How should the organization's work be departmentalized?

Organization work should be departmentalized based on the functional structures. Functional structure is a type of departmentalization where the task depends on the common skills of different departments and the work tasks. This involves putting together the functions and people having common knowledge and sharing certain functions and procedures depending on their field of specializations. Functional departmentalization is advantageous as it increases expertise and efficiency as the work activities are done from a department having a group of people specializing in a given activity (Gerffrard, n.d).

How should work be divided among departments and individuals?

Work is divided among departments using the matrix structure. Matrix structure involves both functional and divisional forms of the organization to divide work among the different specialists (Gerffrard, n.d). The process involved here is first making a plan of action. This is followed by deciding the functional department where the work should fall under. After finding the appropriate department for work, roles are assigned to specific departments and individuals based on one's profession in relation to the work requirements. The step is followed by setting small, manageable goals, which are achieved by dividing big goals. Setting small milestones makes the work to be fun and fulfilling. Small goals should have a strict deadline as it helps to compel individuals to accomplish more on the work assigned. Once the work has been divided, a manager is selected to oversee all the activities.

How would you make sure that the work of various individuals and groups was effectively coordinated?

To effectively coordinate individuals and groups, integration has to be done in the organization. The first example of the integration mechanism for proper coordination is bureaucratic, which has a hierarchical communication system and command used for scheduling, regulations, and plans (Gerffrard, n.d). Through this, different groups in the organization can effectively communicate without losing connection and information between members. Secondly is the staff meetings where individuals meet either virtually or physically for the workshop discussions. During such a meeting, group members get a chance to come together and communicate how various tasks can be handled with effectiveness and efficiency. Through such meetings, the identified drawbacks are communicated and the solution implemented. However, a matrix method can be used where two integration methods are simultaneous. Even though the matrix integration mechanism is quite complex, it ensures effective coordination as the advantages of the two methods is put together for a common benefit.

Draw an organizational chart that you could use to describe the agency's design.

Organization charts are the most essential tools in organization as they give the chain of command on various divisions and how information is flowing. It gives an overview of how every decision of the organization interacts with other entities for mutual benefit (Gerffrard, n.d).
