Description
A. What is your challenge or opportunity?
To investigate the correlation between employees in high-involvement work practices (HIWP) and internal promotion opportunity. According to Rocio Bonet, there is a positive impact on the promotion opportunities for employees in HIWP (Bonet, 2014). Most HIWP employees are lower level staff. Participating in high-involvement work practices accords them an avenue to showcase their capabilities to their superiors.
B. Why is this professionally important to you?
Having risen from initial holding a HIWP position to now being in a top managerial position, this presents me with the opportunity to convince the board to consider recruiting inwardly in the future. It is professionally important because it is easier to work with people you already have a history with as opposed to having to blend in with strangers recruited externally.
Goal
A. What goal or outcome do you want to achieve with this outcome?
My goal is to convince the board to consider giving current members of staff whenever an opportunity arises which they are suitable to fill. To help members of staff to internalize the vision and mission of the organization. Once the staff members have become accustomed to the vision and mission of the firm, their productivity can be more targeted towards specific outcomes that the firm intends to achieve. With a more committed staff, promotion opportunities would not easily bypass them.
i. Is the goal, clear, concise and actionable?
The goal(s) of this communication strategy is clear and concise, that is, helping staff members to understand the vision and mission of the organization, in a bid to structure the targeted output. The goals are also actionable. The objective of helping staff to understand the vision and mission of the organization is to help employees have a coordinated approach to meeting their set targets.
Audience
A. Who is your target audience?
The targeted audience is not homogenous. It consists of people with diverse backgrounds. The target includes both internal and external audiences. Some of those targeted include members of the board of directors, shareholders, government regulatory authorities, members of staff in general but specifically, human resource management and development department, marketing and public relations department and all heads of department.
i. What are the professional positions of audience members?
As has been indicated above, the audience is diverse; therefore, members have varying professional qualifications as shown herein below:
a. Government Regulatory Authority officer
b. Group chief executive officer (CEO)
c. Chief operating officer
d. Head of Human Resource
e. Unit officers in charge
f. Officer In charge of mergers and acquisitions
g. Representative of shareholders
h. A representative of the board of directors
i. Representative of employees
j. Head of the legal department.
ii. What is the demographic characteristics of the audience?
The demographics that cover this group vary immensely. The group consists of senior civil servants in charge of local and overseas investment, white collar executives of blue-chip companies who have invested in the firm, children who are represented by their trustees in the shareholders’ forum, men and women who are either skilled or semi-skilled. Regardless of the level of education of the participants, they are all fairly literate and conversant with electronic and other alternative modes of communication.
iii. What is your relationship to the audience?
I have been with the organization for some years rising through the ranks from the ‘lowly’ position of administrative assistant where I started off from to my current position as the chief finance officer (CFO) and a non-executive member of the board of directors. I have rotated in nearly all departments and engaged with a majority of the members of the audience. I have also served as a policy advisor and attended numerous government workshops where I got to interact with representatives from the regulatory body.
iv. What background knowledge and expertise does the audience have?
The CEO commissioned the project and had been following it up since infancy. The regulatory officers have our plans to monitor unfair competition and safeguard against job losses. The legal and human resources departments have been playing an advisory role in the formulation of this strategy. The board of directors, staff and shareholders each sent a representative to play an oversight role.
v. What does the audience know, feel about, and expect concerning this communication?
The audience, particularly the employees, are receptive to the idea. Reducing external hiring is a welcome idea. The board is, however, noncommittal. The board sees this as an unnecessary constraint to their policy-making role. The regulatory officer is also apprehensive of this idea. He sees it as an unfair trade practice and discrimination in employment opportunities.
vi. What preconceptions and biases do you possess that might prevent you from building a rapport with your audience?
I am a beneficiary of internal promotion opportunities. That is how I rose to my current rank. It creates the impression that I am biased in favor of internal promotion because I can relate.
B. What information is available about your audience?
a. The preferred mode of communication
b. Preferred setting for delivering the information.
i. What research sources will you use to obtain information about the audience?
I will rely on my interactions with them previously. I will also look into the company files to be able to understand my audience better.
ii. What conclusions have you been able to draw from the audience?
Members of staff in HIWP are receptive to the idea because they see it as opening avenues for them to rise through the ranks. The CEO and the board of directors are apprehensive because they see it as a constraint on their power to make recruitment decisions.
C. What tone will you use to convey your message?
i. Is the setting casual or formal?
The setting will be formal although I will include light touches to ease the doubts of those who are worried.
ii. Is the communication personal or impersonal?
The communication will be personal because this is a new concept. The audience needs to feel a personal touch.
Key Message
A. What is the primary message you must convey to your audience?
HIWP contribute a lot to the growth of the firm. If we appreciate their efforts by favoring them for promotions, we will see a rise in productivity.
i. Is the message compelling and memorable?
The message is compelling because it seeks to recognize the efforts of employees who give the firm its profits.
ii. Is the message clear and concise?
The message could not be any clearer than it already is.
iii. Is the message aligned with your audience’s goals and needs?
The goals and needs of the audience are aligned with the message because, in the long run, it will lead to better pay for employees, increased dividends for shareholders and more taxes for the government.
Supporting Points
A. What three to four points, reasons or justifications support your message?
· The economic reality in the world today is that we have to be innovative if we are to stay afloat.
· A new system does not necessarily imply doing away with the old one. The two can coexist.
· Working with someone whom you already have a prior relationship with is easier than building new work relationships.
i. What research/sources will you use to obtain facts/data about your message?
I will be relying on studies conducted by the company on how to improve efficiency. Additionally, I will also look into the works of scholars in this field.
Channel Selection
A. What communication style will you employ (Tell/Sell or Consult/Join), and why?
I will be using the consult/join style. The method makes subordinates feel included in the decision-making (Draganovic, 2017). The manager only sets the parameters and leaves the implementation to subordinates.
B. What channels will you use to deliver your message, and why will they be the most effective?
PowerPoint presentations, Skype and email, and social media
C. What purpose is served by each channel you have selected?
· PowerPoint presentation will enable the incorporation of pictures and videos to explain a point which words may not bring out clearly
· Skype and email will be useful when a quorum for a physical meeting cannot be reached. Members can contribute remotely.
· Social media is effective in reaching the external audience. It is also relatively cost-effective.
Action Request
A. Is your call to action you are making to your audience clear, concise, and easily actionable?
The call to action to recognize the efforts of HIWP is clear, concise and easily actionable. The organization only needs to look inwards for qualified personnel before recruiting externally.
