Types of project management powers
The Chief executive officer is the head of a company that the project aims to benefit. CEOs cannot handle all the company projects and appoint project managers to run the projects.
The project manager delegates duties on behalf of the CEO. the manager leads the role in planning, monitoring, executing, controlling, and order the project's closure. The project manager is also responsible for organizing and motivating team members. It is his or her duty to develop an effective budget by involving cost estimation procedures (Weldearegay, 2012). The manager should efficiently analyze and manage risks and provide a final report at the project's closure.
Outcomes (possible issues) resulting from managing projects
lack of effective flow of communication
projects require timely and transparent conversations between all stakeholders. Miscommunication is one of the most dangerous issues that kill a project. It can cause delays and conflicts among the stakeholders due to the lack of a way forward. Effective communication maximizes success and minimizes the chances of failure. The project manager should outline the roles of the team members. The project manager should also communicate the project's progress to the stakeholders. Lack of proper communication is a sign of project failure (Harrin, 2021).
Project managers should develop a communication plan to ensure proper communication at the project's initial stage. Relying on project management software to keep the members updated at every stage of the project makes the communication more efficient and effective.
Lack of accountability
Projects run very smoothly when the team members perform their roles without being supervised. When the project manager is accountable for their actions, it gives assurance that the project will deliver. Lack of accountability makes it hard to set expectations, track progress or milestones and focus on performance.
Budgeting issue
This is one of the greatest issues that cause project failure. Inefficient cost management comes from overrunning resource expenditure and over-expenditure on managing risks. Team members spending money without communicating with the manager on where the money is specifically spent cause a challenge in tracking the expenditure. The budget issue can be resolved by proper documentation of all project expenditures. Creating accurate budgets and controlling costs is important in rining a project. Project managers should follow the steps of properly estimating the cost and combining it with a well-written statement of work. This can be performed using software tools such as Microsoft excel, google sheets, brain leaf, and CMPA software.
Lack of clear goals
Lack of clarity on what the project wants to achieve is the cause of many issues in a project. Unclear goals make the team members lose focus. According to (Greycampus.com, 2021), 39% of projects fail due to a lack of clarity on the goals. Setting clear and realistic goals in line with the project's revision is a proper strategy to minimize failure. The team should focus on business value and not technical detail. The project plan should be clear objectives.
Challenges faced by project managers
Poorly defined goals do not provide clearly what is expected at the end of the project. Unclear goals make it hard for project managers to establish the best roles for the teammembersFinding the right project management software (Weldearegay, n.d.). Most project management finds it difficult project management software compatible with the project at hand at the budget's confines. Softwares are very efficient when it comes to tracking the project's progress.
Strategies to cur the above challenges
Project managers should therefore research the available software before starting a project. The best solution is to ensure that a company is clear on what they want the project to deliver. Setting a goal. The use of project planning software can help the company to clearly outline what the project is expected to achieve at the end of the project. Lack of accountability can be resolved to be resolved by ensuring that project managers assign roles to each team member properly. This makes the members focus on achieving the project's goals (Kashyap, 2019).
Project communication planning
purpose
Communication planning should involve developing a mutual understanding, coordinating activities, influencing, and information exchange. The establishment of communication infrastructure is crucial in establishing effective communication. Planning identifies the strategies in which information will be transferred from one person to the other. The communication plan should answer the following question, who is the receiver? Why communicate? What information? How? and when?
Methods
Reports, meetings, and project portals are some of the communication tools a project can put in place. Meetings provide sessions for brainstorming, decision making, and negotiating to reach a consensus. Meetings also speed up the project's progress and bring unity among the team members. Meetings offer a team member a platform to identify and read the nonverbal skills from the project manager and the members. Reports provide information on what has been accomplished and the time spent (Mrsic, 2017). Report are formal means of communication where the project managers can communicate with the company and the project's sponsors. A project portal is a technological platform where project organization can be controlled, managed, and stored. It is a way to save time for team members in communicating with one another. Information in the portal can only be controlled by the team members, project manager, and the stakeholder who have access to the portal's password.
Timing
Communication plan help to identify proper ways and timing to pass information. It ensures an efficient and effective flow of information throughout the project—communication planning helps to identify challenges and respond to them on time to avoid failure.
