Type of visual aids, and when to use each

Over the years, people have used various visual; aids to demonstrate ideas and concepts about their projects. Visual aids have been considered the best approach to presenting new ideas to the audience. In the past, people used overhead projectors, flip charts, and posters to display information, but these were replaced by computer technologies. There is extensive use of PowerPoint as the standard visual aid today. However, for an appropriate presentation, we should consider all other options such as personal appearance, objects and props, posters and flip charts, audio and video, handouts, and slideware. In this session, we will talk about different types of visual aids that are considered highly effective and appropriate during speech delivery and when to use each visual aid that we are going to talk about here.

First, we will talk about the effectiveness of using objects and props and when to use them during presentations. Have you ever seen speakers showing actual samples of products they are trying to sell during the performance? How many people have seen speakers carrying, for example, bicycle helmet when they are presenting about bicycle safety... Precisely that’s what we mean when we talk about objects and props. Taking the actual items is crucial because it makes it easier for the audience to understand the meaning of what one is talking about. It also helps the speaker connect with the audience on an emotional level. An excellent presentation also involves the use of props. The speaker should use accessories when giving illustrations to make their audience connect with them on an emotional level. The speaker can decide to show the props at the front of the venue, pass it around during presentation, or put it at a strategic point where everyone can see them.

The third component of visual aid we are going to discuss is the use of posters and flip charts. Signs are usually preferred with few audiences. Besides, posters can be used as a replacement for PowerPoint. Banners are typically used to support the core message during the speech. Many speakers usually prefer leaving signs to remind those in attendance of their presentation after they have left. Posters should be designed professionally and should be visible to everyone. Advertisements should also follow the design rules. Posters can be hung or be free-standing before the presentation begins. Flip charts and whiteboards can also be used as a replacement for signs. Flip charts and whiteboards can be used to write on during presentations.

We can also have a look at audio and videos. During the presentation, a speaker may decide to use short clips of about 10 to 20 seconds to make emphasis on their topic. The video or audio to be used must have the topic content and relevance. When a speaker decided to use a clip, they must set to start playing exactly where the speaker wants it to start playing. It distracts the audience's attention when the speaker begins to fumble with technology during the speech. Besides, it is essential to test the file format, playability, and audio volume before the presentation.

Next, we are going to talk about is personal appearance. Personal appearance is part of the presentation. The choice of appropriate attire helps set the tone of the speech and, at the same time, emphasizes essential points. For example, a speaker may decide to wear a handmade sweater in a talk about knitting to influence others to start the hobby. Many researchers have revealed that many people give a lot of people in uniform. Individuals who must not dress about their topics can ensure that they dress appropriately for their venue and audience. A presentation at professional conferences requires the use of professional attire. Apart from dressing appropriately for the audience and the topic, we should also know that the audience always judges speakers even before the presentation begins. So, it is essential to dress appropriately and professionally while preparing for a performance.

Our next item is the use of paper handouts during the presentation. Here, the speaker gives a copy of their PowerPoint slides to their participants before or after the presentation. In professional conferences, speakers may be required to submit copies of their presentations slides before the event. In such a scenario, copies must be prepared for all the attendees. Handouts are mainly used as a supplement to the content of the talk. Handouts are usually used in professional conferences or during lectures.

After having looked at handouts, I think it will be wiser to mention something about slideware. Many of you are conversant with various software used to create and display slideshows such as Microsoft PowerPoint, Apple iWorks Keynote, Google Drive Presentation, and Zoho Show. These are software that is used to prepare and organize presentation notes. They are mainly used to make summaries of a speech or presentation. They can be displayed using projectors, which might be projected on a wall or on aboard. Two presentation styles can be applied with slideware. They include Pecha Kucha and Prezi. The speaker can choose which one to use between these two slideware presentation techniques depending on the type of topic they are presenting.

Finally, we can talk about overhead projectors. Overhead projector slides are also called transparencies. Overhead projectors are mainly used during seminars. It is appropriate for a broad audience. Slides can be prepared in three different ways; spontaneously, pre-prepared, or a mixture of each. Overhead projectors are mainly used when addressing a big audience and the topic requires illustrations.
