Week 1

Module 1 Additional Instructions and Corrections

Welcome to Week 1 of CIS-122L. During the next week you will cover the material in Module 1 – Getting Started with Excel in your textbook. You will also cover Customizing the Ribbon and Quick Access Toolbar in the notes below. Be sure you print out the assignment sheet for Week 1 from the Assignments page in Blackboard. (This is not the assignments sheet.)

Please note the following corrections and clarifications to the textbook in Module 1:

Page EX25 – In the second paragraph (“Changing Column Widths”), it says, “In general, this means that you can type eight characters in a cell…” No. You can see eight typed characters in a normal width cell. You can type up to 2000 characters in a cell.

Page EX29 – In step 2, the book says “Drag the bottom border down…” You might need to: “Drag the bottom border upward…”

Page EX35– Step #4 – Be careful of split buttons on the Ribbon. The Paste button has an upper half and a lower half. The upper half pastes normally with a single click. The lower half opens an array of other ways to paste. The same is true of the SUM button on page EX37, Step #2 with the slight difference that the split is between the left side and the right side. A third example occurs in step 2 on page EX46 for the Insert button.

Page EX51 – Step 3 – If the Welcome to Page Break Preview dialog box appeared, you need to click the OK button before you can complete step 4.

Customizing the Quick Access Toolbar

The Quick Access Toolbar, located on the left end of the Title Bar contains buttons that are always available, regardless of which tab is displayed. It contains three default buttons: Save image1.png or image2.png, Undo image3.png or image4.png, and Redo/Repeat image5.png or image6.png. However, it can be customized to add shortcuts for commands that you use frequently.

To move the Quick Access Toolbar:

· Click the Customize Quick Access Toolbar image7.png More button.

· In the list, click either Show Above the Ribbon or Show Below the Ribbon, as needed.

You may need to move it below the Ribbon if you add many commands (buttons) to the QAT so they will no longer need to share space with the document title. The toolbar will also be closer to the open workbook.

To add a button to the Quick Access Toolbar using its Drop-Down Menu:

· Click the More button image8.png at the right end of the Quick Access Toolbar.

· If the command you want is displayed in the list, click on it and the button will be added. The top commands all work as toggles, so clicking on them either adds to or removes the button from the Quick Access Toolbar.

OR

· If the command is not listed, click More Commands to display the Excel Options dialog box.

· The Choose Commands from list box at the top of the list will initially show Popular Commands. Click on the down arrow to the right of that box to display the different categories of commands. Click on the needed category.

· Find the command you want in the displayed list, click on it, and click the Add button. It will appear in the list on the right side of the dialog box.

· Click OK when you have selected all of the buttons you wish to add.

To add a button to the Quick Access Toolbar that is already on the Ribbon:

· Click on the tab that contains the command (button) that you wish to add.

· Right-click on the button and pick Add to Quick Access Toolbar.

To change the order of the buttons on the Quick Access Toolbar:

· Click on the More button image9.png to the right of the Quick Access Toolbar and select More Commands… The Excel Options dialog box displays.

· In the list on the right side of the dialog box, select the command you want to move and click the Move Up/Down arrows on the right edge of the dialog box to arrange the order of the buttons.

· Click OK when you have the buttons in the desired order.

To remove a button from the Quick Access Toolbar:

· Right-click on it and choose Remove from Quick Access Toolbar.
