Proposal for designing reports for Tim’s business

Thanks for the opportunity to let us work on the report of the Down Town Car Repair Business. As a part of developing the business, first we need to have an overview on it. So that we can come up with a plan to improve the business. Business documents like Forms and Reports plays a vital role in measuring the business. Each report has its own significance and depending on the outcome, we can select the report. As per our discussion, we understood that you are looking for a report that will help you in measuring the business and customer service.

To have a better understanding, I will explain you in detail about a form and a report. A form is a business document that contains some predefined data and often includes some areas where additional data are to be filled in [1]. An instance of a form is typically based on one database record. Most of the forms have a stylized format and are usually not in a simple row and column format. Examples of business forms are product order forms, employment applications, and class registration sheets. A report is a business document that contains only predefined data. It is a passive document used solely for reading or viewing. A report typically contains data from many unrelated records or transactions.

Designing forms and reports is a user-centered activity that typically follows a prototyping approach. After scrutinizing the initial data and based on the requirements, Scheduled reports and Key-indicator reports are the best fit for your business needs. This will help in improving the customer service. measuring the business and by managing the supplies/suppliers, customers, bids, cost, and so forth. One key to designing quality business processes is the delivery of the right information to the right people in the right format at the right time. The design of forms and reports concentrates on this goal [1].

Scheduled reports are produced at predefined intervals like daily, weekly, or monthly to support the routine informational needs of the business. It collects the information from the database and runs at a scheduled time, and then sends report over the selected communication channel like email (in our case). This report is used to give information to you on different aspects and will also update the database. These reports will include number of sales, daily or weekly invoices, updating the database tables for customers, suppliers, collection agency and so forth. This will definitely help to manage the business to make more profits. Since Scheduling reports are static and the outcome report (For example PDF) will be sent over email, it will be always available and you can check the report at any time for a particular time frame to have a better understanding on sales, costs, bills etc., These reports will help you to chase your business goals and motivates you to look into the problematic areas for further improvement of the business and customer service.

Key-Indicator reports (KPI) are those that provide a summary of critical information on a recurring basis [1]. A KPI report is a business-performance tool that effectively visualizes Key Performance Indicators. You can use these reports to track progress against targets and goals to improve performance. A KPI report helps business leaders to assess and analyze key performance indicators (KPIs) to see how their company is performing in relation to a given strategic goal quickly and simply. Even a non-technical person can easily understand the trends of the business by looking at the report. It gives the user a clear understanding and accurate view of an organization's accomplishment, well-being, and growth potential. By using these key performance indicator reports, successes and failures of the business can be measured periodically. This report is used to collate the data in a more refined way. The metrics shown in the report is useful to target the performance against objectives. These reports are the pinnacle of a structured performance monitoring or improvement process [2].

The goal of form and report design is usability. Usability means that users can use a form or report quickly, accurately, and with a high level of satisfaction. To be usable, designs must be consistent, efficient, self-explanatory, well formatted, and flexible [1]. By using the above-mentioned reports Scheduled reports and Key-indicator reports, you can achieve the business goals like measuring business growth in terms of supplies, suppliers, bids, cost, customers and improving the customer service and so on.
