General instructions Submissions
Submit your completed assignment via the Turnitin function on the ENGG 123 UR
Courses site (the assignments section) on or prior to the due date and time. Your
submission should be in one Microsoft Office Word file. You must complete three tasks each of which requires you to produce a business related
message that is appropriate for the given cases. If you use an email for any of your
messages, you must include all of the component parts of the email, e.g. date, from, to,
subject etc.. If you employ a face to face message or phone call, provide the script for
that message. If you use a hard copy letter, provide the appropriate sender and recipient
information. Notes to instructor
For each task, start with the sub heading “Note to Instructor,” followed by an indication
of the format (email, face to face, letter, …) you are using and the reason for choosing that
specific format. Besides, if you have chosen a specific frame for each of the tasks, clearly
explain the reason behind your choice.
The scenario For this assignment, assume that you are a professional engineer who specializes in the
bridge construction. You have recently presented the plans and cost estimates for a new
bridge construction in the City of Regina, Saskatchewan. Your principal contact regarding
the project is the City Administrator, Ms Jane Bast. For any details such as your email
address, the name of your firm, the City’s email address, etc. you can make up
imaginary information to include with your messages when necessary. Task 1
For this task you need to compose an email to the City Administrator, to ask for the key
considerations and requirements from the city council about your proposed project
(requirements such as design, budget, safety, etc.).
You will need to decide about the appropriate frame for the body of your email, and how
far you want to go in explaining the reasons for your request. For the business related
emails you should not exceed for more than one page.

Task 2 The City Administrator has responded to the email you sent in relation to Task 1. Based
on her response, the councilors’ principal concern is that the cost of the project will put
the City in a deficit budget situation, which may not be allowed by the Provincial
Municipal Board. Your firm has a financial statement that describes the various financing
arrangements that some of your previous municipal customers have made, which avoid
coming into conflict with the municipal board.
Your task is to write an email providing this information and to indicate that you are
prepared to give a presentation to Council to further explain the process and answer their
concerns. Task 3
In this task, you are given with the fact that the City Administrator’s mother has passed
away. Your task is to determine how your firm should respond to this tragedy. Would you
send an email, a card, flowers, a letter, all of the above? Should you attend the funeral?
Explain in few sentences about your choice and produce a copy of your message based on
the format you choose.
