Requirements for CHEM 4331/5331 Microsoft Word reports

Whenever you write a report in MS Word format in CHEM 4331/5331, you must follow this set

of rules.

Warning!!! Deviations from these rules will result in significant deductions from your lab

score even if all numerical values happen to be correct!

1. DO NOT MAKE CHANGES TO THE FORMATTING IN THE PROVIDED MS

WORD TEMPLATES.

2. Use size 12 ‘Times New Roman’ font. When typing data into tables, it is permissible to

reduce font to size 11 or 10.

3. Text in the narrative must be justified, i.e. distributed evenly between the left and right

margins. Formatting of text in Tables and Figures should be as given in the template.

4. Use 1.15 or 1.5 line spacing and 1” margins on all sides.

5. Number all pages at the bottom right corner (use Footer).

6. In the MS Excel, Vernier Graphical Analysis (GA), or Mathematica plots, label all axes

and data series.

7. All quantities whose absolute numerical values are smaller than 0.01 and greater than

99.99999 must be reported in the scientific notation. For example:

Correct: 5.72 × 109

Incorrect: 5 720 000 000; 5.72E+09

Warning! The correlation coefficient, r, should never be reported in the scientific notation!

8. The correlation coefficient, r, must be reported to as many decimal points as needed to

show its deviation from 1, but probably with no more than 6-7 decimal points. For a detailed

discussion of the topic, see handout for Experiment 2.

9. The multiplication symbol in Word/Excel/GA is “×” (not “x”, not “*”, and certainly not

“X”). In MS Word/Excel, you can find “×” using the following sequence of steps:

i) in the Ribbon menu, select “Insert” → “Symbol” → “More Symbols…”

ii) in the “Symbols” tab, select “Symbol” under the “Font” drop-down menu, and find

the “×” symbol

Note that this needs to be done only once. Next time you need to use it, it will be available

right under the “Insert” → “Symbol” menu:

Keep in mind that you can do this for any symbol that you need to use often.

10. In the scientific notation, a quantity and its standard deviation must be reported using the

same power of ten. For example,

(3.200±0.003)×109 (2.155±0.007)×106 (6.6±0.3)×10-6 (1 ± 4)×10-3

Note that the round brackets/parentheses is a must!

11. Even if the standard deviation is in the n-th decimal, you MUST include all preceding zeros:

12. All numerical physically-meaningful quantities must contain units!

13. Symbols denoting physical quantities must be typed in the italic font:

14. Symbols denoting units of physical quantities must be typed in the regular/standard font:

Compare the two previous examples and note how the meaning of a symbol changes depending

on whether the italic or standard font is used!

15. Symbols for chemical elements must be typed in with the regular/standard font (not italic!).

When several atoms of a given element are present in a chemical formula, use subscripts.

16. Molar concentration (molarity) of substance J is denoted as [J] (or bJ) :

17. Regardless whether you use MS Word, MS Excel or GA, you must use subscripts and

superscripts when necessary. MS Word, MS Excel, and Vernier GA, can handle

subscripts and superscripts just fine. See the Experiment 2 handout or ask your lab

instructor.

If for some reason you think this is not important, imagine your handout and/or textbook

using the 10^3, I^1/2 etc. notation!

18. Tables and Figures must never break across pages. Imagine your handout and/or

textbook having tables and figures breaking across pages!

19. Do not include plot titles in the [bodies of the] plots – use figure legends in the MS Word

report file as shown in the templates

20. Plots should not contains borders/outlines.

21. Absolutely no "Trendline" fit in MS Excel is allowed, unless you are specifically

instructed to do so in the handout. Using the “Trendline” fit from MS Excel when not

instructed will result in significant point deductions. It is not worth it!

22. If you wish to include equations in your MS Word report, those absolutely must be typed

in MS Office 2013 Equation Editor or in MS Equation Editor 3.0. Absolutely no

scanned or downloaded jpeg/gif/etc. equations!

To start MS Office 2013 Equation Editor, select ‘Insert’ in the Ribbon and click on ‘Equation’

To start MS Equation Editor 3.0, choose ‘Insert’ in the Ribbon, and select ‘Object’ twice:

In the new ‘Object’ menu, select ‘Microsoft Equation 3.0’, and click ‘Ok’.

23. If you include a formula in your MS Word report, you absolutely must introduce all

physical quantities in the formula and, if necessary, discuss the units.

24. All reported percent errors should be rounded off to two significant digits.

25. If a graph (plot) contains two or more curves, a legend must be included in the plot that

explains which quantity is represented by each curve. The legend must be located within

the boundaries of the plot. In addition, the marker and/or line size must be chosen in such

a way as to distinguish individual curves (when possible).

26. When reporting file names, always include file extensions!

When in doubt about the notation, ALWAYS refer to a) the handout, and b) the textbook.
