To: Quality Electronics Team Members

From: Matthew Doherty, Manager, Phoenix store

Subject: Professional Attire

Date: November 5, 2018

In recent years, Quality Electronics has experienced a great deal of success due to the hard work and dedication of our many employees. With today’s growing economy, we hope to continue our success and expand further as a company, which will ultimately benefit everyone at Quality Electronics. In order to improve our company and the image that we convey, a new policy will be implemented in which all employees will no longer be able to choose their own attire. Instead, the company will provide more formal clothing that must be worn at all times at Quality Electronics.

I would like to thank each and every employee for already creating a positive and friendly environment at our store, as our company image relies heavily on our customer service. However, in order to meet the standards set by many other companies, having a more professional and company-focused clothing style will undoubtedly convey an even stronger positive image for Quality Electronics. Management has made this decision based on the following reasons:

❖ Customer Confusion: Frequent customer complaints have indicated that when employees wear their personal clothing, our customers often become unsure as to who is an employee in the store. This trend is something that must be fixed, as we want to ensure customers the ability to talk to our knowledgeable staff while they are visiting our stores. When employees wear the same attire, especially with the company logo on it, the likelihood of customer confusion decreases greatly and is essentially eliminated.

❖ Company Unity/Identity: The ability of Quality Electronics to work as a team goes a long way in creating the success that we have experienced lately. Having a company-wide clothing policy will reinforce those values in a way that will show customers that all of us at this company are there to help. Each employee’s personal attributes, when combined with the unity of working for one company, will lead to high-quality service that can benefit everyone involved. As businessman Mike Lynch has said, the important aspects of time, effort, and money go to waste as a result of not making decisions based on company identity (Lynch, 2012).

❖ Increased Sales: This reason is partially a result of both reasons outlined above, as being able to help more customers and doing so with a clear-cut company identity would lead to more engagement with our clients. In turn, these encounters increase the potential for sales of our products and services. Morale is another factor that contributes to sales, and it can be influenced by the way you dress. After a survey of employees identified the 100 best companies to work for in the U.K., it was found that nearly three-quarters of those companies have a

formal dress code (Corey, 2018). Implementing a formal dress code at Quality Electronics can create a positive business culture that continues to strive toward growth through higher sales.

Overall, we feel that these changes will cause multiple benefits for all employees of Quality Electronics.

Here are two examples of how this change will positively impact employees:

❖ Quality Electronics Pays for Clothing: Management will cover the costs of providing and

implementing the more formal attire. Each employee will receive five shirts, three pairs of

pants, as well as a pair of shoes and a belt. More details about the outfit are outlined below (see

picture attached at end of memo):

o Blue collared shirt with the Quality Electronics logo embroidered on chest

o Black pants with brown or black belt

o Black shoes or heels

❖ Reduce Clothing Costs: Under the current system, employees must provide their own clothing

for the job, which results in costs to the employee for acquiring these clothes. However, by

having an outfit provided by the company, employees will no longer need to supply their own

variety of clothes for work.

I would like to personally thank each and every employee here at Quality Electronics and assure you that

this necessary change will benefit everybody. Implementing this change will improve upon the

momentum and success that all of you have already helped to create with your enthusiasm and hard

work every day. Please feel free contact me at (480) 765-4321 if you have any questions.
