ABSTRACT

The introduction of technical improvements and growing cost pressure from globalization has led to hybrid work patterns throughout the corporate landscape. This adoption rate has increased enormously as we enter the post-pandemic age. Employees enjoy this approach due to its enhanced freedom. This paper analyzed the effects of a project relying on the hybrid team, the significance of hybrid teams on the project, and lastly, how effectively to manage a hybrid team.

LITERATURE REVIEW

Effects of project relying on hybrid teams

The issues in a hybrid team are substantially more complicated since project managers must deal with individuals from numerous divisions, remote locations, diverse backgrounds, and so on. All of these difficulties have a direct influence on the project's limits and have the potential to degrade its quality. A project relying on a hybrid team can face the following setbacks.

I. Communication gaps between the hybrid teams

According to Marlow et al. (2018), every project's success depends on effective communication. When team members are scattered across boundaries, communication gaps may emerge. Because of the communication barrier, the project manager may not receive real-time information from personnel who work remotely or on a part-time basis. As a result, if there are differences in the project tasks, managers will be unable to take prompt action, resulting in project delays and, in worst-case scenarios, project derailment. Furthermore, Gillespie et al. (2018) suggest that team members may occasionally fail to adequately comprehend the project objectives and interdependencies, disrupting the project's flow and the team's overall cohesion.

II. Incorrect resources scheduling due to time zone differences

According to Santos (2019), accurate resource scheduling is critical to ensuring that the right resource is working on the right job and is not over- or under-utilized. When resources are present in co-located office spaces, scheduling them becomes much more accessible. Managers may nudge them at their workstations to learn about their deadlines. However, it gets complicated when staff is dispersed across borders and time zones. In rare cases, time zone variations might be as much as 10 or 11 hours. (Iftikhar 2018) states that if managers do not have insight into their employees' locations, it might lead to uncertainty about project deadlines, causing the project timetable to suffer. Simultaneously, the hybrid team can have a part-time resource who works just on particular days. If managers are unaware of who is a part-time employee and end up scheduling time-sensitive activities for them even though they are full-time employees, there is a risk of delays.

III. Lack of accurate- time updates on project metrics

Project metrics assist project managers in determining the status of a project. When some workers work from the office and the remainder work from home, project managers face a substantial barrier in providing real-time updates on project KPIs. Wang et al. (2020). Furthermore, it will exacerbate the situation if managers do not equip the appropriate technology to get these real-time data-driven insights. According to Rosinol et al. (2020), the project managers will be unable to reduce any hazards since they will be unaware of the project's state, whether it is leading or trailing. The resources might be underutilized or overutilized, and the project could take longer to complete than anticipated. Similarly, the project may be halted if the project budget exceeds the due amount at any point and the management is not notified.

Significance of hybrid team on a project management

The employees' perspective gives them the freedom to choose their employment location. Germino (2021). They can either work from home or the office or strike a balance by visiting the workplace on specific days of the week. This allows them to achieve the ideal work-life balance. Working moms, for example, can stay at home to care for their newborns, while particularly challenged personnel can work comfortably in their home offices.

According to Metin (2022), in the project-led corporate environment, managers may attract people from all over the world. Furthermore, because geographical borders are irrelevant in a hybrid team, firms may seek cost-effective global resources without sacrificing quality. Such approaches enable businesses to keep project expenses low and administrative overheads to a minimum while maintaining quality.

According to Schmitz (2018), Employees are more productive and engaged when they can develop a synergy between work and life. This enables them to work more effectively toward the project's objectives and, as a result, improve its overall quality. Furthermore, Bidel (2022) states that it will increase client happiness and profitability. A hybrid work model is a viable alternative for enterprises since it delivers several benefits regarding employee retention, happiness, and competitive edge.

How effectively to manage a hybrid team in a project

Project managers have a wide range of talents that enable them to fulfill their tasks and obligations. A mixed work structure has hurdles that managers must navigate to get the most outstanding results. These are some of the methods for managing a hybrid team.

I. Set clear expectations for all team members.

According to mishchenko (2018), Project managers should adequately communicate the expectations to the individual members of the hybrid team. It enables employees to clearly understand their duties and how their work contributes to the successful completion of projects. Jeon (2019) further states that it keeps them focused on the final objective and increases productivity. Defining roles and duties enhances accountability and efficiency. To address time-zone discrepancies, managers might devise a strategy that brings all hybrid team members together at a specified time that works for everyone's schedule.

II. Increase productivity by learning about resource measurements.

According to Wingard (2019), the project manager is responsible for keeping the project on track by adhering to the budget and timeframe. It is only feasible if they can monitor the progress of each resource. Implementing a resource management technology allows managers to obtain real-time information on several resource-related parameters that assist in determining the success of a project. Additionally, (Gao, 2019) states that the tool will provide managers with a birds-eye perspective of the projects and activities in which their resources are involved, independent of their location. They may then identify individuals spending more or less time on projects than intended and take remedial action to boost productivity.
