Introduction

The problem:

The problem with our non-profit pet center, is the huge amount of expenses that cause sick animals to die and lead to bankrupt the center.

The decision:

Taking extra amounts from the adopters to cover losses ,taking an extra amount from adopters for savings, also is fundraising for donations from the community.

The problem animal care related symptoms are not being able to provide the best quality of food options, maintaining the best health care for example regular check-ups and treatments, grooming and keeping the animals clean, and most severely not being able to save and give homes to the animals. Also our problem here falls under budget analysis and financial management which is classified between structured (programmed) and unstructured (non programmed) making it semi-structured. The decision was made in three ways, first to take extra amounts from the adopters to cover loses. Second is taking an extra amount from adopters for savings ( in case something happen). Third is fundraising for donations from the community including individuals or other businesses.

Using Tableau software to build the dashboard

We used excel spreadsheet to organize our data in seven different tables. They were analyzed using functions and tools ,then we implemented the data in dashboard using the business intelligence tool "Tableau”. This will help us to get deeper understanding of the effects of any change in the data and how to make better decision, to save time and energy and to reduce the problems and errors

This table include the most important characteristics about our pets, including (names, breed, gender, class, date of birth ,etc)

This table include all categories of expenses related to our pets including pet services like proper healthy food, a clean place and etc. and we include the total expense for them

This table list all donations with the type of donor (either individual or organization) with the date that the donation has been made.

This table shows our savings by adding up (total donations + total adoption fees – total expense- management administration) ruslting retained earnings which is the amount our center is saving.

This table contain each type of expenses and the amount of money spent on each expense

This table contain the total expenses we spent for each type of pet

This table contains the amount of donations and fundraising, the date for receiving each donation and the adoption rate

Tools and Functions

Tools:

Functions:

SUMif- to get the total expenses for each pet type

SUM-to get the total of each expenses for each pet

IF- to test the condition of the pet being alive, if yes add to calculate the death expense or if not ignore

Calculated field parameter to record any change in the donation and the effect on savings

Results and Benefits of Using The BI System

Tableau allowed us to build dashboards and graphical analysis in short time, also it helped us to build an interactive dashboards to engage the end user. Tableau allowed us to integrate the data from many sources by connecting them. The user interface for Tableau is also adapted by mobile devices and it has a minimum cost. Tableau users use the latest version of the software since it is easy to update.

Benefits of The Tools and Functions

These functions helped us figuring out how much expenses we spend and donations we get for each pet as well as the retained earnings so we can decide a budget that will help us save more money and spend less

Result Analysis

we used what if scenario for helping us to know WHAT IF we do not have donations this year, our donations are low or high. By entering data to this field to show the effect on savings when donations change.
