented in the case study, provided by the Learning Facilitator, addressing:

Change impact analysis,

Tools & techniques to manage the change,

Integrated change control process to submit the change,

Options to implement the change along with its associated risks.

A change request form must also be submitted attached to the report demonstrating how the change would be requested for the given project.

The intention of this assessment is that you take a practical approach by considering this change to be submitted to key stakeholders of given case study.

Please refer to the Task Instructions for details on how to complete this task.

Assessment 1 – Key Requirements

The report should encompass a practical approach in addressing the following requirements:

a) Identify and propose one (1) change you believe is required for the case study and justify it by applying tools & techniques from quality management in identifying root-cause for the issues found in the case study.

b) Critically analyse the impacts of your change proposal on scope, time, cost, quality of the project.

c) Propose and justify tools & techniques used to manage the change.

d) Explain what processes are involved in submitting your change request given the scale of your change proposal and address responsibilities considering the stakeholders from your case study.

e) Identify and discuss options (at least 2) to satisfy the proposed change and any risks associated with each of these options.

f) Complete the Change Request Form (CRF) provided or one that is used from a workplace.

Assessment 2 – Task Summary

In this assessment, you will further analyse the case study that was introduced in Assessment 1. You are required to write a group report of 1500 words per student (excluding tables, figures, graphs) demonstrating your understanding of Risk and Communication Management by:

Identifying risks from the given case study and critically analysing their impact on the project

Using a Probability & Impact Matrix to assess these risks

Propose response strategies and actions to manage the identified risks

And identifying how stakeholders will be communicated about the risk management strategy.

A complete Risk Register should also be submitted attached to the report demonstrating how the team developed and applied this key output of project risk management.

The intention of this assessment is that you take a practical approach by considering that this risk report will be submitted to key stakeholders of given case study, as well as it allows you to practice the soft skills required to work effectively in a team. Negotiation of roles and responsibilities within the group are the responsibility of students.

Assessment 2 – Group Formation

To complete this assessment task, you must:

Form groups of three (3) people.

Groups will be formed by students themselves or assigned by the Learning Facilitator in consultation with the students, if required.

Only in exceptional situation a different group size may be approved by the Learning Facilitator.

The deadline for team formation is 11:59pm AEST/AEDT Friday end of Module 2 (Week 4) to be advised to the Learning Facilitator in class or via email.

Assessment 2 – Key Requirements

The report should encompass a practical approach in addressing the following requirements:

• Risk Identification and Impact Assessment

a) Identify possible risks for the case study and critically analyse the impact of these risks.

b) Use a Risk Probability and Impact matrix to rate and prioritise risks.

c) Develop appropriate response strategies, including a proposed course of action, to effectively manage each identified risk.

d) Create a complete Risk Register for the case study.

• Risk Management Reporting

e) Identify and explain how stakeholders will be communicated and engaged on the project’s ongoing risk management activities.

Note: The Learning Facilitator will advise a minimal number of risks to be managed throughout the report according to the group/class size.

Submission Instructions

Only one submission per group is required.

Nominate a group leader within your group and this group leader will submit the assessment on behalf of the group.

Use the link available on Groups (go to your assigned group and click on Group Assignment) to submit your assessment. Once a submission within the group has been completed, this will close off the submission for the rest of the group members.

If opting for submitting directly from the main navigation menu:

Assessment 3 – Task Summary

In this assessment, you will further analyse the case study that was introduced in Assessments 1 and 2. You will participate in the discussion with your classmates demonstrating your understanding of Project Status reporting by:

Identifying effective project status reports and discussing their challenges and pitfalls,

Explaining the difference between the status reports provided for teams, sponsors, and steering committee considering their unique needs,

As well as creating and justifying a sample of a status report that would be submitted to a chosen stakeholder of the project from the given case study.

This assessment allows you to practice professional communication with peers, either face-to-face or virtually.

Note: At the discretion of the Learning Facilitator, this assessment can be delivered in class as a presentation/discussion, using recordings or writing directly on the discussion forum. This might require to initiate the task ahead of the submission deadline and will be communicate by the Learning Facilitator.

Assessment 3 – Key Requirements

This assessment can be delivered via a presentation in class (Option 1) or as a discussion on Blackboard (Option 2), to be advised by the Learning Facilitator based on the group/class size.

To complete this assessment task, you must:

PART 1

Prepare a script/essay for the main post/presentation to be submitted on the discussion forum of 850 words (+/-10%) containing:

a) Identify, at least 3, effective status reports used in project management.

b) Discuss challenges and pitfalls of these status reports.

c) Explain the difference between the status reports provided for teams, sponsors, and steering committee considering their unique needs.

d) Create and justify a sample of a project status report that would be submitted to a chosen stakeholder of the project from the given case study.

Checking your Originality Report

What is it?

It is a tool.

It compares submitted assignments against a set of academic papers to identify areas of overlap between the submitted assignment and existing works.

It is not a plagiarism tool.

The scores represent the percentage of probability of matching texts.

So, what it means in reality?

Is there a specific score acceptable? NO!

All work submitted is dully analysed.

LF’s may call upon the support of a third party that is not linked with the subject, the Academic Integrity Officer (AIO), to check the assessment and contact the student to discuss it.
