Currently, there has been a greater economic crisis and also competition from different organizations or companies. Due to that, the improvement of company productivity has been the main concern of different organizations, including private and public. Technology is growing at high speed; thus, different organizations are being used to achieve their goals and combat various challenges that they may be facing. For a company or organization to be successful, every department must have control and have useful information about all the actions going on within itself. That can only be achieved through the use of different systems that can be implemented. Saudi Aramco Company is one of the greatest companies in the world. The company has great achievements, but it also faces various challenges with its current system. But there are possible solutions that can effectively solve the problems even though there is no information technology system that is 100% perfect. Balancing quality with productivity in many organizations is not easy since it needs nifty planning and the right decision making (Alshathry, 2016).
The Saudi Aramco company uses the Quality management information technology system. That is a computerized system that offers regular reports on different operational departments within the organization. The major purpose of that kind of system is to give the top management effective feedback about the performance to make the monitoring process very easy. Through the system, data can be collected automatically from the major computer-linked check-out counters. The quality management information system is a user friendly; it is also interactive and detail-oriented (Ramady, 2018). Saudi Aramco has been using the system to manage inspection activities. It also uses it to facilitate test and inspection plans, checklists and enhance quality. The system has offered various benefits to the Saudi Aramco organization, such as monthly data performance metrics. The system also offers effective security for organizational data. In terms of the data collection, the system can provide electronic data collection to make the analysis and the improvement process gap easy to close.
In terms of wastage of time during the inspection process, the system helps Saudi Aramco eliminate the waiting time. It makes sure that inspection in all the organizational departments is done simultaneously, thus lowering the functional inspection layer, which enhances effective communication via the multi user access. The system has helped the company facilitate effective planning, thus improving the quality of plants by providing relevant information. The system also helps minimize the overloading of formation though summarizing large amounts of data. It also brings effective coordination by keeping different organization departments aware of their problems and possible requirements. Then it enhances decentralization within Saudi Aramco through making effective changes within the company strategies and procedures (Ramady, 2018). Finally, the quality management information system allows Saudi Aramco to assemble, store, and process information and retrieve and evaluate the information alongside information dissemination. But despite the benefits of the quality management information system to the Saudi Aramco, it also has various disadvantages which may affect the entire organization.
The major challenges which the company is experiencing are budgeting of the information system. This is because it is very difficult since it is expensive. The system makes it difficult for the company to update itself since it has inadequate flexibility. The system requires close monitoring since the system is very sensitive; thus, it is always under pressure to monitor it. That makes it to be very risky for those who are in charge of monitoring it. The company has different network equipment such as computers, hubs, and routers. Due to that, the company is always at the risk of encountering hacking from hackers due to competition which it has been experiencing from other different companies. The next issue is that the company has been affected by the COVID-19 crisis; thus, its revenue has gone down. The company has been forced to stop some of its employees from working and especially foreigners. Even though Covid-19has affected the majority of organizations and companies worldwide, stopping around 500 employees has reflected and negative image to the world since the majority are said to be foreigners. Communicating within the organization recently has not been nifty due to the unemployment of some employees. Communication is crucial in a large organization or company like Saudi Aramco since it can even affect the customers due to the spread of negative information from the organization (Abduh, Hassan, & Sheikh, 2016).
But the challenges which the Saudi Aramco company is facing as a result of the current information system can be solved effectively for the better of its customers, employees, and the top management. The first challenge of budgeting for the system can only be solved by setting aside a particular amount purposely for maintaining the system or coming up with a different information technology system that is less expensive. Still, it can offer the same or more benefits than QMIS. The issue of inadequate flexibility that delays updates can be solved by looking for a sub-system that can be used specifically to update or even change the whole system and implement a more flexible information technology system. The company employees are always under pressure to monitor the system due to its high sensitivity. But they can modify the system in terms of automating it to function automatically and with less supervision or monitoring so that it can give a changer the employees to perform other duties (Wang, Badra, Roberts & Fang, 2020).
Due to the advancement of technology and the use of various network equipment, and the negative competition that the organization has been facing, it is at risk of illegal hackers. Although the organization has embraced strong passwords, firewalls, and honeypot, other better and possible strategies can be put into practice. The better strategy is the employment or hiring of ethical hackers. That is because ethical hackers will monitor the entire system vulnerabilities every moment and then create an effective solution before the illegal hackers make any step of trying to hack the organization (Alshathry, 2016). The next solution is to educate their employees and the customers on how to keep the data secure. When making employee recruitment, they should have adequate information about every employee to avoid data leakage and maintain a nifty relationship. The company's revenue has been largely affected negatively by the COVID-19 crisis. The company should develop an alternative business that will generate income to avoid overdependence on oil products alone. As a result of low revenue income to the company, some of the employees lost their job. But that was not a positive step or solution to the challenge. Due to that, the company should bring back all the employees and then consider lowering the entire employee's salary to avoid displaying the wrong image to the world. Also, they should stop the ideology of stopping only the foreigners because it looks like racism, and instead, they should avoid causing unemployment to its workers, and if they have to, they should balance workers from all races. Then the issue of communication with the employees, the organization should ensure employee's top managers can effectively communicate with other employees from other levels. They should then create a strategy of motivating their employees and having a relationship even out of the workplace to get to understand each other in a better way.
Generally, balancing both the quality and productivity in an organization or company is not easy since it requires resources, creativity, innovation, and full support from employees and the stakeholders. But the IT system that Saudi Aramco uses has various merits, which have led to great achievements despite its demerits. But with careless mistakes and a lack of nifty decision-making, the entire organization should lose its value in the market. But not all the company's problem is a result of the IT system, some of them are caused by poor management or lack of coordination and poor decision-making. All the possible challenges that are evident in Saudi Aramco can be solved in different ways. Effective communication within the organizational department and everyone's involvement during the change process can help the entire organization grasp all the weaknesses and possible solutions that can effectively combat all the challenges. Ethical hackers can also help the company protect from future and possible illegal hacking (Alshathry, 2016). Then lowering employees' salaries can help the organization to avoid causing unemployment of some employees. But also implementing a change of another better system can help the entire organization to solve different problems which are as a result of the information technology system.
