Introduction
A team can be defined as a group of two or more people that share a common goal (Ahmed, Siantonas & Siantonas 2017). Most companies organize their employees in teams to improve productivity and adopt new perspectives that enhance sustainable growth. For instance, teachers frequently arrange their students into teams to discuss assignments and any other classwork. The result is a more effective and informed group of students. Effective teamwork, therefore, invariably out-performs individuals (Bannister, Wickenheiser & Keegan 2014). When a group of people put their collective input in solving a problem, the result is a more creative and flexible solution than in the case of an individual. This report aims at discussing specific, insightful findings about teamwork and the significance of teams in a communication field, e.g. business, journalism, teaching among others.
Effective Team
Teams are organized together to work interdependently or cooperatively to improve quality, complete projects and to enhance efficiency (Bannister, Wickenheiser & Keegan 2014). Every individual or member of a team brings unique skills and talents that positively impacts on the success of a group. A team is created to serve both short-term and long-term goals. In business, short-term teams can include a team tasked to tackle a specific customer problem or complaint; a group that is planning an annual company’s party or retreat or a team developing an employee onboarding process. Effective teams offer alternative to vertical-chains of command and are the more inclusive approach for spearheading organizations’ goals and objectives. In a team, the participants not only share information but also share the responsibility of the outcome for the team’s work.
Characteristics of Effective Teams
According to Wheelan (2014), not every team succeeds to achieve its desired objectives. A team that spends too much time debating decisions is likely to fail. Likewise, a team that is constituted of lazy members is a farce or ineffective. Effective teams have the following characteristics; Open communication; there must be a communication pattern amongst all members of the team. Individuals in a team should welcome diverse views and encourage open and honest discussions. Members having different views is inevitable, but it is prudent that every member’s idea is put into perspective before arriving at the final decision. Still, on communication, it is good that groups frequently meet to evaluate and discuss the status of the tasks assigned to them. Secondly, an effective team has clearly defined goals and purpose (Ahmed, Siantonas & Siantonas 2017). Every team member must ensure that they are aware of their roles in meeting the teams’ objective. Goals set the success and target of the teams. Thirdly, leadership to guide members through the teams’ project. The leadership is expected to be motivative- leaders set agenda and schedule team meetings. Fourth, performance review; Members use team meetings as an opportunity to evaluate their performance. A performance review provides an opportunity for correcting errors and maybe change course if need be (Bannister, Wickenheiser & Keegan 2014). Fifth, fairness in decision making; an ideal team makes decisions by consensus. Regarding creativity, originality of thoughts and ideas is a plus. Accountability involves timely completion of tasks by team members.
Effective communication Skills
Effective communication skills are integral to the success of a team in every field i.e. it maintains a positive working environment. In business, a positive workplace, implies positive interactions amongst workers, employees, customers and the public. An effective communication is enhanced by leaders setting clear expectations, methods and standards, that include sales goals, customer service requirements, and employee’s conduct. Clarity in communicating goals and expectations automatically minimizes or mitigates confusions that may arise amongst team members. Effective communication enhances collaboration amongst team members. The initiative to communicate well, therefore, rests upon every member of a team. Communication within a team and from its leadership impacts on teamwork. The communication skills needed in any field of work include; listening skills – A good speaker is also a good listener. Listening to what others say is crucial in enhancing effective communication and understanding. Communicating effectively also means taking note of others’ opinions and ideas. Good listening skills provides ways in which a team can speak to leaders – by creating open-door policies to address leaders. A leader or speaker must not interrupt or talk over other people as that can cause misunderstandings. Positive listening skills require taking into consideration the feedback from others and making the necessary adjustments that would make everyone feel part of the group or team. Secondly, consistency – say what you mean! For instance, a company must adhere to its set communication tools and policies. Teams members respond positively where there is clarity and consistency in company’s expectations and goals. Leaders must consistently follow the laid communication guidelines to encourage team members. For instance, suppose a policy prohibits members from sending emails from an insecure public location, say a coffee house. If a sale manage visits the coffee shop and send any sensitive email to staffs or customers, then the same standards must apply to other sales team members in the organization. An effective communication skill starts with the top leadership setting clear and consistent example. Team members will always mimic or imitate what their leaders do. Teams can only be strengthened when individuals are empowered to express their ideas openly, respectfully and with no fear. There is need for team buildings for team members to interact and know each other well. Team building promotes respect amongst teammates and helps in celebrating the unique qualities that inspire greatness to the team.
Conclusion
Effective teams enhance the productivity and performance of an organization. However, improving teams’ performance requires individuals’ commitment, conviction and strong leadership (Wheelan 2014). The first step to enhancing group performance is researching the qualities of previous or current high performing teams. It involves finding out what they do differently and how it will be of value to your team. The next step is laying out a process which are then presented to the team for further discussions. The team then settles on the specific guidelines and changes to implement for effective team performance (Bannister, Wickenheiser & Keegan 2014). The team is inspired through open communications, team buildings, creative thinking, honesty and above all an honest and supportive leadership. Lack of amongst team members ultimately cripples the group's projects. Therefore, to achieve long-term success, there must be increased collaboration and confidence building on each member.
