In order for analysis phase of a project to take place, all the analysis tasks should be identified by the business analysts. Some of the tasks include the risk, time, cost and resources. The schedule is then developed from this information that has been given by the business analysis. The work breakdown structure tool is employed in the project to assist the business analyst in the planning process.

In this phase, the overall business requirement of the project is defined and the proposal of the methodology or the approach that will be employed in addressing the project. The approval of the high-level project proposal and of the business case that validates the approach to be used is the gate at the end of this phase.

Prior to kick off this phase of the project, the customers have ideally some analysis of this process and the analysis of the requirements on their own. The decency of the customer is what matters when entering into this of the project and their hopeful documentation and the concept of the current state processes of their business and the future expected state of their business. The major objective of the analysis phase is stating down the necessary requirements of the business for the project that is to be undertaken. Both teams should leave the phase with an understanding of the requirements through which the project will be developed against.

The work breakdown structure is usually employed to decompose all the requirements of developing the project. The project schedule can develop from this kind tasks, for instance, the PERT Chat and the President Diagram. Additionally, managers of the project use an organizational breakdown structure and work breakdown structure to map the resources of the organization with the tasks and setting up the project control accounts.

The work breakdown structure

The work breakdown structure is a method of graphic that is hierarchical for decomposing the tasks of the project into small packages of work which usually lasts between 40 – 80 hours.

Decomposition consists of two task of parent-child. A decomposition of only one child is similar to the parent.

The sequence is not necessary for the tasks of parent-child the major objective is to ensure all the goals are captured.

The derivation of the risks is done from the assumptions of the tasks, assumptions, constraints and the possible resistance in building the register of the risk. The costs which include the labor and the expenses plus the contingencies in developing the budget. During which is the estimate of time for the task to get completed plus schedule development contingencies, it is important to note that a schedule considers when the resources are available to work as a task. The amount and type of the resources to complete the task in the completion of the schedule are also important.

In the phased planning of the project, the business analyst comes up with the requirement plan. some of the constituent s of this plan include costs, schedule and the necessary resources that needed in the conducting the analysis.the work breakdown structure is necessary for the business analysts to develop this document. In this phase, the business analyst only conducts the analysis tasks instead of covering all the tasks of the project. After the development of the work breakdown structure and the requirement plan. A schedule is constructed by the business analyst which will be incorporated by the project manager in the plan of the project. The same software of the project schedule as that of the project manager is used in the facilitation of this incorporation.

The figure below indicated the development of the required work plan.

RWP Development process

The business analyst does the presentation of the required work plan to the manager of the project and the sponsor to approve the project. The major objective of this is the required time and money in the completion of this phase of analysis. In the case that the manager of the project and the sponsor approves less or more time, money and the resources, the analysis risk register is adjusted and the schedule by the business analyst accordingly. The required resources are allocated after the approval of the project. The business analyst then agrees to adjust the schedule that is proposed according to the available resources as the analysis of the plan goes on.

The phase of analysis should kickoff after holding the meeting with both teams of the project. The meetings of weekly status reports and the weekly project status are held remotely begin with the analysis phase and continue throughout the rest of the project. The revisiting and the re-assessment of the issues and the risks are done throughout the analysis phase and documented as part of the weekly status report.
