It is therefore important that all the employees in the company understand the proper usage of the internet re- sources of the company (SANS, 2020). Aim The aim of this internet use policy is to enlighten the employees using the company’s internet on the practices that are considered by the administration as acceptable and unacceptable and the extent to which the resources may be used for person- al usage. Scope

This internet use policy covers the appropriate use of internet and WIFI resources of the company. the policy applies to all the stakeholders who are affiliated with this company including employees, vendors and agents who are operating on behalf of this company. Elements of the Policy

This policy will outline the following: · Appropriate use of the internet · Inappropriate use of the internet · Internet security and monitoring Appropri- ate use of the internet The appropriate use of the internet encompasses the following: · Use of internet and WIFI resources in accordance with policies and protocols of ethical conduct as outlined by the company’s code of conduct. · The usage of internet should primarily be for the access of online sources related to and aimed at achieving the business goals of the company. · Job related use of internet permitted include educational re- sources and research over the internet that will aid in the business process. · Personal use of the internet is permitted to a reasonable extent if the personal use contributes to the meeting of company objectives. Inappropriate use of the internet The company considers the following as inap- propriate use of the internet · Use of company internet resources for the creation, sensitization or distribution of malicious content about ethnical, religious, racial, political or any other form of bias (Goodman, 2016). Reception of such email content by employees should immediately be reported to the IT supervisor. · Downloading of unauthorized software from the company internet into user PCs · Accessing sites that are deemed as unethi- cal according to the company’s code of conduct

Internet security and monitoring

In regard to internet security and monitoring, the company would like to note the following: · All of the internet data of the company is considered official data of the company and is liable to disclosure for any legal purposes. · All internet resources are considered as part of the ownership of the company and the company will reserve the right to monitor all of the internet data created, sent and received from the internet resources of the company. · Sites and downloads will be monitored and may be blocked if they pose a threat to the company. · All employees are re3quired to ensure that their VPN is always on and that the resources downloaded over the internet are scanned for viruses by the company’s free antivirus tools available in all the PCs. Policy Compliance and Disciplinary Action

To ensure that the policies here have been complied with, the Human Resources Department and the IT department will periodically conduct activities including but not limited to internal and external audits, video surveillance, report of business tools, periodic walk-thru and report back to relevant authorities. Exceptions to internet use policy will be communicated to and receive prior authorization from the relevant usage. Failure to comply to these policies will warrant disciplinary action which may include termination of job contracts (Syahrial et al, 2019). 2. EMAIL POLICY

Outline

Email is the primary communications tool in the organization and thus of utmost importance. It is the official tool of communication in most of the company. With the rise in cybersecurity threats, it is important to protect the data which is found in the email from any breach. Each company provides the employees with their email to ease their communication for work purposes. However, misuse of the email can pose many privacy, legal and security risks to the company and as such it is important for users to understand the proper usage of these resources (SANS, 2020). Aim

The aim of the email security policy is to make sure of the appropriate usage of email resource and enable users be aware of what practices are classified as acceptable and unacceptable regarding their usage. The policy provided will also make sure that the privacy of the email is put into consideration and the data which is found here will be protected well by the employees and other partners in possession of the email. Scope

The policy covers proper utilization of any emails sent from email addresses and applies to all stakeholders affiliated with this company includ- ing employees, agents and vendors operating on behalf of this company (Workable, 2020).

Email accounts will primarily be used in engagement of activities purely business-related. The use of emails for personal communication is permitted on limited levels specifically for non-commercial purposes provided the sign ups done are in ac- cordance with the ethical and ethical scope of the company’s policies. 3. Employees are not supposed to sign up for any illegal and unreliable web- sites using the company’s email. This may expose the company’s email to a lot of data security threats. 4.The email provided by the company should be used by the employees to communicate with customers and other potential clients and hence promoting the company’s business and working towards the overall goal. 4. All data sent or received through emails should be secured in accordance with the Data Protection Standard. 5.

Email resources provided by the company should not be used for creation, sensitization or distribution of malicious content about ethnical, reli- gious, racial, political or any other form of bias. Reception of such email content by employees should immediately be reported to the IT supervisor. 6. Users are prevented from forwarding messages to third parties or storage of the business emails in third party devices for malicious intent. Policy Compliance

To measure compliance to the policies, the HR department in liaison with the IT department will conduct activities including but not limited to video surveillance, internal audits, external audits, report of business tools, periodic walk-thru and report back to relevant authorities (SANS, 2020). Any exceptions to the policy compliance will be prior communicated and approved by the relevant authorities. Noncompliance with the policy will warrant disciplinary actions which may include termination of employment contracts.
