Milestone #2 – System Planning
Millennium Health
Doctor Johnson and Doctor Diaz recently decided that their practice needs a modern information system to support its business and health information management needs. The new system would replace a mix of paper-based and legacy systems. Dr. Johnson asked you to design an information system that could support the clinic’s current operations and future growth.
In your first meeting, Dr. Johnson provided an overview of the clinic’s business processes and staff members. He described the staff as follows:
Sheila Logan, office manager.
Support staff reporting to Sheila are:
Fred Brown -- human resources and employee benefits.
Ricky Flemming reports directly to Fred and works with payroll, tax reporting, and profit distribution among the associates.
Aisha Fox is responsible for the maintenance of patient medical records.
Zane Ricardo handles accounts receivables.
Deb Baldwin is the insurance billing specialist.
Min-ji Park is responsible for managing appointments. Her duties include reminder calls to patients and preparing daily appointment lists.
Clare Kline is concerned primarily with ordering and organizing office and medical supplies.
After studying this information, you start to prepare for your next meeting with Dr. Johnson.
Tasks:

· Administration: Makes sure that every department is in place and is in charge of overseeing projects. It also includes the performance or management of business operations and decision-making, as well as the efficient organization of people and other resources to direct activities towards common goals and objectives.The office manager Sheila Logan has the responsibility of this process at Millennium Health.
· Operational: In charge of the department that oversees the workspace and makes sure that every employee obtains their rights, the head of human resources.human resources is a key part of a management team and oversees high-level HR duties, such as attracting talent and setting training standards and hiring procedures. They also analyze and improve organizational processes, and work to improve quality, productivity, and efficiency. Fred Brown is responsible for this process
· Operational: Keeps every financial process about the employees in order and maintains them up to date. Also lead a team of financial executives toward achievement of preset goals. Approve third party payments through accurate reconciliation of financial records. Monitor and manage credit card payments and invoice payments. The human resources staff member Ricky Flemming is responsible for this process at Millennium Health.
· Customer service: Responsible for keeping up with the customer’s necessities in this case the patients and the organization of the daily routine, customer relationship management staff/receptionist Min-ji Park is responsible for this process
· Quality: Keeps up with inventories and is essential on keeping the organization prepared with the necessary supplies, Clare Kline is responsible for this process
· Management: keeps records of the patient’s financial dues, keeps up with the billing procedures, Zane Ricardo and Deb Baldwin are responsible for this process
0. Describe the systems development method you plan to use and explain the pros and cons of using this method.
The Method we will be using is the agile method since it appears to be the one that is the best fit for smaller projects. Agiles Pro’s include its flexible nature and the emphasis on human interaction. According to the manifesto for agile software development listed on page 18 of the modern systems analysis and design textbook, the main values are “Individuals and interactions over processes and tools, working software over comprehensive documentation, customer collaboration over contract negotiation, and responding to change over following a plan.” (Design18). Based on this agile methodologies require excellent human interaction while also requiring the team to possess problem-solving skills and flexibility in relation to the tasks; The ability to self-adapt is mandatory. The cons of agile are rooted in the dynamic nature it as well as the leniency of it. According to page 19 of the modern systems analysis and design textbook “...Untested on safety-critical products. Potential difficulties with a simple design and lack of documentation...Well-matched to small products and teams. Reliance on tacit knowledge limits scalability...Requires continuous presence of a critical mass of scarce experts. Risky to use non-agile people.”(Design19). All of these statements are referencing agile and the underlying theme is that agile requires people who can self-manage and self-adapt while also possessing great communication skills. Based on the aforementioned statements as the size of the team and project increases, the more difficult it becomes to use agile. Overall, Agile only works as well as the team works together due to the constant need for human interaction and the lack of a true structure.
