ISYS1000: Assignment Scenarios Assignment Task The assignment for ISYS1000 requires you to use the Information Systems Description Framework (ISDF) to describe an information system that you choose from a provided list of IS scenarios. The assignment is due, and must be submitted via TurnItIn (in Blackboard) before Sunday May 13, 23:59.
List of Information Systems Scenarios Choose one scenario from the following eight for your ISYS1000 assignment.
#1. Student Attendance Information System: A lecturer at Albany university has decided he wants to keep an accurate record of which of his students attend their lectures and/or tutorials. The purpose of this is not punitive, since it’s not absolutely compulsory that students attend, however the lecture wants – over a period of three semester – to analyse if there is a causal link between student attendance and their results.
The lecturer develops an App for an iPad/tablet called Scanned Attendance Tracker (or SAT) which can read and record the barcode of his students’ ID card, and places a tablet with the scanning software at each of the physical entry points for his lecture and tutorials.
Students, are required to bring their student ID cards to any of their classes, where they touch their card on the tablet’s screen as they enter the room. There are some data verification protocols built into the App. For e.g., if a student attends a different tutorial to the one in which they are officially enroled in, their attendance is still recorded, however a different beep is sounded – so the student knows the system has recorded an anomaly – and the details are recorded in the SAT software for the lecturer to follow-up on. It is also possible for a student to manually type in their student number into the SAT software should they lose their ID card, however this can only be done twice in a given semester.
The SAT software interacts with Blackboard’s Grade Centre, populating the ‘attendance’ columns with each week’s class attendance. The Grade Centre is where students results for assignments, tests and/or exams are recorded, so over time, attendance and results can be compared. Attendance columns are not visible to students, but are seen by lecturers and tutors. It is therefore possible, in the short-term, for the lecturer to use this interface to pro-actively email students if their attendance is really poor, particularly if mid-semester test or assignment marks are also poor. Long term, a picture of the relationship between student attendance and results can be analysed.
#2. Library Classification & Repository Information System The Citadel library’s Classification & Repository Information System (CRIS) is used to register, classify, categorise and appropriately store for distribution the multiple resources that arrive at the library each week. The CRIS is actually just one sub-system within a much larger Library Information System (LIS) and is responsible recording when a new resource arrives and managing how it is classified and categorised for storage and distribution.
A resource can arrive at the library physically – for e.g., a book or DVD delivered via mail or courier; or it can arrive virtually – e.g., a digital copy of a newspaper or journal.
When a resource arrives at the library it is entered into the CRIS using a unique serial number.
Each resource is classified in terms of the type of resource, for e.g., a book, or a DVD. Other descriptive data is added.
Each resource must also be categorised according to its function, that is, how it is to be used and/or engaged by library users, so that it is ready to be stored and/or become available for distribution. For example, how will this resource be borrowed? Is it an online resource or a physical resource. Is it closed reserve, or available for to be borrowed, and so on.
The CRIS interacts with numerous other sub-systems within the larger LIS. Other systems include the “Short-Term Registration Information System (STRIS)” which is used to register when a resource is being used in the closed-reserve section of the library. It also interacts with the Resource Borrowing Information System (RBIS) where resources are borrowed to be taken away from the library, as well as the Resource Search Information System (RSIS), where library users can search for where a resource is located.
#3. Appointment Booking Information System A general practice called ABC Medical, based in Bentley, has created a method for patients to book appointments online. This enables people to book appointments at their convenience and helps to free up reception staff to help those already waiting to see a doctor.
Potential patients are able to fill out their details as a guest, or to sign up to save their details online for future use.
The website allows for potential patients to enter their personal, contact, and medical details, as well as choose from a list of available doctors and appointments. The list of doctors available is linked to a calendar system that manages all doctors’ appointments (whether they are made online, over the phone, or in person). This is reflected in the online booking method to show what days and times each doctor is available for patients to book an appointment.
Once an appointment is made, the calendar system is automatically updated to represent it and doctors and receptionists are able to view this.
The contact details of the patients are used to send an automatic SMS reminder 24 hours before the appointment time, giving them the details of their appointment and the option to reply to cancel if it is no longer needed.
#4. Arcadia Bank Loan Application System Case: The Arcadia Bank handles loan applications submitted over the Internet. The bank has to evaluate the loan applications and decide whether to approve the loans or not.
The evaluation process has some initial automation in that the user fills in the application and the software registers the application, giving it a unique ID. It makes a query to a credit-rating agency, used by multiple banks, asking the agency’s system to provide credit rating information about the applicant. This credit rating is then attached to applicant’s application being held in the software.
The loan evaluation is performed by an experienced loan evaluation officer, who looks at all the available information, that is, both the
application and the credit-rating information, and decides whether to approve the loan or not. The loan evaluation officer is accountable for the loans s/he approves or rejects. The application, identified uniquely by its Application ID is given a status (approved or not approved) in the system. Furthermore, it is becomes associated with the loan evaluation officer’s ID. This is so that all applications and all decisions are easily traceable. This information is kept in one of the bank’s internal databases.
The status of the application (approved or not approved) – i.e., the ‘result’ of the application) is sent to the applicant via the email address given by the applicant in the application.
#5. GYM Membership Management Information System A gym located in Bentley is currently using an inefficient paper-based membership management information system. It is time- consuming for a staff to locate a member’s details and historical data about a member as they have many members. This gym is planning to introduce a new gym membership management information system (GMMIS) to improve their membership management efficiency. The GMMIS will be designed to manage the following four functions:
Gym Registration (online/face to face). A new member can sign up online or in-store. The new member needs to fill out a registration form, including first name, last name, Email Address, Membership Start Date, Membership Duration, Payment Type, medical conditions, etc.
Information Update. A gym member can update the contact details via internet, or directly interact with the gym staff by providing the membership ID and the new contact details.
Membership suspension. Members can suspend their memberships/put it on hold. They can talk to a gym staff or fill out the online request form. Following details need to be provided by the member: membership number, name, email, suspension start date, suspension end date, etc.
Membership Cancellation. A member can cancel the membership at anytime; however, a cancellation fee may apply based on the membership type and contract.
#6. Movie tickets online booking information system A local cinema is currently using a movie tickets online booking information system (MTOBIS) to build better ticket purchasing experiences for the customers, and to improve efficiency. You are required to describe this information system based on the following details (Please note, this is only an example of a ticket booking IS, and it is just a brief description, you are welcomed to add more details/functions/users/information processors/information stores/etc.)
Sign up (for new customers)/sign in (for existing customers). Customers do not need to sign in or sign up to book online, but loyal customers will receive special offers.
Movie searching. Customers are not required to sign in to search a movie, but they need to choose the movie name/time/type (3D or 2D) etc.
Ticket purchasing. Customers can pay online (PayPal and credit card are accepted). If the online booking has been processed successfully, customer will receive an email with an attachment containing the booking confirmation.
Movie information update. Cinema manager will update the new movie information regularly.
#7. Student Enrolment Information System (SEIS) Recently, Achievement College which is based in Perth, WA, has been acquired by Colleges Australia Inc. In order to streamline the operations, Colleges Australia has decided to rollout the Student Enrolment Information System to replace Achievement College’s current manual enrolment system which is struggling to keep up with the number of enrolments which has gone up by 30%. The SEIS (used by Colleges Australia) will also be supported by an SE Apps to complement its online portal to cater for the growing mobile users. The system will come with Webchat support, confirmation notification and FAQ.
Students use the Portal Software/SE Apps to enrol and register in classes. The School/Faculty gets the number of students enrolled and number of classes from SEIS. Timetable IS provides classes available to SEIS. Colleges Australia Inc. (Headquarters) gets the enrolment report i.e. Student numbers, course type, Country of origin etc. from the system

The data collected will also be used to analyse, forecast, trending such the most popular course and the breakdown of students by country to support the college’s future marketing plan. E.g. the relationship of the course type by country etc.
#8. Vehicle Rental Information Systems Mr Crabtree owns a vehicle rental business. He has been successfully running the business for past 15 years. He rents out variety of vehicles including car, four-wheel drive, van and mini-van. He has a clerk and a sales person to assist him in his business. Having facing difficulties in tracking his customers and sales information with paper-based information system Mr Crabtree has decided to implement a computer based information system for efficient management of his business.
The vehicle rental IS (VRIS) is designed to manage the following process: The clerk registers and records the customer’s details into the vehicle rental software.
A customer walks into his office and interacts directly with a clerk to rent a vehicle. The clerk using the VR software provides quotations based on customer’s need. The customer then chooses the most ideal choice for them.
Upon agreeing on the details of the rental vehicle the clerk processes customer’s payment via the vehicle rental software. The transaction information is stored in a vehicle rental database.
The information of the new vehicles is recorded into the VR software as they are acquired.
Every fortnight a sales report will be generated and emailed to Mr Crabtree for his perusal.
