I recently was chosen to be a human resource intern for a Camacho auto group. I have been assigned with the tasks of assisting with recruiting, on boarding and payroll. What I quickly discovered was my focus needed to be payroll. The first payroll I was pretty much just shadowing multiple managers and recording a task list for the whole payroll process. To me it was crazy to think that such a big organization didn’t fully have the payroll procedure all compiled in one location.

I was given a dated major steps list of different tasks that are required to be done before the pay period closes and then tasks that are required to be done after. The process in total took four days to complete. The umbrella company Camacho Auto group carries four separate entities within the organization and employees one hundred and forty employees. Immediately after seeing one payroll done I understood why the General manager wanted me to find a more efficient way of doing payroll to shorten the procedure.

My first ideas were to shorten down any paperwork that was not required. The company was issuing commission vouchers for salesman for any commissions/bonuses. I quickly looked to replace them, and my first thought was to create a spreadsheet on excel. I also was able to get into contact with their software provider to automate some reports that were required. But that’s when I started noticing not everyone was open to change.

I noticed one office manager was liking the idea of reducing the process and another was not fond to change. My first run at a payroll I was behind schedule the second day into the auditing, I was experiencing issues due to both office managers. The used car office manager stated she had finished all the deals that merited commission, the new car office manager failed to receive all the deals and stated that she was always being sabotaged by the used car office manager. Communication between the two office managers is almost non-existent, another observation I found odd especially since they have both been there ten years plus.

After completing my first payroll, I later discovered that the billing and auditing between the two offices had been behind three months. I know I am not there to be nosey but if they are working interdependently communication needs to be made.
