Organization Profile
Our business is called Fab Five Fajitas and is a small Tex-Mex restaurant chain based in Ann Arbor, Michigan. Consisting of three stores, the chain’s name derives from the success of the University of Michigan basketball team of the early 90’s who had the moniker of the “Fab Five”.
The popularity of the chain has continued to grow larger and larger over recent years. However, the they have seen an increase in customers the company has not advanced technologically. Each of the establishments still utilize outdated cash registers and the credit/ card readers. Orders are taken on paper and handed to cooks in the kitchen section of the restaurant. Other areas of concerns for the owners is the lack of a solid inventory database for each store, with no means of having real-time information off stock on hand.
The owners feel that it does not have a presence on the internet that could be hampering even more increase in sells. The feeling is that with a solid ERP the company will be able to expand to even more locations, preferably with each location being linked with the option of expanding with new locations opening.
Proposed ERP
Choosing the correct vendor for the ERP system is vital for proper implementation. Knowing that the company needed to look for a vendor that specialized in restaurant ERP and extensive vetting of the possibilities, the company has chosen the Toast ERP system.
Through research of their website, www.toasttab.com, Toast provides the company a multitude of solutions to different aspects of the restaurant needs. Inventory and customer services can be met utilizing the hardware and software Toast provides to their clients. The company can also help the on-line presence of Fab Five Fajitas, which in-turn will lead to more sells.
A formal meeting will need to be made with the Toast team about total cost for all of the required hardware for incorporating the implementation. Prior to this however a thorough review of the needs and expectations from the service has to be performed and documented. This will ensure that the Fab Five Fajitas goes into the meeting with Toast prepared and can have an effective meeting. During this meeting the following modules (not all inclusive or limited to) should be considered for implementation:
· Employee records
· License renewals i.e.; Food Establishment License, Sales Tax License, Liquor License, etc.
· Inventory control
· Inventory separation for departments such as taxable and nontaxable.
· Inspection schedules from Health Department, Local government (County or Township compliance)
· Record of Sales to include graphs/charts
· Customer satisfaction surveys
· Advertising and promotions
Rationale Behind Selection
Based off the appearance of the Toast website and reviews of the company, they appear to be a solid performer in the restaurant ERP field. This selection based purely off research and more thorough vetting would need to be accomplished prior to final selection.
Reasons why the company seems to be a perfect fit for Fab Five Fajitas include the following:
· Training – One of the biggest concerns with going to a technical system is the fear of change. With this fear of technology, knowing that Toast provides training in the form of: Documentation, Webinars, Live Online and In Person helped contain this fear.
· Cost – Cost is as much if not more of a fear in ERP implementation. While the cost of the initial set-up can be high, over time we feel that it will make up through faster and better service. According to a user of Toast, Joe Guenther owner of O’Maddy’s Bar and Grille (Toast, n.d) “Okay, that's the most volume I'm going to be able to get out of that kitchen, out of that building, out of that number of seats.' Then Toast came along, and that number's up 20%.”
· Evolution – Fab Five Fajitas has fallen behind in restaurant technology and does not want to do this again, especially with aspirations to grow the chain even larger. With this being with a company that is looking to better their software and systems is important. As Sam Slattery, a Managing Partner with Buccan, said of Toast (Toast. N.d.) “With Toast, we’re subscribing to a system that evolves over time. We look forward to a constantly improving system. We’re part of a community and we like that we can participate in that evolution.”
Below is the list of issues of concerns that need to be discussed with Toast prior to signing all of the paperwork putting Fab Five Fajitas in business with Toast:
· Ease of use of the ERP process for staff.
· Data memory/storage capabilities are adequate for current and projected growth.
· The ERP process will be fast and efficient.
· IT service/tech support during start up and follow on performance.
