Software design

The local DMV wants a system that checks customers at the receptionist in the quickest way. Their preference is for the system to be allowing customers to have the self-check when there is a lot of business going on but have receptionists check customers the rest of the time. Our organization will be the designer and it will have to work as an outsider in the group of stakeholders but we have the idea of design in relation to the system that the DMV needs. The prototype technique to be used in such a gathering for the system will be the paper based and it will take the illustrative form. The illustrative prototype will be useful because it will be illustrating and providing feedback for the information system of the project (Nicole Papa, 2016). This will be good for the first dialogue with the client so that they can fully entrust us with the project. It is also easy to build and thus we will come up with the prototype and present it in the meeting as first as possible to present our ideas. This is no verbal description because there is need for information on what the user actually does with the system in the organization. In this prototype, we will entail the precision, which is the relevance of the details as per the prototype and this must include the size and position where the customers will be standing to self-check themselves.

The management needs to plan for the design of the system using several steps so as to form a sound foundation for the process of the design. The first step that the management needs to take in the plan is to define the owner design requirements and the needs of the project design. Radely (2017), the manager of the design needs to gather any information related to the design from the owner who wants his system to function in the receptionist area. In such information, it will be obvious that the owner will give information that has some gaps and thus calling for the manager to identify the gaps left out and seek the relevant source of information for these gaps. The second step is engaging the design consultants. All the key design consultants need to be engaged that are required for the functional development of the design. However, it is important to clarify the scope of work of the consultants in the project and the clear level of input that will be required of them in the agreement of the contract. The next step is the preparation of the functional brief and concept design by the management. This calls for the management to deliver the design brief of the project of the system check at the reception and the concept design that will include all the requirements of the DMV in addition to their needs. After this the fourth stage is to prepare the management plan of the design. This is important because it gives the management a roadmap for the way the design will be managed and the requirements of the design process. This management design includes the objectives of the project which is to ensure that a system is developed that can facilitate both the self-check of customers as well as reception checking.

Outline cost plan is the fifth stage of the management plan and it calls for the managers to coordinate the development of the cost plan together with the quantity surveyor and they must include all the inputs from all the design consultants that are relevant for this system design. After the costs are identified for the project design, it is also important to look into the design risks as the 6th item in the management plan. In this stage, all the related risks of the design in the DMV need to be reviewed and expanded and this needs the inputs from every member of the design team. There is also a need to avail the safeties in the design. The risks that are likely to occur in the design need to be established so that their mitigations be outlined in the risk register and this will be on the management basis. There is also need to arrange a value management workshop as the 7th stage (Maria. J & Mattias Arvola, 2012). This will be a systematic review of the all the important functions of the project design so that there is an achievement in the best value of money. In this case, the most essential elements will be carried out first or they will be allocated funds in the first place as the list goes down. The management needs to prepare such a report but it will be reviewed by the owner, who are the local DMV and thus there is need to put into considerations any recommendations on the value management. The plan then needs to be submitted for permits and the selection of the material needed in the project should be made in time, the 8 stage involves the pricing by the contractor, who is the local DMV. The contract will be signed after the agreement on pricing and materials needed before the design begins.

Each of the management stages listed above are likely to take at least one day to be accomplished except for the last stage of contract signing and commencing of the work that is likely to take more than one day. This is because the contractor will have to review the materials needed, the price of the materials before quoting their own price for the project. In this case, if the materials selected have a higher cost than the budget allows, there can be a change of the scope of work or materials to reduce the costs until it meets the budget.

The self-check interface needs the users to search their appointment separately by name and check in. this system does not allow the users to access the appointment details of other people and if they have any issues with the checking in procedure, they will use the help option that will help them through the process (Maria & Mattias Arvola, 2012). On the other hand the receptionist interface will be solely handled by the receptionist in the organization in checking in the customers. The advantage is that the receptionist will have full knowledge if operating this check-in list and thus the process will be relatively faster than the customer interface because not all of them have full knowledge of using the system interface. The similarity in this case is that both interfaces are used to check-in the guests and customers.
