Complete and Format a Professional Document
GETTING STARTED
Open the file IL_WD16_CS9-16a_FirstLastName_1.docm, available for download from the SAM website.
Save the file as IL_WD16_CS9-16a_FirstLastName_2.docm by changing the “1” to a “2”.
If you do not see the .docm file extension in the Save As dialog box, do not type it. The program will add the file extension for you automatically.
To complete this Project, you will also need to download and save the following support files from the SAM website:

With the file IL_WD16_CS9-16a_FirstLastName_2.docm still open, ensure that your first and last name is displayed in the footer.
If the footer does not display your name, delete the file and download a new copy from the SAM website.
If the Developer tab does not appear on the Ribbon, click the File tab, then click Options. In the left pane of the Word Options dialog box, click Customize Ribbon. In the Main Tabs list, click the Developer check box. Click OK to close the Word Options dialog box.
PROJECT STEPS
You are an intern at Ambassador Student Exchange, an organization that places high school students from countries around the world with host families in the United States. You are helping Amanda Blair, the outreach coordinator, to create an informative document about the organization to send to potential exchange student hosts.
Start by comparing documents as follows:
Compare two documents using IL_WD16_CS9-16a_FirstLastName_2.docm as the original document.
Use Support_IL_WD16_CS9-16a_Blair.docx, available on the SAM website, as the revised document.
Label changes with Amanda Blair in the revised document.
Show the changes in the original document.
When a Microsoft Word dialog box opens, allow Word to continue with the comparison.
Turn on Track Changes, then respond to Amanda’s comments and revisions as follows:
Accept the change in the first body paragraph to capitalize “Ambassador” as the name of the organization. (Hint: To Show Comments again first hide the revised and original document pane).
Read Amanda’s comment in the first body paragraph, delete it, then insert a space and the text about your own way of life before the period in the sentence that begins “You can introduce your family…”.
Reject the change to the heading “Select an Exchange Student” so the heading appears as “Select a Student”.
Accept all the remaining changes in the document and stop tracking because all the remaining changes are correct.
With Track Changes turned off, read Amanda’s comment at the beginning of the document, delete the comment, then apply the Basic (Elegant) style set to the document.
Find every instance of Ambassador Student Exchange and replace it with the same text formatted with the Ambassador character style to draw attention to the organization’s name. (Hint: You should make three replacements.)
Add and modify index entries as follows:
Mark all instances of the text Ambassador representative as an index entry.
At the end of the first sentence in the first body paragraph (“Welcoming a foreign exchange…life-changing experience.”), after the period, create an index cross-reference from the text foreign exchange student to exchange student.
Modify the picture showing the Ambassador logo on page 1 to create a more balanced design as follows:
Crop the picture of the logo to the Oval shape.
Apply the Position in Top Right with Square Text Wrapping option to position the picture.
Apply the Cool Slant bevel picture effect. (Hint: Depending on your version of Office, the Cool Slant may be named Slant instead.)
Modify the bevel style by changing the width of the top bevel to 9 pt. and selecting the Soft Edge material.
Modify the picture showing exchange students to clarify its contents as follows:
Rotate the student picture to the left 90 so it has the correct orientation.
Apply the correction Brightness: +40% Contrast: -40% (5th column, 1st row in the Brightness/Contrast gallery) to the picture of the students to make the picture easier to see.
Add Alt text using Ambassador students as the title and Group of exchange students as the description so that electronic screen readers can identify the picture.
Use the Modify Style dialog box to modify the Caption style to match other Ambassador documents as follows:
Remove the bold formatting.
Change the font color to Teal, Accent 5, Darker 25% (9th column, 5th row in the Theme Colors palette).
Change the Spacing After paragraph to 10 pt.
In the body paragraph after the heading “Select a Student”, complete a sentence by creating a cross-reference as follows:
After the last word in the paragraph (“see”), enter a space and then insert a cross-reference to the heading text Meet Students.
Insert a period at the end of the sentence.
Complete and format the SmartArt graphic on page 2 as follows:
Add a shape to the SmartArt graphic to the right of the “Meet student” shape.
Add the text Host student to the new shape.
Change the layout of the SmartArt graphic to Step Up Process to create more impact on the page.
Change the height of the SmartArt graphic to 2.5” to reduce the amount of white space around the graphic.
Change the colors to Gradient Loop – Accent 5 to match the color of the caption.
Apply the Numbered Step list style to the numbered list (from “Families who are interested…” to “…in their home country.”) to call attention to the list.
Insert a footnote and modify the footnotes style as follows:
At the end of step 3 (“Meet your student…continues to go smoothly.”), after the period, insert a footnote with the following text:
Students also complete a full orientation.
Change the number format for the footnotes to the 1, 2, 3 style.
Modify the Footnote Text style by adding 4 pt. of spacing after the paragraph to create more space between two or more footnotes that appear on the same page.
Edit the citation for Lampur in the body paragraph after the numbered list to add 24 as the page number.
Copy a style from another Ambassador document to maintain consistency among Ambassador reports as follows:
Use the Organizer dialog box to close the file below the list box on the left, then open the file Support_IL_WD16_CS9-16a_Hosts.docx available for download from the SAM website. (Hint: Change the Files of Type to All Word Documents.)
Close the file below the list box on the right, then open the file IL_WD16_CS9-16a_FirstLastName_2.docm. (Hint: Change the Files of Type to All Word Documents.)
Copy the Students table style from the Support_IL_WD16_CS9-16a_Hosts.docx document to the IL_WD16_CS9-16a_FirstLastName_2.docm document, then close the Organizer dialog box.
Apply the Students table style to the table.
Modify the Students table style by removing the Outside Border from the whole table.
In Outline view, demote the first body paragraph after the “Meet Students” heading (“Ambassador sponsors students…their exchange semester.”) to Body Text to indicate this paragraph contains explanatory text, then close Outline view.
Add the missing figure caption for the picture in the “Meet Students” section as follows:
Include a colon ( : ) followed by a space to leave space between colon and caption text.
Enter Meet students from around the world as the caption text.
In the body paragraph before the “Learn About Home Countries” heading on page 4, edit the David Nunez source to use Noyes as the last name. (Hint: Update all lists after making this change.)
Link an Excel chart that changes frequently as follows:
In Excel, open the file Support_IL_WD16_CS9-16a_Countries.xlsx, available for download from the SAM website.
Copy the pie chart on the Student Countries worksheet.
Paste the pie chart in the blank paragraph in the “Learn About Home Countries” section using the Use Destination Theme & Link Data paste option.
In Excel, change the value in cell B4 to 350.
Switch to Word, then verify that the Germany slice in the pie chart now shows 32% of the total.
Use the Links dialog box to break the link to the Excel chart.
Close the Excel file without saving your changes.
Create a macro to automate the formatting of the questions and answers on page 5 as follows:
Select all of the questions and answers text in the “Frequently Asked Questions” section (beginning with “Who is eligible…” and ending with “…coming tax year.”)
Using the Record Macro button on the Developer tab, name the new macro: FormatFAQs.
Store the macro in the IL_WD16_CS9-16a_FirstLastName_2.docm document so it is available only to this file.
Assign the CTRL+SHIFT+Y keyboard shortcut to the macro.
Click Assign then click Close to begin recording the macro in the next step.
Record the macro and change the formatting of the questions and answers as follows:
Change the font size to 12 pt.
Change the Space After paragraph to 6 pt.
Press END to move to the end of the selection and deselect the text.
Stop recording the macro.
Edit the FormatFAQs macro in Visual Basic as follows to reduce the font size of the text, which is larger than the surrounding text:
Open the FormatFAQs macro for editing in the Microsoft Visual Basic window.
Change the Selection.Font.Size = 12 line of code to the following:
Selection.Font.Size = 11
Save your changes, then close the Microsoft Visual Basic window.
Add other questions and answers to the document as follows:
Position the insertion point at the beginning of the “Meet the Ambassador Team” heading.
Use the Text from File command to insert the text of the document Support_IL_WD16_CS9-16a_FAQs.docx available from the SAM website.
Select the newly inserted questions and answers (beginning with “How long do students…” and ending with “…at no cost to you.”), then use the CTRL+SHIFT+Y keyboard shortcut to run the FormatFAQs macro again.
Prepare to enter a new citation as follows:
Find the sentence “The U.S. Department of State…coming tax year.” in the third answer in the “Frequently Asked Questions” section.
Before the period, insert a Placeholder citation named Placeholder1 because you do not have the details for this citation yet.
Embed an Excel worksheet containing infrequently updated data about the Ambassador team as follows:
In the blank paragraph in the “Meet the Ambassador Team” section, use the Object dialog box to insert the Excel file Support_IL_WD16_CS9-16a_Team.xlsx available for download from the SAM website.
Edit the embedded file by changing the first name in cell A2 from “Deanna” to Diana, which is the correct name.
On page 6, insert a content control in the blank table cell to the right of the “Host or rep?” cell in the “Contact Ambassador” table as follows so readers can select an option from a list:
Insert a Drop-Down List content control in the blank table cell to the right of the “Host or rep?” cell.
Add the following two entries to the list:
Host family
Ambassador representative
Insert a content control in the blank table cell to the right of the “Austria” cell as follows so readers can specify one or more home countries for their exchange students:
Insert a Check Box content control in the blank table cell to the right of the “Austria” cell.
Format the content control with the Heading 2 style. (Hint: Use the Properties dialog box to specify the style for the content control.)
Change the Checked symbol to Wingdings symbol 252.
Copy the Check Box content control, then paste it into the remaining five blank cells in rows 5 and 6. (Hint: Use the Format Painter, if necessary, to match the formatting of the existing Check Box content controls.)
Select the check box to the right of the “Austria” cell.
In the blank paragraph on page 7, insert a bibliography using the References built-in style.
In the last blank paragraph in the document (below the “Index” heading), generate an index using the Simple format to suit the style of the report.
In the second XE field code in the document, change the entry text to host family:benefits to correct the spelling error.
Prepare for adding a table of contents to the document as follows:
Insert a Next Page section break to the left of the “Become a Host Family” heading at the beginning of the document.
Hide paragraph marks and other formatting symbols to hide the index codes so you can generate correct page numbers.
Insert headers for the two sections in the document as follows:
In Section 1, insert a Blank header.
Type Ambassador Host Families to replace the “[Type here]” placeholder text.
In Section 2, remove the link to the previous section.
Type Host Family Information to replace the header text.
At the right margin, insert a page number in the Current Position using the Plain Number style. (Hint: Press the TAB key twice to move the insertion point to the right margin.)
Insert a table of contents as follows:
On the first page of the document, insert a table of contents using the Automatic Table 1 style.
Modify the table of contents by replacing it to show only 1 level of headings.
Modify headings to make them more meaningful, then update the table of contents and index as follows:
Assign the Heading 1 style to the “Meet Students” and “Index” headings.
Update all the fields in the document, including the entire table of contents. (Hint: Press CTRL+A to select the document, update one field, then click OK to respond to the message about links.)
Insert a cover page as follows to add professional polish to the report:
Insert the Austin cover page.
Enter Becoming a Host Family in the Document Title control.
Enter with Ambassador Student Exchange in the Document Subtitle control.
Enter the following text in the Abstract control:
Information for prospective host families of foreign exchange students
Change the font size of the text that appears in the Author control to 10 pt.
Your document should look like the Final Figure on the following pages. Save your changes, close the document, then exit Word. Follow the directions on the SAM website to submit your completed project.
