Executive Summary

This paper contains a communication framework and training plan. The purpose of this paper is to outline a plan to train the employees and clients of the company for using new and effective communication tools so that the communication process can be improved. The company case used in this paper is Boldflash and is evident that from the Boldflash case study there is a problem in communication in the company.

Communication Techniques and Framework

It is evident that from the Boldflash case study there is a problem in communication in the company. “Our targeted audience will be the employees and team member who work as team under certain project so then can communicate with each other.” Too broad and generic - needed to mentioned/describe specifc target audience - not entire employee population

However, various methods could be used in collaboration and communication and they could be implemented in the Mobile Division as training. From the case, it is evident that there is a problem when it comes to business processes and this is mainly caused by poor communication. The first method that could be used is connecting with the team members. There is need for trust and communication in a bid to ensure that the project team has a high functionality (Clarizen, 2018).When there is good communication among the employees, it will be easier for them to know what is to be done at a certain period and in case there are any changes, they will know about it. In Boldflash, the employees could be trained on good communication strategies in the mobile division. For example, they could be taught how to use the E-mail and how they could be professional in their communication methods.

The second method that could be used is with online project collaboration software. It is factual that harnessing the power cloud- based project management software could improve collaboration within a team. In the case of mobile division, the employees could be taughton how to use this software and when they should use it (Clarizen, 2018).The primary reason for the training is that using collaborative software is not easy since there are systems that are being cloud- based meaning centralized storage.

The employees are the people who create a product and they have a role to communicate with the customers within a firm. Therefore, in this case, they are the target audience to the communication methods. From the case study and the artifacts that are provided the target, audience has various characteristics. In the same context, it is true that they have different thoughts and beliefs, and this will help them in their work other characteristics that they should behave ethically. This means that they should always have ethical considerations and they should have a good conduct.

The intended message that needs to be delivered is on the activities in which the employees must take part in for them to ensure that they deliver goods timely, they produce good quality products, the products are cost effective and they are efficient. They have also to communicate and get to know how they can help improve customer satisfaction (Bim, 2011). That message holds pertinence for the intended audience since it helps them know what they have to do in a bid to ensure that the organization’s goals are reached. The message matters for the target audience since it acts as a guide on how they should carry out their activities. The message may have the guidance and immediate action that must be taken by the employees or team member to meet the organizational goals. It is also in the best interest of the company to make the right decision by getting the right messages in right time.

Technical communication will be successful in delivering the intended message. It is evident that technical communication acts as a way of conveying information to other people. Some people have been designated as technical communicators who help in relaying information. They may also put the data they capture into paper and they may digitally store text, audio and video (Bim, 2011).Technical communication will help in laying down the necessary information for it to reach the target audience. This is because it helps make the information to be more reliable and it helps more information to reach many people over a short period. This could be told by the way people are attending to their daily activities and how they are responsive to issues.

There are key steps for this framework. They include; first targeting the audience who are going to be communicated to. The next step involves choosing the right communication technique for communicating to the people. The other step involves knowing the pros and cons of each of the communication technique and deciding on the one that is more accurate. It is also evident that there are various ways of knowing whether a communication strategy is accurate or not. So here we have learned that we will make sure to resolve the problem of poor communication between the employees and the team member for the betterment of organizational goals. The communication of intend messages between our audience is the success of telecommunication technology.

Training and Training Framework

The training on taking on a communication practice is undertaken in the firm. The first way is through developing and not just training. Training involves developing people and ensuring that they come out of the training better than they were when they were beginning the training. The development helps them to come up with new inventions to help the company become better than their competition (McKeon, n.d). The company could also use tutorials to help people. This would help people learn about how to do a certain task through a step-to-step tutorial. The company could use YouTube tutorials as well, or they could also create theirs.

Additionally, another training method that could be used is role-playing. In this case, the person who is training the employees could take part in a task as a way of showing the employees what to do and what not to do (McKeown, n.d). This is a method that will yield the best results. The reason is that the trainees tend to see what the trainer wants from them and then they follow what he or she is doing. Therefore, there is little room for creation of mistakes.

Technical communication can be adapted using various ways. The first involves learning more about the company, the target audience and their expectations. After this, there is a need to look at what the company wants and the resources it must make sure that a company adopts that technical communication. This will help them to successfully meet the needs of the target audience and it will help them to make the businesses process better.

In a bid to adapt more to the communication practice, we hired technicians to help repair the communication services in case they broke down. This would help prevent a situation where things were at hold in the company due to lack of precise communication services (McKeown, n.d). The other thing we did was to hire some professionals who would help train our employees on how to use the new communication techniques and when they were to use it. They were to also learn how to use the right language to communicate and how to enhance professionalism during the conservation. The employees of the company shall get to know about this via some trained officers who will teach them how to use this process and to make sure about the successful transmission of messages between audiences.

The workers were to also learn on how to adapt to the new modes of communication. First, the firm’s top management would call them for a meeting and they would teach them on the values they should have being workers of the company (McKeown, n.d). For instance, they should be open- minded and embraces every technological advancement that comes up with it. For instance, on the case of technical communication, the employees could embrace the ways of communicating as well as going ahead and giving ideas of ways of improving it. The efforts shall be made to make sure that this training program gets to each employee of the company for their better communication in future and in this step other team member shall be directed to learn about this in depth. This training program may have presentation lectures, seminars and practical scenario so get one to one knowledge about it in depth.

In the case study, it is evident that a bold flash technology company has an enormous problem in the communication sector. The current technical communication situation in the company is a major cause of other issues within the company. It is evident that the presence of rapid sales growth, a vast number of products and the fast pace of the new product development have been a significant threat to the communication sector. Bold flashes Mobile division has a great problem on the technical communications. In this case, there are no formatting requirements for internal product documentation hence individual technicians develop the materials without any guidance. This has contributed to more complaints about the complexity and inaccuracy of the company's products. To development effective technical communication the company needs to focus more on internal business processes, product documentation, and technical service communication systems. This will help in the reduction of complaints from the customers.

The value of a company is created through internal business processes to deliver what the customers need. Bold flash company is supposed to focus more on the methods that allow delivery of their strategies and different their organization from their rivals. The company needs to give a framework to find and map appropriate objectives that they have set within the organization. They should be able to discuss the indicators that are used and practicing some essential business objectives. To reduce the complaints, they need to think about what they provide from the perspective of the customers. They will be able to understand what the customers need and how they can satisfy them.

It is essential to understand your user when creating documentation, Bold Flash Company needs to understand their users so that they can develop different guides to different types of user preference (Turkmen, P 2010). The documentation produced should be simple which impedes the reading they should consider on inserting a simple note which will draw attention to a specific aspect. In their documentation, they should include diagrams and pictures for the users to understand how different parts of the product interact with each other. Through the creation of proper documentation, the customers will be able to understand the products and gain some interest in them.

Technical communication is the process of creating and delivering information products for safe and effective use of the products (Raman, M.2015). . The goal of communication is to convey information to the customers effectively. In the case study of Bold flash, a company has poor technical communications. In this case for the company to improve their communication they must have good customer-clients relations’, the successful business depends on how you relate with the clients. When you communicate in a manner that enables people to understand you clearly, it provides a convenient place of work and the clients to do more business with you. Technical communication indicates that you can think correctly and communicate your thoughts thus clients can work with you more efficiently.

To provide effective professional communication, Boldflash company need to consider more on training their clients. The company is supposed to develop a communication strategy of how the company will communicate with their clients. The company should define a process and purpose for better business technical communication management. The company may work in emails and train the clients on how to communicate and provide more information on the products. They can also demonstrate the technical processes and products through the email. This will be essential to the company since it serves as a medium to share the information and training.

Conclusion

Communication is very important success factor for any organization and it is evident that from the Boldflash case study there is a problem in communication in the company. It is important to train the employees and clients of the company for using new and effective communication tools so that the communication process can be improved.

As stated, there are some barriers in communication that make it difficult to reach other people. Such an ambiguity is call, communication gap. This barrier makes the gap so big devastating that people overlook such thing. In certain organizations where, communication gap is attained, that organization has difficulties in attaining those targets.

Some organization considers them to have interpersonal and intrapersonal communication according to which employees and clients work. When employees communicate with their senior members they use interpersonal techniques and those who have to communicate with in group they use intrapersonal communication.

Such barriers are really undoing for any organization. Moreover, those people who have diverse relationship with the society they really have a good communication gap and they work really well.
