Ethics in Technical Communication
Ethics is very important when it comes to technical communication. Ethics is required to be able to communicate effectively and precisely to people and also in making them understand processes, procedures and even objects. A document meant for technical communication might correctly address its readers and even look very appealing, but without it being ethical, readers will not be allowed to make decisions that are best. Some of the ethical issues found in technical communication include accuracy, honesty, emphasis, and the creation of impression.
Technical writers are required to observe and to promote honesty. Information that they pass to others should be accurate and truthful. The technical writer should avoid omitting anything that would influence the perception of the people receiving the message. Overemphasis and underemphasis of facts with the intention of changing the perception of the audience should be avoided. Honesty also requires one to obtain permission before using another person’s work if they need to use it. Other principles of ethics such as professional and legal ethics are aided by honesty in technical communication. Honesty in general aims at promoting the public good of activities of professional communicators.
Accuracy is a unique requirement in technical communication. Messages that contain many mistakes of grammar and spelling might make one be appear lazy and unprofessional. Accuracy in technical communication has three main aspects which are technical, stylistic and document accuracy. Document accuracy requires one to have detailed coverage of topics. Stylistic accuracy deals with the way language used in expressing meaning. This means being able to structure paragraphs and sentences effectively. Technical accuracy deals with the writer’s vocabulary and the subject mastery and how they can shape their data with distortion that is very minimum.
The emphasis in technical communication is required as it assists people to access the information they need quickly. It should, however, not be used in excess. Overemphasis might change the perception of most readers than the way the message should have been interpreted. The emphasis should also not be used inconsistently as it might send the receivers of the information messages that are confusing and conflicting. Understanding one’s audience will significantly help in identifying what to emphasize. Emphasis on the wrong things might occur which is not in line with the writer’s needs. In technical writing, anything that will make something different from the rest of the text will function as a technique of emphasis for example use of highlights.
Technical communication requires one to create a good impression at first for information to be delivered correctly. Technical communicators should be able to communicate clearly and be concise on what they are talking about. Clear communication enables one to effectively pass a message as people can understand the message easily. Being concise brings out only the most important points which is useful as it avoids people attention from wandering when they get bored with too much information. A good impression will also be created if the information in documents used is correctly spelled, well organized and is interesting.
