As-Is Process Flow Chart Evaluation

Select a process from an organization you work for or are familiar with. You will use this process in your Week 2 & Week 4 Signature Assignments as well.

Create a flowchart of the as-is process using Microsoft Word, PowerPoint, Vizio, or Excel.

Evaluate the efficacy of your process using process improvement techniques.

In the efficacy of the process, different techniques are used to improve the process. A common process improvement technique is the six sigma technique. This technique consists of the DMAIC tools. The process begins basically with the determination of the issue or task. Definition of the problem is essential for the problem solving process. The process should also contain metrics that will measure the quality aspects of the problem solving process. Measurement of these aspects entails negotiating between the proposed budget and the suppliers. Through this process, the suppliers work with the available budget presented.

The whole process does not entail good documentation. There should be documentation to summarize all the steps that are taken in the main stages of the whole procedure. This entails the performance phases as well as technical specification phase. Document is crucial as it presents vital information during the audit process and can also be used for future reference.

Process Improvement Flow Chart

Determine how the process can be improved based on the results of your evaluation.

To improve the process, proper documentation is required. There should also be effective communication between different bodies in the organization. This will ensure free flow of information and ideas.

Define metrics and measure the current process. 

When the management requires data on a certain process, it measures, compares and tracks certain metrics in the organization. An organization uses metrics when it wants to make an innovation or improve on a process (Girmanová et al., 2017). The process will use the metrics of a plot graph. The plot graph will determine the rate of documentation in the organization. It will measure how often documentation takes place.

 

Use process improvement techniques to improve the process. Create a flow chart of the improved process using Microsoft Word, PowerPoint, Vizio, or Excel. Use your professional judgment to ascertain how the future process will perform according to your metrics. 

Summary

Write a 525-word executive summary that includes the following: 

· A brief description of the process based on the flowchart of processes current state 

· The results of your process evaluation and how the weak points can be strengthened. Include a description of the process improvement technique(s) used. 

· A brief description of process improvements based on the process of the future state 

· How you anticipate the future process will perform based on metrics used to evaluate process current state

· A description of your process improvement project to achieve the process future state

 

The process above entails an engineering process. Through the process documents are written and processed by engineers. They are then released to the other departments. The initial process indicates that a document is written by an engineer then forwarded to the lead integrity team. The process entails many teams that have different functions. The document is passed to the integrity team via email. The lead integrity team then assigns a technical expert who reviews the document. In this process, the technical expert edits the document and sends it back to the engineer for reviewing. He also requests for a list of reviewers of the same document. After receiving the list of more reviewers, the technical expert then sends the document to the reviewers for advanced technical review. After the technical team of extra reviewers has reviewed the document, the document is send back to its original author who is the engineer. The engineer then reviews the corrections and either approves or disapproves of the changes. He then includes the approved changes into the document and sends the document back to the lead team for a formal review. When the review has taken place, the document is corrected and presented to the chief engineer of the process. The role of the chief engineer is to give comments and sign the documents upon approval (Girmanová et al., 2017). In a case when the chief engineer makes comments, they are reviewed by the engineer who is the original author of the document. He then approves the comments and signs the document. The technical writer then is tasked to print the approved document and distributes it to the approved parties.

Why the process does not work.

The needs of the current setting of the organization are above the orientation of the document review process. For the organization to function efficiently in the past, it used the above system. Currently, the above process does not work since it is time consuming. Even though the whole process is completed through email, the process takes approximately 6 weeks to yield positive results. In order to have an effective process, a process with a shorter timeline of processing the documents is required. Once the suggested process is integrated into the previous system, it will be easier to process documents. This is because a shorter time will be taken and not many people will have to be involved in the approval process.

Anticipated metrics

For this process to be effective and yield positive results, we will ensure that all documents in the organization pass through a tracking system in the next three months. Through tracking the documents, all documents will be monitored from the beginning of the process to the end (Girmanová et al., 2017). This will help track the exact time taken for the process.

Future Updates

Having a better system for processing documents will resolve the system of delay in the organization. The changes taking place will help the organization gain a faster process of documentation. To sign the documents, an electronic system will be required. The documents will be monitored electronically. If the whole process happens electronically, the project manager will be able to monitor the document through all phases. It will be simpler to hold any parties causing delays during the documentation accountable.
