MY WEEK 3 POST
Topic: Governing Bodies in Healthcare Organizations
Organizing represents the managerial role that comes after planning. It is a function that includes the coordination and combining of people, technical, and financial support. Management is comprised of five essential duties: organizing, planning, leading, coordinating, and controlling. There are multiple managerial levels in health administration: top-level, middle-level, and frontline managers. The three roles of health managers are interpersonal, informational, and decisional. The article will discuss the organizing job in healthcare organizations as discussed in Olden’s (2019) book: Organizing Job; Management of Healthcare Organizations.
Effective healthcare management planning and organizing may assist healthcare companies in creating transparency and improving communication. The strategic plan should cover the essential concerns, the organization’s vision and goals, and the methods to achieve the goals. Stakeholders will have more confidence and trust in the business as a result of excellent planning and structure. Organizing also helps categorize an organization’s work into jobs and team members’ specific responsibilities. Placing certain responsibilities into a job generates division of labor and specialization. Consider the tasks and duties that individuals did when they attended an emergency organization. Hundreds of activities are completed in Health Care Organizations, and managers typically organize tasks into specific jobs to ensure that no work is left undone or to chance. Certain positions are responsible for fulfilling particular responsibilities. Once managers have divided work into specialized occupations, they must coordinate all highly skilled jobs to accomplish shared objectives. Managers select how broad or confined to do a job before assigning tasks to jobs. A job with several tasks is more general and less focused than one with few duties.

Lessons Learned Posting:
Healthcare organizations need managers. Managers must strive to improve health at both the community population level and the individual personal level. I learned that the division of work, specialization, coordination, authority, line of authority, unity of command, a span of control, and centralization are all administrative theories. My initial understanding of Administrative Management is slightly different from my current views as I mainly do everything at my job, including human resources, marketing, payroll, and opening new locations. After reading my classmates posts I have learned that most organizations have specific departments who are responsible for different managerial duties. I have learned the list of administrative theories and the typical organization chart job duties. Planning, organizing, staffing, directing, and controlling are the five fundamental management functions. In recent years, motivating the staff took over directing; however, I still have the question: shouldn't decision-making be a part of the fundamental management functions? Or would you say that decision-making falls under planning?

Topic of interest: Best Practice for Effective Meetings with Groups, Teams, and External Parties.
Managers must ensure that meetings are worthwhile and effective for the groups, teams, and external parties. According to Olden (2019), employees gripe about meetings that are pointless, unproductive and a waste of time. Managers who know how to make meetings worthwhile are rewarded with better results and happier employees. A meeting cannot be effective without a facilitator. A facilitator is someone who uses knowledge of group processes to design and deliver the structure needed for effective meetings. The facilitators help the group members decide where they want to go, but the group itself deliberates and makes the final decisions (Coastal Services Center (U.S.), 2010, p. 2).
Facilitator functions:
• Helps group define its meeting purpose and desired objectives for a meeting
• Designs processes for group to meet its goals, create products, or make decisions
• Guides group discussions to keep meeting participants on track by asking key questions and reminding groups of their stated goals
• Ensures that group assumptions are stated and tested, and that all participants’ voices are heard
• Acts as a “neutral party” that has no stake in the outcome of a meeting
• Takes notes to record key points of conversation and group decisions
• Helps group plan to carry out decisions made at a meeting
An organization cannot be successful without an effective group meeting with their team and external parties. Employees come together to pool their efforts, join forces, develop creative ideas, and make decisions in one key social context: the workplace meeting (Meinecke et al., 2020). For example, regardless of it being a meeting with the group, team, or external parties I make sure to have an agenda summarized in a handbook and I make sure that I have a clear purpose. It is crucial for everyone to know the purpose of the meeting and what is to be accomplished. No one should feel lost and everyone should be on the same boat. Time is money and it must be used efficiently and effectively.

Topic: Internal and External Factors that Influence the Organizing Function
Every organization has an external and internal factors that affect it functions. For instance, in an healthcare organization the internal and external factor greatly influence the way job are carry out or perform.
External factor like new technology, politics, competitors, economy, customers, and weather are beyond control but can make a huge impact on Healthcare organization's performance and success. For example, digital communication creation led to the redesigning of jobs to use electronic health records rather than traditional paper records. The creation changed the way doctor’s work or function. In order words, the new creation make some physicians or doctor to be slower in their writing function which prompted the creation of new digital scribe positions into the healthcare departments.
These scribe goes into the emergency room with the physician (and the patient) and writes all the digital medical records in real time while the physician treats the patient. After caring for the patient, the physician reviews, edits, and signs the digital record. Thus, because of a technological innovation in the external environment, a new digital scribe job was created and the tasks of the emergency room physician job changed. Artificial intelligence, chatbots, and virtual assistants developed in the external environment are further changing tasks and work in HCOs (Schawbel 2017)
Additionally, internal factor also has major influence in healthcare organization function. For example, staffing, culture, financial situation and processes are major factor the can change the functionality of the healthcare organization.
Staff Motivation is one of the influential factor to consider in the internal environment of the healthcare field. For example, according to Olden. (2019), when jobs are too repetitive and only follow a simple step-by-step process, workers may become unmotivated. Jobs in which workers perform tasks alone may demotivate people who need social interaction. Also Jobs with rigidly organized narrow tasks and no opportunity for creativity demotivate people who need growth or self-expression. Staff motivation is a great tools to keep workers satisfied, enabling employees to grow, and getting the work done.
Financial situation is also a big influential factor in healthcare organizations. Staffing and patient needs and expectation are always changing. So, healthcare organization should always be financially equip and ready to these challenges. For instance, Finances are need to build new patient care units, purchase new equipment imaging machines, computers, gloves, beds, and pay staff salary as well as a wage rise for existing employees. Finances also help organization to have employee trained to develop a new product that serve the patients and the organization needs.
Overall, the external and internal factors like new technology, finance, and staffing of these healthcare organization actually influence to promote or encourage growth and development within the organization.
