Abstract
Information Governance (IG) is one of the most demanded protocols in today's technological market. As its name suggests, it ensures that business information is governed well and handled with the utmost care. Significant organizations are paying vast amounts of money to have the IG experts incorporated into their organizations. Hence, it noted much efficacy from the application of the practice.
Information Governance Challenges
One of the ever-growing organizations in the United States is Microsoft Corporation. It deals with a considerable quantity of its users' data and thus is an excellent organization to reconsider the application of information governance. Microsoft is an American technological international organization with its headquarters in Redmond, Washington. The organization is involved in developing, manufacturing, licensing, and selling computer hardware (laptops and desktops), software, and other interrelated services. Microsoft Corporation is a renowned organization and is recognized globally due to its implementation of the Windows Operating system. According to Statcounter's research, there are 1 billion people who are using the Windows operating system. It constitutes up to 40% of the total population of computer users. With the development of such a service, millions of people are still opting to use Microsoft's operating system daily. In the system's initialization, consumers must give specific details such as emails and computer product keys. Thus, the organization stores data from billions of consumers. In this paper, there will be a review of Microsoft, how it incorporates the practice of information governance and the various challenges met with applying the services.
As earlier mentioned, Microsoft makes software that is used worldwide, even by other organizations. A good illustration is the Microsoft Office that incorporates software such as word, publisher, Excel, and Access. To ensure the easy retrieval of the information through these applications, the consumers must create Microsoft accounts and store their data in the Microsoft online servers. Thus, Microsoft store tremendously critical user information that could cause drastic effects if it fell to the wrong hands. To ensure this does not happen, Microsoft has adopted the practice of Information Governance (IG). According to Kooper, Maes, and Lindgreen (2011), information governance is the practice of managing an organization's data by implementing specific roles and processes used to treat information as a business asset. In a simpler term, it refers to the process an organization handles or processes its data. In Microsoft's case, it uses IG's practice to ensure that personal data is held securely, legally, and effectively towards supporting the best possible results from their customers. Microsoft understands the benefit of IG's application because the practice helps them comprehend the value placed on information. However, despite the various benefits of IG, Microsoft still faces numerous challenges with its application.
Challenges Associated with Information Governance
Various challenges have been noted with the application of Information governance in the Microsoft Corporation. The eDiscovery procedure is one of the outstanding issues that exist. eDiscovery is a short form for electronic discovery, defined as finding civil litigation carried out through electronic techniques (Onwujekwe et al., 2019). Various costs have been levied against Microsoft, and there has been a risk of imprisonment of its executives since the organization at one time did not manage its information correctly. Having mountains of data occasionally causes mismanagement of the data. When users search for the information and cannot access it immediately, they are legalized to sue Microsoft. Hence, the eDiscovery protocol in Information Governance is a major challenge faced in Microsoft Corporation.
Information storage and management is also another issue facing the organization. In the practice of storing user data, there is a necessity to have sound information management systems. Hence, the organization faced a significant challenge in terms of cost for the implementation of information management. Developing the cloud storage units such as the Microsoft Azure had a substantial value on the organization. Hence, information governance requires Microsoft to develop well-equipped storage units for their user's data costly.
Another challenge associated with Information Governance currently being faced by Microsoft Corporation is the growth of insecurity concerns (Williams, 2008). As mentioned earlier, Microsoft handles large amounts of user data daily. IG ensures that information storage is conducted through well-governed protocols such as cloud storage centers. However, the storage of data in such centers is nowadays compromised. Due to the increased knowledge and skills of hacking worldwide, more people are learning about the various means of penetrating the well-governed information stored by Microsoft. As such, the user's private information is accessed and compromised. Hence insecurity is a significant challenge.
Moreover, another challenge faced with incorporating the Information Governance protocol is the various regulatory compliances that have to be met. Despite the benefits the organization has given to both the government and society, it has to provide conformation to multiple regulations, if not necessary, the action is taken towards the organization.

Scenario:
You have recently been hired as a Chief Information Governance Officer (CIGO) at a large company (You may choose your industry). This is a newly created position and department within the organization that was founded on the need to coordinate all areas of the business and to provide governance of the information. You will need to hire for all positions within your new department.
The company has been in business for more than 50 years and in this time has collected vast amounts of data. Much of this data has been stored in hard copy format in filing cabinets at an offsite location but in recent times, collected business data is in electronic format stored in file shares. Customer data is being stored in a relational database, but the lack of administration has caused data integrity issues such as duplication. There are currently no policies in place to address the handling of data, business or customer. The company also desires to leverage the marketing power of social media, but has no knowledge of the types of policies or legal issues they would need to consider. You will also need to propose relevant metrics that should be collected to ensure that the information governance program is effective.
The CEO and Board of Directors have tasked you to develop a proposal (paper) that will give them the knowledge needed to make informed decisions on an enterprise-wide Information Governance program, addressing (at a minimum) all of these issues, for the company.
