The Branch manager Company.
Phoenix Advertising Company,
Roanoke Branch
Virginia.
Subject: Proposal to eradicating issues at Roanoke Branch.
Dear Sir,: Comment by Janet Das: Note that the proposal is for the executive team.
As the recently selected Human Resource Management Vice President of Phoenix Advertising. The President of Phoenix, Gregory S Forest, and I, discussed the problems at the Roanoke Branch owing to a lack of teamwork and oversight. Phoenix Advertising, based in Charlotte, North Carolina, with a diversity of customers spanning from banks, insurance companies, and local firms to hotels and stores, has been affected massively. The Roanoke branch has difficulties when it comes to meeting customer expectations owing to its frequent complaints about project quality. Comment by Janet Das: Incomplete sentence
This internal letter would thus outline current difficulties, problems that affect the company's overall performance, assign responsibilities to teams and provide details on reporting. This letter seeks to notify the executive crew of investigation to be conducted at the Roanoke branch of Phoenix Advertising whose is triggered as a result of numerous complaints from customers as well as personal-related issues. Thus, it’s an early preparation that the company issues will be investigated regarding policies and procedures. Comment by Janet Das: This section should contain your qualifications to prepare this proposal and summarize the general problem and the benefits of your plan.
Background. Comment by Janet Das: The Background section must persuade the executive team that a dire need exists. Summarize the field investigation of your chosen problem and describe the causes of that problem. Include specific numbers and percentages (facts and figures) with explanations to show how you determined each cause contributed to the problem. End this section with a bulleted list of the key phases (stages) you’ll develop in the proposal section to solve the causes. Phrase each stage as a key action goal.
After an intense discussion and deliberation, The President of Phoenix, Gregory S Forest and I, discussed the problems at the Roanoke Branch owing to a lack of teamwork and oversight. It's a shame because the branch was extremely successfully accomplished in the previous financial year and was essential to the organization's success, but things have changed now, and business performance is quite disappointed this year. Thus, I am selected to look after the problems in the sector, and I want to go to the branch immediately and be notified later by telephone call. All members of the branch must thus be attentive and perform their job correctly without delay.
The situation at the Roanoke Branch. Phoenix is experiencing difficulties inside its Roanoke branch. In the month prior, about four customers serviced by the phoenix advertising business expressed their worry about the poor job quality in the Virginia branch of Roanoke. The head of the business claims that he has seen the issue over the last three months. Approximately three graphic designers and four copywriters have chosen to withdraw due to the rejection of their contribution to ads. The contents of their work are also changed without their permission and participation. Absence of teamwork of the members is the core causes for the predicament facing the branch. Team-effort is an essential component for any success of any association.
Proposal?
Schedule Comment by Janet Das: In this section, you need to use a column format to shared the deadline/schedule for the implementation of each phase of your proposal.
The thorough study included a visit to the Roanoke office for a week and further research, including management in other branches, to examine how company policy is applied in different industries. Surveys of the agency's workers and management team members. Employees were also able to offer anonymous feedback through e-mail questionnaires. The findings of the survey were utilized to understand the morality of employees and business rules. Clients who complained were further approached to identify their source; existing customers were further contacted to see whether they felt that the company met their service standards. Be certain that the solutions offered will guarantee that Roanoke's branch complies quickly with all standards of the business.
As the VP of the HR. Department at Phoenix, the payment problems that impact the management of the Roanoke office need to be identified and notified. The issue with advertising projects resulted in the conflict involving account managers and content production teams that led to the agency being left by the account manager and art manager. There is, therefore, a decrease in productivity and morale standards of workers, which makes it necessary to develop rules that allow salaried employees to work overtime to recover lost income.
To acquire this policy, you, as an employee of the Roanoke Branch Head of Payroll, need to submit a payroll statement for the whole of the preceding year.
Issues identified from the investigation
· The Roanoke office's lack of knowledge of business rules has led to repeated misuse and the failure to follow appropriate procedures. Additional hours are not compensated to employees. There is no support for collaboration across departments or other agencies.
· Management at the Roanoke branch, in particular HR policies, does not implement corporate policies.
· Failure to comply with HR overtime rules means that the business may go wrong and cause legal issues.
· There is also no updated corporate policy information at the Roanoke branch. The Roanoke office contains only policy and procedural manuals from 2006. Employees are unfamiliar with current general rules, their contract material, and the overtime restrictions.
· The absence of overtime pay is a possible reason for the agency's future legal difficulties. The employment evaluations are not performed promptly, creating further problems with tenure staff and their pay. Employees feel overworked and undervalued, which leads to failure to achieve results, poor morale, and staff resignations and threats.
· The absence of appropriate communication channels has created serious difficulties inside the company, such as lack of protocol compliance, staff problems, customer problems, and management issues.
· The customer complaints damage the agency's reputation in the local market and make it more difficult to get new contracts. The agency takes on additional workloads to generate profits without taking into account the strain.
Staffing Comment by Janet Das: Mention the people who would be held responsible for the implementation of EACH phase of your proposal along with their qualifications.
All the design graphics will be required to engage in the creation of visuals and engage in making better designs to boost the advertising part of the company. This means the management will be obligated to motivate the three graphics by accepting their project and accepting their input. Furthermore, the copywriter would be encouraged by accepting their projects, which will prevent them from quitting their jobs. On the other, the supervisors have various responsibilities such.
· Set objectives and timelines for performance that meet the strategy and vision of the business and convey them to subordinates
· Organize workflows and ensure workers understand their jobs and objectives
· Monitor the productivity of employees and offer positive comments and guidance
· Complaints received and issues resolved
· Keep records of time and staff
· Transfer information from management to staff and vice versa
· Complete and deliver reports on performance
· Decide on performance-based reward and promotion
· Recruit and train new staff
· Ensure compliance with legal laws and corporate processes and take disciplinary measures when necessary
BudgeBudget. Comment by Janet Das: Your budget section must itemize the primary steps of your plan and list the cost involved in each phase.
In order to deal with and resolve this problem on time, managers in the Roanoke branch should submit their findings as quickly as feasible. It should take from 1 to 2 weeks to create sufficient reports and show how they should work together to deliver quality projects to minimize or fully resolve the concerns mentioned.
Request for Authorization . Comment by Janet Das: The Authorization section must suggest a time frame for the approval of your plan. Provide assurance that your proposal will achieve your goal. Summarize the problems at the Roanoke Branch and describe the benefits of your plan for Roanoke branch, their clients, and Phoenix Advertising as a whole.
Therefore, I am writing a letter to request authority to visit our verticity to carry investigation. In this regard, all the activities mentioned above will take place, and the aim will be to improve the situation at Roanoke. Thus, it's our humble request that we will get prepared and ready for the investigation.
Conclusion Comment by Janet Das: Not required
Different communication issues have arisen from the absence of updated rules in the Roanoke AgencyBranch. Managers' lack of knowledge of the present work schedule policy and pay has led to the departure of a part of the agency management team, poor morale, decreased performance and customer dissatisfaction, and desertion to work with competence. In simple words, workers in the industry feel overworked and underpaid, causing high turnover for employees and unhappy employees who indicated they want to leave their employment, which has impacted consumer satisfaction overall. If the present problems encountered in this sector were not resolved, they would seriously affect the agency and the business as a whole.
Sincerely: The Vice President of HR. Comment by Janet Das: Incorrect and improper signature block
