Introduction

Communication is essential in any business organization, especially following the globalization of product and services market. Organizations are dealing with a lot of information and dealing with different actors that are performing various activities to facilitate and provide an enabling business environment. It is, therefore, crucial for any student pursuing business courses to understand communication skills as it will allow the student to have a positive impact on the running of activities in the organization that they will be employed. This paper is going to address the insight guide in business communication class, the importance of the insight gained, and how it will be implemented and applied in the working environment.

Insights Gained

The first insight is the use of communication technology in enhancing business communication. In most cases, when there are transactions, a tremendous amount of information is shared, which needs to be stored by the company. The most and recent development in technology is the use of cloud computing to store data (Guffey and Loewy, 2015, p. 8). Most businesses engage in transactions that result in big data to be stored, so it becomes difficult for the company to store and analyze such a massive amount of data. The skills obtained in a business communication course provide the solution to the problem of dealing with a lot of data collected when businesses transact while doing business.

It is costly for the business to buy hardware to store information, and in case of physical damage, the organization risks losing information. Some information, especially those involving finance, is essential, and they need to be stored for a more extended period so that in case there is any complaint, they can be retrieved and help the management in coming up with a better decision.

For the business to succeed, it, therefore, needs to embrace the use of modern communication technology as opposed to analog techniques. Currently, the company is operating in full geographical locations, which becomes hard to monitor physically. The only way of ensuring that there is the flow of communication to help the organization coordinates its activity is through communication technologies such as the use of Skype, Facebook, WhatsApp and Twitter in communicating to ensure that everybody working for the organization regardless of where they are located working towards the same direction of achieving the objectives of the company.

To correctly benefit from communication technology, it is essential for both the sender and receiver of the information to have better listening skills. One party must pay attention and listen to the other party so that the message being passed across can be well understood.

To ensure that the message being passed across is successfully received it is essential to ensure that the surroundings controlled to avoid any disturbances such as unnecessary movements or noise, paying attention to the main point being explained, having an open mind before starting the discussion so that the mend can accept easily the new ideas that are important, taking notes of important points so that one can use them as a reminder in future, and provide feedback to the speaker after carefully listening to the message being passed across (Guffey and Loewy, 2015, p. 11). The second insight is that to maximize the importance of having diverse employees, the organization needs to have an active communication channel that will ensure that conflict does not arise among the various employees. Employees have different skills being trained by different experts, and they have different cultures and diverse social backgrounds as well. An organization with the diversity of employees can either benefit or suffer, depending on how the difference is managed. For the company to benefit from employee diversity, it needs to have a successful communication channel between its working groups (Guffey and Loewy, 2015, p. 22).

It is believed that diversity within the organization encourages creativity. Different people have different ideas and knowledge which can be put together to come up with more magnificent inventions. It is, therefore, essential for the organization to come up with ways of ensuring that there are proper communication channels that will allow individuals with different ideas and capabilities to work in one direction of ensuring that the company achieves its objective.

For the management of the company to effectively manage the diversity of the employees, they need to come up with various strategies that will help in facilitating smooth communication across the different groups of employees within the company. The first strategy is for the management to seek training on the importance of workforce diversity and how the coordination can be managed to ensure that the communication channel is adequate and sufficient (Shen, Chanda, D’netto, & Monga, 2009). Training will provide alternative solutions that can be used to ensure effective communication.

The next step is to understand why the difference between the employee is essential. It is hard to benefit from something unless you accept the situation and appreciate the importance of having that scenario. When the management recognizes the importance of diversity as it captures the customer's needs because customers are diverse as well, it will be easier for it to manage the employees thy have correctly (Guffey and Loewy, 2015, p. 23).

Therefore, it is essential to have a better understanding of communication skills to manage the current organization, which has employees from different cultural and academic backgrounds. Failure to accept and maintain diversity, the organization's risk was experiencing negative consequences.

The third insight is that communication within the organization must be handled and transmitted as a process. Each part should consider all the factors that will ensure that the business message being passed across reaches the receiver, and it is received correctly.

For the communication within the organization to be effective, it must follow all the steps in the communication process, which start with the sender coming up with the business idea. The next stage is for the sender to encode the message that is to be shared, the third stage is for the sender to decide on the better communication channel to be used to pass the message across, the fourth stage is for the receiver to decode the message received, and the last step is for the receiver to send the message. It is, therefore, important for all the stages to be followed to ensure that there is effective communication within the organization (Guffey and Loewy, 2015, p. 37).

The sender needs to analyze and describe the exact idea which needs to be developed and communicated to the members. The objective of the message needs to be decided so that the receiver easily understand the main aim of the word without confusion. It is essential to select the best communication channel so that the receiver may be in a position to get the correct message at the right time. The sender needs to analyze the effect of the word to the receiver at this stage so that corrective measures can be done to avoid negative consequences.

The receiver must read the whole message and understand before sending the feedback. It is wrong for the receiver to prejudge the message before fully understanding the entire content; it may result in biased and incorrect feedback. To fully understand the word, the receiver needs to create a conducive environment free from destruction. It is also essential to have an open mind to learn, which will make it easier for the receiver of the message to accept new beneficial ideas from the sender. The last stage is for the receiver to send feedback to the sender, which will give the sender an opportunity to understanding whether the receiver got the message correct.

Importance of Insights Gained in improving my skills and professionalism

The lessons learned have changed my thinking and developed my skills, which will make it easier for me to operate in any working business environment. The knowledge will help me offer better solutions to organizations that are dealing with a lot of information and need to be stored and analyzed.

Information is critical to any organization, and the idea of using the internet to store the information which is very cheap as compared to the use of the hardware is a good idea to be adopted and used in different organizations that I will be working with (Premkumar, & Roberts, 1999).

Listening skills that are fully described will enable me to improve my professionalism by observing all the listening skills to ensure that all the essential messages being passed across are captured for the betterment of the organization. All the barriers to the listening skills must now be avoided because after reading the cause al the possible restrictions are explained, which makes it easier for me to detect and ensure that whenever I am in communication within the organization, the environment is okay for an effective communication process.

Another idea that has changed in my thinking is that workforce diversity has advantages to the company provided communication channel, and coordination is appropriately managed. Therefore, when I am working in an organization that has workforce diversity, I will ensure that coordination and communication are in a way that facilitates harmony that will motivate each employee to be creative to improve the performance of the organization.

Action Plan

To have a proper communication process, all the employees will be trained to understand the communication process so that when one has an idea uses the correct procedure, which will lead to an effective communication process within the organization. An organization with effective communication channels usually meets its objectives.

The company must train all the employees on the usage of telecommunication to facilitate communication, which is faster and cheaper. Resources, both financial and human, must be allocated because installing technology is expensive. Ones it is mounted, the company will be in a position to manage a larger geographical area at a minimum cost.

To effectively manage employee diversity, the management needs to have been trained on its importance and how it be appropriately maintained. When employee diversity is handled correctly, creativity within the organization is improved.
