Organizing HR Projects Leanne Batiste
Managing HR Projects Professor Kenneth Lewis

Executive Summary
WorkSafe Inc. targets to shift into a more integrated model to tailor the delivery of their
Human Resource Services. This shift will be enabled because the organization has immense
capacity to embrace the essential procedures to become a more profitable and sustainable venture
in the long run (Picciotto, 2020). As a result, we are compelled to design a project that will provide
a step-by-step guideline to implement updates and adjustments. With this, we will see our entity
rising to a capacity that it will be able to attain a more integrated system of delivering Human
Resource services to our clients.
Strategic Analysis
Making strategic plans is an essential element of project management and effective
leadership. Strategic analysis is a crucial step because it lays down a firm foundation that will help
the organization the goals it desires to attain in the long run. Therefore, practical guides and
projections will be essential in our strategic plans as they will enable us to satisfy our aspirations
and objectives as an organization.
SWOT Analysis
Company Strengths
Our most significant strength is immense consistency in our operations, and we have gone
the extra mile to establish a positive rapport with our clients.
Company Weaknesses
Although we usually outdo ourselves to ensure that the company's operations stay
consistent and uniform throughout, we end up overriding our budgets, putting other impending and
yet valuable projects at risk of failing. At other times, we find ourselves lagging in completing
some tasks because some of the funds were used to finance other projects.
Opportunities
The underlying opportunity for our organization is fulfilling the need for shifting towards a
more federal system of delivering Human Resource services inside the WorkSafe. Inc., we always
encounter exceeding our budget; therefore, adopting the centralized model will help us make better
and improved decisions while allocating funds. Additionally, we will also ensure to have some
money in the reservoir to use if a particular project goes over budget. Another opportunity for our
organization is to cut off central business units that are not generating any profits for the
organization and becoming expensive to fund and maintain. By introducing the centralized model,
we believe that our organization will enjoy more efficient and functional management strategies
that are less costly. This will further assist in developing improved standards that will be easier to
follow. It will be of significant help to HR managers by providing them with a guideline to allocate
the remaining budget.
Threats
The impending threat is the rapid advancement in technology, making the HR services more
competitive and expensive to implement in the organization. Also, the current system adds
additional baggage to the organization's management by adding extra costs and does not provide
sustainable revenue for the firm.
Our Values and Mission
The vision for our organization is to maintain and acquire a more integrated system through
which we can use to deliver our Human Resource services. The mission, on the other hand, is to
see to it that the organization is in a sustainable position in which it can use to attain all its
objectives in a cost-efficient way while at the same time maintaining the laid-out standards of the
organization.
Project Charter
A project charter is a formal document that comprises the scope, participants, and the
project's main objectives. The charters are developed and used for a wide variety of reasons;
however, they provide the project managers with authorization to manage the project and provide
everything required to facilitate the successful completion of the project. Another reason is that it
allows for a solid framework that can be used to make the necessary changes to the project and
assist in managing team leaders and members by establishing shared goals that everyone will
devote themselves to. Moreover, the project charter encourages commitment to the project while
at the same time eradicating inadequacy in projects.
WorkSafe Inc. Project Charter
Possible Outcomes (Challenges)
We expect that there might be a breakdown of communication between the project
managers, shareholders, and team members. In most situations, communication breakdown often
increases opportunities for misinformation. Therefore, we will resolve this by ensuring a reliable
communication channel that the teams can rely on to communicate effectively. Another problem
will be inaccuracies in funding and budgeting events. Therefore, we will need to implement a solid
financial management tool that will allocate the budget effectively without causing mayhem. There
will also be the challenge of scope creep, and therefore we are planning ourselves accordingly by
setting a manageable balance for them. At the same time, we are also expanding the project
timeline. The last problem that we will incur is poor risk management which we will resolve by
implementing the preventive measures provided by the contingency plan and registering the
impending risks.
Challenges Likely to be encountered by Project managers
The problems likely to be encountered in this scenario include communication difficulties
brought by differing opinions among the manager and the team members. This challenge will be
resolved using email as a push technique and telephone as an interactive technique to break the
boundary. Text messages and videos will also be effective when there is an urgent issue that needs
to be solved while the team members are far away from each other. Also, we will develop
communication plan considerations which will be referred to when the project is experiencing
communication challenges (Radujković, & Sjekavica, 2017). Regarding issues related to
processing, the members will be allowed to congregate and discuss matters about the project and
expound upon the relevant procedures. As a supporting tool, we will also establish a web-based
project administration tool to support our activities further.
Communication Plan
The communication plan will take into consideration the needs of every stakeholder and
guide the entire communication process. Adequate scoping and communication will be a powerful
tool that will communicate effectively for the managers, and we might also be go-ahead to
establish a communication matrix. We will also show the purpose of the communication by
organizing a wide range of board meetings, workshops, newsletters, and one-on-one visits. The
sessions will occur more frequently at the start of the project to ensure effective project
management.
Budgeting Plan
The budget plan will be estimated and utilized throughout each phase, and it will provide
the stakeholders and managers with accurate estimates needed for the project to be completed
(Gido, & Clements, 2014). The budgeting tool will also help the project control and estimate the
project expenditures inside the approved budget to help push the project to achieve the set
objectives. We will continue to itemize the spending needed to acquire the required products and
services in our budget.
Task Breakdown Structure
The project will be broken down into small parts, and calculations will be established based
on those sections, including historical information and the overhead costs to be incurred.
Skills Required for the Project Success
For our project to be successful, we will need technical skills, the ability to delegate tasks
successfully, sustainable emotional intelligence to diminish conflicts and robust capacity to
influence the crew members (Pulyaeva et al. 2019).
Project Risks to be Anticipated
The risks include risks of costs related to operations, scheduling, legal and performance
fees. These risks can be mitigated by identifying them before they happen in the organization by
brainstorming opinions to diminish setbacks and develop SWOT analysis along with system and
flow chart.
Conclusion
WorkSafe Inc. has enormous potential to become a highly sustainable organization if we
push ahead with the integrated service model of conveying the HR services. Developing a new
model is needed for our organization because the current one tends to attract additional costs that
we end up overriding our budget. Therefore, adequate planning will ensure that the firm's HR
services are less costly and effective. With the help of strategic planning, we will set forth the firm
foundation for our entity and the changes we will anticipate as we head to the future. The analysis
of our vision and mission, in this case, will enable us to stay focused to attain our goals. Similarly,
our SWOT analysis will provide us with ample opportunities that we can use to pinpoint our
weaknesses, strengths, threats, and opportunities. Developing the project charter will enable us to
identify the critical stakeholders who will significantly achieve our objectives.
On the contrary, we understand that projects are prone to experience risk, which are
unexpected events that negatively affect the tasks, crew members and shareholders. To solve
insufficient troubles altogether, we firmly believe that it will be vital that we identify the
underlying potential risks and discuss them with other members. We will further resolve this
problem of risks. We will begin by weighing the preventive measure by developing a contingency
plan and recording risks throughout the project. Lastly, we will manage the project scope creep by
planning and set boundaries for them. To diminish this issue altogether, we will proceed to expand
the timeline of our projects.
