Project

Part A: Scope Statement

Background

This project has parameters as defined in project description

Project scope: A movie

Project budget: $500,000

Project schedule: Approximately 90 days

Project quality: Project team will evaluate factors affecting quality

Project parameters include project scope, project schedule, quality, and budget. Concerning project scope, this will be a fictional movie that tries to detail how some of the people get to rise above the ladder and gain so much riches. The movie is about Leonardo DiCaprio who is a poor man trying to work and see if he can make both ends meet. He works in an office where is he is paid less but has got no option but to keep working (Scorsese, 2013). The project is expected to take approximately 90 days and cost around $500,000. Various factors such as harsh climatic conditions and conflict among stakeholders will be addressed to ensure that the project team deliver a high quality project.

2

Project Objective

This project has three major goals including:

To ensure that the deliveries met business goals.

To ensure that the project is profitable

To ensure that the project is accomplished at the right time and meet customers demands.

Project objectives describe desired outcomes or tangible items of a given project. They are specific and measurable, and must meet time requirements as well as budgetary allocations (Schwalbe, 2016). The main goal of this project is to ensure that the deliveries put in place such as the time and the cost and how well they have met business goals. Just as any other, this project is conducted with a business aim to make profit. The other business goal in this case is to ensure that the project is accomplished at the right time and able to meet the demands of the customers.

3

Business Case

The project is expected to have good return on investment

The global movie industry has had healthy performance

The US movie industry had a revenue of $40 billion in 2019

The project involves famous superstar such as DiCaprio

This section focuses on a cost and benefits options to provide a rationale for the project. While the project is expected to cost $500,000, it is worth pursuing from a return on investment perspective. This decision is based on the movie industry’s significant growth over the past 5 years. According to Statista (2020), the global movie industry showed healthy performance and projections for the future prior to 2020. The worldwide box office revenue in 2019 amounted to more than $40 billion. Although the movie industry is very competitive, the inclusion of world renowned superstars such as Leonardo DiCaprio will boost the number of viewers or audience. Most importantly, the project is expected to take a short time frame of only 3 months.

Project Deliverables and Cost

Deliverable Cost Estimate
Pre-production $50,000
Production $200,000
Editing $50,000
DVD extras creation audio commentary $100,000
Excusive scenes $50,000
Post-edit $50,000

This project will undergo six phases of: pre-production, production, editing, creation of DVD extras and audio commentary, exclusive scenes, and post editing. The pre-production phase would involve planning activities and is estimated to cost $50,000. Ghiassi, Leo, and Moon (2015) indicate that production is the most expensive phase as it involves salaries of crew members and directors, as well as costs for scenes. This process is estimated to cost $200,000. Editing phase is expected to cost $50,000. DVD extra and audio commentary will cost $100,000. Exclusive scenes and post editing phases will cost $50,000 each. The cost for the project whole is estimated to be around $500000 since it will not be a more complicated project. In film production, the major sources of costs are the equipment used for production crew members (Mirza, Pourzolfaghar & Shahnazari, 2013). The service, in this case, is to entertain the people and also an educative movie.

5

Phases & Milestones

Phase Date of Finish Milestone
Pre-production 14 days
Production 40 days
Editing 7days
DVD extras creation audio commentary 14 days
Excusive scenes 5 days
Post-edit 7 Days

The project is expected to take approximately 3 months to be completed. It will require about two weeks to do the pre-production phase. The production phase is expected to take about 40 days because of the many activities involved. Editing phase will take 7 days while preparation of DVD extras and audio commentary will take 14 days. The exclusive scenes and post editing will take 5 days and 7 days, respectively. The project manager will be in charge of all operations taking place in the projects and will ensure that the timeframe pout in place is followed. I arrived at the estimation due to the fact that the project will be set in different locations. It will also incorporate a larger crew in that they will be allowed to participate after some time.

6

Limitations & Exclusions

This project does not address:

Project schedule management

Project quality management

Project human resource management

While this project discusses project schedule, project quality, and project human resource requirements, it does not focus on project schedule management, project quality management, and human resource management of project management. In essence, the project does not focus on establishing the policies, documentations, as well as procedures for planning, developing as well as executing the project schedule. In addition, it does not focus on establishing the policies, documentations, as well as procedures for planning, developing as well as executing the project quality. Lastly, focus on establishing the policies, documentations, as well as procedures for planning and managing human resources

7

Assumptions

It is assumed that:

Project owners will provide necessary resources for the project

Project members and crews will have the required knowledge

Project members and crews will collaborate with one another

Suppliers will deliver equipment in time

Equipment will be in good condition

The Project Management Institute (2017) define project assumptions as any project factor that does not require empirical proof to ascertain its reality or certainty. Just like other projects, the success of this project is based on five assumptions. First, it assumed that project owners will provide necessary resources for the project. It is assumed that all project members and crews will have the required knowledge and experience for project delivery. Thirdly, it is expected that all project members and crew members will collaborate with one another. The other assumption is that supplier will deliver equipment at the right time. Finally, it is assumed that all equipments will be in good condition.

Stakeholders & Communications

Who are Stakeholders What Information do they need When do they need it How will it be produced
Audience Entertaining and educative story whenever they are watching the movie Recruit qualified crew and production team
Project manager Effective delivery of project outcomes During movie production Recruit competent crew
Government Production of ethical content At the start, during, and after movie production Recruit competent staff
Project owners The project meets owners needs During and after movie production Frequent communication with project manager

In any project, there are internal and external stakeholders. Internal stakeholders include organizational owners, project managers, internal customers, and executive management. External stakeholders, on the other hand, include external customers, government, and suppliers (Watt, 2014). In this project, the internal stakeholders include project owners and project managers. The project owners will provide necessary resources to ensure successful completion of project deliverables. In return, the project manager will frequently update them about the project’s progress. Project managers will also ensure successful performance of project deliverables from the beginning to the end. The audience and government expect educative and entertaining content. The government also expects contents that promote moral behavior among viewers.

Project Procurement

Equipment, Materials, Services How acquired
Camera light Bought from reputable retailers
Light reflector Bought from reputable retailers
Lenses Bought from reputable retailers
Three point lighting Bought from reputable retailers
Headphones Bought from reputable retailers
Batteries Bought from reputable retailers

Procurement is the process of acquiring goods and services. Hence, project procurement concerns with activities aimed at obtaining all materials and services needed for a particular project. The project procurement function is always divided into four major functions-planning, selection, administration, as well as closing (PMI, 2017). The cost of the project whole is estimated around $5000000 since it will not be a more complicated project. The cost will be used in getting various equipment's such as: camera light, light reflector, lenses, three-point lighting, headphones, and extra batteries. The rest of the money will be used to hire staff and other equipment as well as the location where the movie will be showing.

11

Project Quality

Quality Issue How will you address it
Conflict among stakeholders Application of conflict management approaches
Harsh climatic condition Postpone production to a favorable day
Project manager’s ignorance Ensure the manager complies with quality requirements
Aggressive competition during recruitment Audit, check, and inspect candidates to enhance project quality
Harsh socio-economic condition Minimize project costs while assuring quality

The Project Management Body of Knowledge (2017) defines project quality as processes and activities that affect quality policies, objectives, as well as responsibilities so that a given project can satisfy its goals and objectives . The major quality concerns in this project include: conflict among project stakeholders such as film director and film producer, harsh climatic conditions that may affect movie production, and project manager’s ignorance as well as lack of knowledge. Other major quality concerns are aggressive competition during crew recruitment process and hash socio-economic condition. Various activities including verification of quality control compliance and quality assurance will help address the aforementioned quality concern issues.

12

Project Risks

Risk IxP=WV Risk Response
Scope risk Having concrete project goals
Cost risk Eliminate non-essential tasks
Time risk Evaluate project schedule on weekly basis
Resources risks Project owners to provide necessary resources

Project risks happen when unexpected events hit project deliverables, putting the project deadline at risk (Abdul-Rahman, Mohd-Rahim & Chen, 2012). The major risks worth considering for this project are scope risk, cost risks, time risks, and resources risks. Scope risks may arise due to roles that endanger project objectives, timeline, and/or deliverables. This can be avoided by having concrete goals as well as task dates for each task. Cost risks may arise if the project team fails to stay within the project budget. Project team must stay within budget by removing non-essential tasks. Time risk may occur due to poor project schedule while project risk may happen if the project owners fail to provide enough resources for successful project delivery. The project team must allocate enough time for each task to avoid time risks and evaluate project schedule on weekly basis. The project owners must provide necessary resources for successful project completion.

13

Success Criteria

The Project will be considered successful if:

Project milestones are met within the required time

Quality reviews show that milestones have met established standards

Stakeholders’ approve project deliverable

Actual costs do not exceed budgeted costs

The project manager will evaluate project success

An evaluation of four measures will help in determining if the project is a success or not. The four measures are project schedule, project cost, project quality, and shareholder satisfaction. With regards to project schedule, the project will be considered successful if project milestones are met within the required timeline. Concerning quality, the project will be considered successful if quality reviews indicate that milestones and deliverables have met the standards put in place in the project plan. Stakeholders’ perspectives are essential in project management. Hence, the project will be considered successful if stakeholders approve deliverables and milestones. Concerning cost, it is important to determine the project’s financial performance. The project will be considered successful if the actual costs do not exceed budgeted costs. The project manager will determine whether the project is successful or not.
