Letter of Reprimand
Assignment Purpose: As a principal, you may eventually encounter a situation in which coaching, feedback, and professional support are not sufficient to address an employee's performance or conduct. In these situations, you must be able to determine an appropriate response, follow district procedures, document the concern, and communicate formally with the employee. For this assignment, you will choose a sceneario and analyze a personnel scenario and prepare a Letter of Reprimand appropriate for placement in a personnel file. Important Requirement. You cannot simply write a letter based on what "sounds right." You must identify and reference the applicable board policy and explain how that policy guides your decision.
Scenario 1: You are the principal of Oak Ridge Middle School. One of your teachers, Mr. Davis, has repeatedly failed to follow the school's established expectations regarding professional communication. Over the past two months, three documented incidents have occurred in which Mr. Davis communicated with colleagues in an unprofessional and confrontational manner. Incident 1:During a department meeting, Mr. Davis interrupted a colleague multiple times and stated, in front of other staff members. "You obviously don't understand what you're talking about." You met with Mr. Davis afterward and reminded him of the school's expectations for professional communication and respectful interactions with colleagues. Incident 2: Several weeks later, Mr. Davis sent an email to a colleague that stated: "Maybe if you actually did your job, I wouldn't have to keep fixing your mistakes." The colleague reported the email to an administrator. You met with Mr. Davis and reviewed expectations for professional communication. Mr. Davis acknowledged that the email was inappropriate and agreed that he needed to communicate more professionally. Incident 3: Approximately three weeks later, during a team meeting, Mr. Davis again spoke to a colleague in a confrontational manner and stated: "I'm tired of having to deal with people who don't know what they're doing." The department chair documented the incident and reported it to you. You review the school's board policies and determine that the behavior is inconsistent with district expectations regarding employee conduct and professional behavior. At this point, you must determine the appropriate administrative response.
Scenario 2: You are the principal of Oak Ridge Elementary School. One of your teachers, Ms. Reynolds, has experienced ongoing concerns related to required instructional responsibilities. Over the past semester, you have documented repeated concerns regarding the timely submission of required lesson plans and instructional planning documents. Initial Concern: During the first month of school, you noticed that Ms. Reynolds repeatedly failed to submit lesson plans by the established deadline. You met with her and reviewed the school's expectations. She explained that she was struggling to manage the planning requirements. You provided:
· Planning resources
· Additional planning time
· Support from the instructional coach
· Clarification of expectations
Continued Concern: Over the next six weeks, lesson plans continued to be submitted late. You met with Ms. Reynolds again and documented the conversation. You clearly communicated that lesson plans must be submitted according to the established school schedule. The instructional coach also met with Ms. Reynolds and provided assistance with planning. Continued Failure to Meet Expectations: Despite these interventions, Ms. Reynolds continued to miss deadlines. You have documented:
· Four missed submission deadlines
· Two previous meetings regarding the concern
· Support provided by the instructional coach
· Written reminders regarding expectations
· The teacher's acknowledgment of the expectations
The missed planning requirements are beginning to affect your ability to monitor instructional planning and support classroom instruction. You review the applicable board policy and determine that the continued failure to meet the established expectation warrants additional formal action.
Assignment Requirements
Regardless of which scenario you select, complete all nine components below.
1. Analyze the Situation: Explain:
· What is the personnel concern?
· Is this primarily a conduct issue or performance issue?
· How serious is the concern?
· Is the behavior ongoing?
· What previous interventions have occurred?
· What evidence is available?
2. Identify the Applicable Board Policy: Locate the applicable policy from your district's board policy manual. Identify:
· Policy number
· Policy title
· Relevant section(s)
· Specific expectations related to the employee's conduct or performance
Explain how the policy applies to the scenario. Do not simply list the policy. Explain how it guides your decision.
3. Identify Existing Documentation: Identify what documentation currently exists. For example:
· Previous meetings
· Written warnings
· Emails
· Observation notes
· Employee acknowledgments
· Coaching documentation
· Incident reports
· Performance records
Explain why the documentation is relevant to the personnel decision.
4. Determine the Appropriate Administrative Action: Before writing the Letter of Reprimand, explain what you believe the principal should do. Consider:
· Previous interventions
· Severity of the concern
· Frequency of the behavior
· Board policy
· Employee rights
· Due process
· Consistency
· District HR procedures
Explain why a Letter of Reprimand is an appropriate response—or explain what additional step should occur before issuing the letter.
5. Determine What Should Be Placed in the Personnel File: Identify the documents that should appropriately become part of the employee's personnel record based on your district's policies and procedures. Explain:
· What should be included?
· Why should it be included?
· What should not be included?
· Who should be responsible for maintaining the documentation?
Do not assume that every note, email, or draft automatically belongs in the personnel file.
6. Draft the Letter of Reprimand
Write a formal Letter of Reprimand that could be placed in the employee's personnel file. The letter should include:
· Date
· Employee name and position
· Purpose of the letter
· Specific concern
· Relevant facts and documentation
· Applicable policy
· Previous communication or corrective action
· Clear expectations moving forward
· Consequences of continued concerns, when appropriate
· Appropriate closing
The letter should be:
· Professional
· Objective
· Specific
· Evidence-based
· Policy-aligned
· Respectful
· Free from emotional or inflammatory language
7. Explain What You Would Communicate to the Employee: After drafting the letter, explain how you would conduct the meeting with the employee.
Address:
· How you would introduce the purpose of the meeting
· What evidence you would discuss
· How you would explain the policy
· How you would communicate expectations
· How you would allow the employee to respond
· How you would explain next steps
· How you would maintain professionalism and confidentiality
8. Identify When You Would Involve District HR: Explain whether you would involve district HR in this situation. If yes, explain:
· When you would contact HR
· What information you would provide
· What guidance you would seek
If you would not involve HR immediately, explain why and identify what circumstances would cause you to involve HR later.
9. Final Reflection: Write a 1–2 page reflection addressing:
"What did this scenario teach you about making difficult personnel decisions as a principal?"
Consider:
· What was difficult about the decision?
· How did board policy influence your response?
· Why is documentation important?
· How does due process influence personnel decisions?
· How can principals balance accountability and employee support?
· How can principals avoid making personnel decisions emotionally?
· Why is consistency important?
· What role does district HR play?
· What will you do differently as a future principal because of this assignment?
