Project documents include any documents that must be prepared and approved during a project. Here are a few examples: specifications, contracts with vendors, design documents, test plans, and paperwork that will be delivered to the client with the final product. Document-related activities should be parsed into smaller, more discrete activities when developing a project plan. These discrete activities are referred to as document implementation phases. The logical sequence of these phases is:

1. Preparation

2. Review

3. Update

4. Approval

5. Refresh.

Smaller size documents with little controversy may only the three phases: preparation, approval, and refresh. Documents that require all five phases are those that are considered critical or complex project documents. Project Planning is all about getting in control. Dividing a document-related activity into smaller activities helps you do just that. Expectations, requirements, resources, and risks should be obvious to all from the outset (ROSEKE, 2019).

Listed below are the nine (9) essential project documents:

1. Project Business Case

2. Project Charter

3. RACI Matrix

4. Work Breakdown Structure (WBS)

5. Risks and Issues Log

6. Project Communications Plan

7. Change Request Management

8. Project Schedule

9. Lessons Learned Register

The list of project documents is rather extensive, and basically includes all documents used on the project that are not part of the Project Management Plan. Here are some examples where project documents are utilized:

Document management is so important as it guides a project manager to understand the project context & expectations. Also, it helps to lay down a project plan to achieve deliverables. In fact, this document sets a direction for project manager and project team to sail through a project life cycle. Document management ensures that all documents are current and that distribution is timely. Document management is used by everyone throughout the project.
