Introduction

Information Technology (IT) plays a vital role in any healthcare organization. The IT department is one of the main points of focus during an implementation process. In addition to IT, other stakeholders have to be involved in the acquisition process as well. If the adequate personnel are not included during the implementation process, there is a possibility valuable information and feedback could be missed. This in itself can lead to acquisition delays and failure. As a result, staff training place crucial role during EHR system set up in order to ensure its success (Besson, 2020).

Moreover, healthcare organizations have to focus on staff training in order for them to learn how to successfully use the new EHR system and apply it to the standard operating procedures. Organizations have standard operating procedures that all employees have to follow. Therefore, medical facilities must ensure all staff members know how to continue operating procedures and at the same time use the new IT acquisition. The implementation phase requires staff to be responsible for moving through the phases in an efficient way. In addition, each acquisition phase requires various groups to be involved such as clinical departments, nursing, physicians, finance, inpatient and outpatient settings (Houseman, 2018).

Furthermore, if staff members are not properly trained on how to use the electronic health record system, this can cause delays and inappropriate patient care. Some of these delays include randomly checking fields during the patient check in process, documenting care was provided when it was not, the use of incomplete paperwork, inaccurate documentation located in the EHR, and lack of verification in order to avoid to log in into the system due to sign in difficulties (Gesulga, Berjame, Moquiala, & Galido, 2017).

Healthcare facilities must have training programs before implementing a new electronic health record system. These training programs have to be mandatory in order to have a uniform learning experience across the organization. Training would be done in person with designated date, time and location. Trainings would be provided by an instructor with clinical IT experience to shown staff member how to properly use the electronic system. Furthermore, a mandatory refresher training has to be put into place to aide staff members continue to build on their knowledge. Recurrent training provides staff the opportunity to continue learning and provide feedback of the EHR system. Feedback is vital in identifying issues and developing a solution.

Timeline

During the implementation phase a training timeline offers a comprehensive training for the healthcare practice. Training timelines can help reduce setbacks and can help the organization set goals. A proper training plan can contribute to a successful implementation process. Organizations can benefit through the proper training timeline in order to plan for number of training sessions that are set aside in the scheduled training. Timelines designed for training can help healthcare facilities allocate time for training in order to achieve their organizational goal (Besson, 2020).

Super User Training

Furthermore, training is going to be facilitated by a super user in a classroom. Staff members participating in the training program have to follow the given schedule and follow the instructions through their computers during training. Even though the instructions are written for future reference, the trainees are able to follow the instructions as well. In addition, training can help offer continuous training session for the healthcare employee and also for the super user.

When all the staff is properly trained, this can improve productivity and reduce miscommunication. The main purpose for the training is to ensure the information is share uniformly across users. The training is important during an EHR implementation process since the main goal is to ensure specific groups are involved in the process to reduce confusion and encourage trainees to pay attention during the training session. Therefore, training can ensure that the information offered goes to the right person at all times (HealthIT.gov, 2019). EHR super users can play an important role during the implementation and training process because they can help identify areas of improvement. At the same time, they can also help promote the new IT acquisition and can encourage users since they are part of the implementation process.

Conclusion

The main goal for the new implementation process is to improve the performance of the team, reduce errors, improve operations, and more efficient utilization of procedures. “Lack of readiness causes weakness of organization to undergo transformation during the implementation of the EHRs” (Ajami & Bagheri-Tadi, 2013). Overall, an electronic healthcare system improves quality of care and patient outcomes through improvements in communication and documentation. Processes became more streamlined after the implementation of an electronic healthcare system. For instance, the new system can help nurses provide better patients care due to the improved legibility of documentation and ease of access to needed information (Ko, Wagner, Okwandu, & Spetz, 2016).
