Project Management
Executive Summary
Mamma Mia is a successful bakery and sandwich shoppe and the shop owner is looking to expand not only in size, but also expand into more modern IT methodologies to achieve quantifiable results for its customers. With this expansion, Mamma Mia would like to hire six additional employees, install an IT system that will replace her current paper processes and will allow point-of-sale with credit and debit card transactions, inventory, bookkeeping, and the ability to connect with her suppliers and the Department of Health.
Momma Mia has operated as a mom-and-pop shop for so long that she is way behind in time. It is crucial for Momma Mia to have a website created to allow her customers the ability to order on-the-go more easily, or to place orders for pick-up. DFB Consultants is a successful Information Technology firm who specializes in customizable point-of-sale systems. Our customer base ranges from your small mom-and-pop shops to your large retailers. DFB Consultants is confident in our STAR system will deliver extraordinary results to our clients and your customers.

Project Constraints and Assumptions
Some project constraints are the scope, time, and budget. The scope constraint is that the only features that are being offered as part of the POS system is inventory, bookkeeping, connection to suppliers, connection to the health department, and the ability to accept debit and credit cards. The time constraint is that Momma Mia wants the project complete in 6 months. And Momma Mia has budgeted $100,000 for this project.
Some assumptions are based off DFB Consultants prior experience the deliverables can be met within the timeframe and forecasted budget.
Preliminary Risk Statement
Once the project is complete, the stakeholders can review and assess if there were any unforeseen circumstances. Where proper measures put in place to prevent any risk?
Preliminary Communication Plan
We hosted weekly stand-ups using the virtual Microsoft Teams platform. At the stand-ups we will meet with the stakeholders and provide an update on where we are with our specific tasks. Bi-weekly we will offer a demo of the system to show the stakeholders the current buildout to ensure we are meeting their expectations. Two weeks before the project complete date of June 14, 2022, we schedule a dry run of the entire system with the stakeholders to identify any system anomalies.
Change Threshold
Low level thresholds can be met. For instance, the client didn’t mention the need to set-up a customer loyalty program in the POS system. This is a change that can be approved and wouldn’t be considered a scope creep since it doesn’t threaten the success of the project (UMGC, n.d.)
Definition of Project Complete
The overall project was to build Momma Mia bakery and sandwich shoppe a POS system that would allow them to be able to manage inventory, update record for bookkeeping, connect with the shoppe suppliers as well as the Virginia Department of Health, create a website so customers can place on-the-go and pick-up orders and accept debit and credit card transactions. DFB Consultants were given 6 months to complete this project. The project start date was December 1, 2021, with an expected completion date of June 28, 2022. We are proud to say that the STAR point of sale system was successfully implemented by the scheduled project end date. The one challenge that was faced during the duration of this project was the separation of Raj Patel, our tester. We were able to mitigate this loss by performing a User Acceptance Testing with one of Momma Mia’s tenured wait staff who had knowledge and experience with the merchandise and could ultimately test the STAR system to be sure all of the functionalities were what they expected.
