Plan:
The primary audience is Jeremy Sue because he is whom this message is for. The secondary message is going to be the boss of the company, and for the team that is directly affected by the news of Jeremy not receiving the job. In this case, the letter would go to my team and myself. I would build credibility by stating who I am, and why I am delivering the news to Jeremy. A teaser message is a way to prevent further unnecessary discussion and to provide Jeremy with other important information. I would say, “We are very appreciative of your diligence in all three rounds of interviews, and we admire your skill set and responsibility.
A clear decision will be made by directly telling Jeremy that he is a good candidate, but after much deliberation we have decided as a team to go with another candidate. Then we will explain why we feel this way and help him further understand why and inform him of areas of improvement. To help him accept the message, we will explain his strong suits and help him identify ways of improvement. To maintain goodwill, our company will extend a helping hand and make sure he knows that upon the opening of a new position he will be one of the first we call to conduct interviews for the position. To preserve the company’s image, we will state that we are required to meet specific qualifications when hiring, and though he was a great applicant, we needed to make sure our choice was skilled in all areas of qualifications. We will be mindful of his feelings by expending our empathy and leaving him knowing that he is a skilled candidate but we just want the best fit for our company for this position.
