Valley Hospital Stage 2: Engage Me

CIO (woman): Welcome everyone to our regular Patient Engagement Committee meeting. Before we get to the agenda, does anyone have anything they’d like to say about how we’re doing with Stage 1?

MM (man): The website was updated to include more levels of navigation and has been a success.

CIO (woman): How have we been measuring the impact of the changes we made?

MM (man): We’ve been trying a variety of methods: tracking stats through tools on the webpage and feedback from staff who are using the tools.

CIO (woman): This is a good start, but now let’s brainstorm about some ways that we have execute on the Stage 2 of the Framework. Let’s get to our agenda items and see how we can begin to move toward Engaging and Interacting with our patients and not just be passive and Inform them.

CIO (Woman): If everyone can look at their copies of the Patient Engagement Framework and let’s discus improving our way finding by taking mobile, what do you think. On a regular basis our patient’s family members are always on their smart phones and ipads and asking, how to get to the medical records department, or where is the cafeteria? If we had an app then they could download it.

CNO (woman): I don’t mean to be a downer but cell coverage and wifi can be spotty in some areas of the hospital. Do we have any options with improving our connectivity?

CIO (woman): I am glad you are thinking about how it will work and how we will be able to meet users expectations. I will have my team verify coverage; we can look at adding some wireless antennas etc.

CNO (woman): And another thing is if my nurses start telling patients and families about this “wayfinding app” we better be prepared to help them install and access the app.

CIO (woman): I am one step ahead of you and making a note to get training materials on to hospital staff and help desk so we can all be fully supportive to our patients. I’ve also already have a list of apps that we could offer. Take a look and let’s vote on which ones we’d like to use.

DRC (female): Let’s talk about some interactive tools. I see listed that the Framework suggests some ideas for interactive forms such as: Patient profile, Pay Bill online, Pre- reg, Email customer service, Schedule clinic visit, and Request Refill. Any ideas on how to “snaz” these up ?

MM (male): Sometimes when we offer interactive forms we are linking to a 3rd party. Such as with the online bill pay. The 3rd party helps us with the credit card transactions. So, depending on their technology it may not have a very high cool factor. We need to consider that when we do our selection. For some of the other items, I have requested to take some new multi-media training courses and that will help us keep our web services interesting and current. Fortunately, there is some budget dollars for ongoing staff training in this area, because the technology changes rapidly.

DE (female): I would like to talk discuss the section on Patient Specific Education. We are supposed to be progressing through these stages then we need to figure out a way to “step it up” and interact with the patient. Stage 1 was easy for me, as we have historically done good job “Informing” patients about the medications, tests and procedures. Now, I can see it we need to push ourselves more and offer more education another way. I’ve found some resources that may work well here. Let’s take a look.

CIO (female): As far as Patient Access of their medical records, I already have this on my “to do” list as it is part of Meaningful Use Stage 1. We are good to go here, since our EMR is already being used and viewed today and I will have the ability for patients to receive parts of the health record electronically next month. And since we are on the topic, can we start to look and discuss Stage 3 Empower Me of the Patient Engagement Framework? The reason that I want to discuss, is that it aligns with Stage 2 of Meaningful Use (MU) and I need to get started on that right away. The requirements for MU Stage 2 are fairly comprehensive. We will need to build out our software systems so that they are interoperable with other hospitals and be able to support images and video in the hospital EMR. Once we have this build to we can link to the State Health Information Exchange (HIE). Additionally, I will need to partner up with several of you to design and build out the functionality so our patients can generate their own data. What are your thoughts on the potential tools here?

CNO (female): Count me for stage 3 I am very excited about what I have been hearing about symptom assessments and self-management diaries. In the area of chronic disease getting the patient to keep a diary offers a new and unique perspective that can enhance self management strategies. We also need to integrate the EMR with the PHR (patient’s health record)

DE (female): Looks like stage 3 needs my help too, there is a lot of information that patients are going to be having access to so that are empowered to make their own decisions. My team and I should start thinking about how we educate patients and family.

CNO (female): I am available to help if you need but more likely the nurses will be busy setting up some of the e-tools. My mind is spinning with ideas about the virtual coaching and an online nurse. As a matter of fact, a lot of what we are talking about for patients can be used for our staff too. John’s Hopkins Health System co-created a product called Innergy for their patients and after much success they offered it to their staff for weight management counseling.

CIO (female): Ok, sounds like we have a full plate, and plan for the next several months. Thank you all for your commitment to changing healthcare at Valley Health and leading the charge towards patient engagement. Meeting adjourned.
