A data protection policy is a document related policy that purposes to lay the foundations that enforce data protection law and privacy. The management is informed of the personal data in the information commitment and lifecycle and helps Hollywood organic cooperatives endorse individual data sensitivity, promoting personal data. Information Governance policy is a policy that plays a crucial role in cooperatives by enhancing service planning compliance with quality audit regulations and measure performance management. The system stresses information as the key asset in terms of management services and users. The records retention schedule policy addresses the disposal and retention of records data (Sieg, 2020). The cooperatives require that the data retained for institutional requirements in the future. The records in the retention period are properly disposed of through this policy's guidelines. Further, serving the role of educating other staff and preserving the records.
The documents are converted during the lifecycle through data capture. The stages of document transition promote data capture where the data passed through the enterprise firewalls. Ii is defined as creating data values that have never existed or do not exist in the cooperatives. The stage of data maintenance involves the supply of data to points at which data usage and synthesis occur through the purpose of the best-suited form. Data synthesis promotes the creation of data values using inductive logics using the input as the other data. The data usage stage refers to a situation where the data used to support cooperatives (Sieg, 2020). The data applied as information to tasks involving cooperatives needs to manage and run itself successfully. Data publication defined as the process of sending information to a location outside of the cooperative. The stage of data archival involves copying the data to the environment where it is stored. In contrast, in data purging, every copy of the data is removed from the cooperative.
The e-documents treated as corporate records retainable to legal corporate and requirements guidelines through a document's disposition. The valid retention policy requires cooperation to facilitate document disposition that is not tossed away like garbage. The way the form is disposed of clearly indicates the level of importance of the document's content. The keeping and tossing of a document is a process that not wise because deleting or keeping cooperatives records requires costs. It is critical to decide which data the cooperative wants to retain and the ones they want to destroy. The document life dependency relies on its technical value, operational and informational legality (Sieg, 2020). If the document fails to have the above values, they are likely to be of no use; hence, the document's life protected to the significance of these values. E-documents must be discoverable in purpose and valued, treated as corporate records.
The key recommended tool required to support disposing of information is the tape destruction and the hard drive. The purpose of establishing a defensible, repeatable, and documented way of disposing of information assets enhanced through tape destruction that is easily used to destroy backup data in the cooperative tapes. They are becoming much applicable in disposing of the data since the technology is evolving rapidly while the life cycles of data in tapes continue to shrink as time proceeds. An IT asset disposition program should ensure that this tool of disposing of the information meets the required value in information destruction of the cooperatives to avoid the destruction of the information before time (Sieg, 2020). Tape destruction offers a hand of help to reduce e-waste, promoting faster disposition of information with no or less cost incurred in data destruction.
