Introduction
The Real Club de Tennis Barcelona is a globally recognized facility that attracts guests across the world. There is a need to set the event at a time when people have less engagements such as during festivities. Based on these, the proposed date for the event is 15th to 20th December 2022 with 20th December 2022 being the main anniversary date. Therefore, there is a need to ensure any event on the facility meets the highest possible standards that can be met in enhancing the efficiency of the facility in hosting the tournament. In planning for the special events marking the 125th anniversary, there has to be set objectives which are to be met in relation to organizing for the event. The main goal is to maximize customer experience or ensure the participants of the event enjoys attending the event and engaging in all of the activities in the facility. In attaining the goal, a comprehensive plan is developed in this paper in relation to the preparation of the facility as well as other support systems that aim at supporting the guest’ stay during the event.
Discussion
Stakeholder analysis
There are different stakeholders who will participate in the preparation and in ensuring the event is successful. Each of the stakeholder has a distinct objective towards the event and the objective will be met through specific activities. The following are the main stakeholders who will be involved in the event organization and preparation. The stakeholders will be selected based on their level of expertise and understanding in relation to specific activities of the event. Also, some of the stakeholders will be vetted based on their familiarity with Real Club de Tennis Barcelona as they can give better insight in relation to the preparations for a successful event.
Project manager
This is the senior most member of event preparation team. This is because the project manager has the objective of ensuring the entire event is successful from the preparation stage all the way to the completion of the project or event. The job of an event project manager is to oversee the creation and execution of a certain event. The event project manager uses this data to create proposals and concepts that they can then submit to the customer. An event project manager is critical to the success of a given event. As part of the planning process, the event project manager works with clients to set an overall budget and also category-specific budgets for various aspects of the event, such as food and venue rental. To keep a project on budget, the event's project manager is constantly looking for ways to reduce costs or reallocate funds (Puska, 2020).
Event planner
This individual will be selected based on expertise and competence in event activities and necessary processes needed in preparing for an event. When it comes to organizing events, event planners are in charge of everything from brainstorming theme ideas to arranging budgets and securing locations. The job of an event planner is to make sure that spectacular events are planned, managed, and organized in the most efficient and cost-effective manner possible. Job responsibilities include identifying target audiences and organizing events at appropriate times and locations. Aside from working with customers in the public, commercial sector as well as the non-profit sector, event planners are typically engaged by event management businesses. In order to meet their clients' needs and produce the greatest events, they communicate with them to learn about their individual requirements and deliver the best exhibitions and fairs (AlSondos et al, 2019).
Event finance manager
The objective of this stakeholder is to ensure the event preparation process is well funded and financial resources allocated efficiently to all the activities. Event manager financial training programs, budgeting, standardization, and logistics are all under the purview of this function. Additionally, this position is responsible for managing budget and accounting form standardization, online training through webinars or video tutorials, and event budgeting that is on track.
Project team support staff
An additional five individuals will be selected to support in the preparation of the team. The objective of the support staff is to support in preparation activities in ensuring the event is successful. The individuals will be assigned different roles but the specific roles will be alternated depending with the prevailing task or need.
Organization and distribution
Organization of the venue
The venue will be organized into different sections to support smooth flow of activities during the event. This will be done in accordance with the universal standards of tennis court. Although there are sections already developed in the facility, an improvement will be done by making some renovations to enhance clarity in division of the outlined sections.
One of the sections is the playing space. The main aim is to engage all occupants in the facility. For this reason, each game will take place at a specific time and there will be no simultaneous events to prevent diversion of attention as occupants and visitors chose some of the matches over the others. There will be several tasks and activities in preparation of the event.
Tennis must be played on a rectangular, flat surface in order to be considered an official sport around the world. While the length of the court is 78 feet (23.77 meters), the width is only 8.2 meters for singles matches and 11 meters for doubles games. A larger area around the court is needed so that players may reach overrun balls. The court is divided into two equal halves by a net that runs parallel to the baselines and spans the entire width of the court. No more than 0.8 cm (13 in) in diameter can be used to support it. There are two heights to the net: one at the poles and one in the middle. 3 feet (0.91 m) outside the doubles court on either side or, for a single net, 3 feet (0.91 m) outside of the singles court. Basketball courts have baselines (the farthest back) and service lines, which delineate their widths (middle of the court). The outer lines that make up the length are known as the double sidelines; they serve as the boundaries for doubles matches. The singles sidelines are the lines inside the double sidelines, and they serve as the limits for singles play. During doubles play, doubles alley is the region between the doubles sideline and the closest singles sideline that is playable. Since the serve must be given in a region between service line and net, it is referred to as service line (Van et al, 2019).
The second section is the changing space where the players and participants will change their attires or refresh after engaging in a match. Tents will be used in this section and some ice cream storage boxes packed to ensure the players can enjoy their break before engaging in the fame. The section will also be used as a first aid space where injured players can receive their first aid care.
The third section is the viewers section where commentators and guests will stay during the event. The section will be easily accessible to allow guests to easily find spaces to sit and move around without displacing others. In accessing this section, safety standards and protocols such as pocket and body scans will be done to ensure there is no potential threat of attack from a perpetrator.
The fourth section or area is the enquiry bay or the reception. This is where visitors will make enquiries and seek assistance for any concern they may have. Among the issues that will be handled at this section include booking for accommodation and travel, making suggestions and enquiring for directions.
Distribution of activities
One of the tasks to be undertaken involve installing windscreens in the facility. The windscreen on the fences is the most obvious decision when it comes to getting the facility ready for visitors and players. All major tennis facilities should have windscreens in order to enhance the aesthetics of their facilities while also ensuring that the courts remain functional by blocking out wind and providing a backdrop for the tennis ball when it is in play. The guests will be impressed even more if the event organizers include the club or facility's logo. However, no one will be impressed by fading or tattered windscreen components, so make sure to examine the screens ahead of time.
Net logos are a secondary consideration in the planning stage. The Real Club de Tennis Barcelona logo will look great displayed as a net logo. With this set of four windshield panels, the event organizing team can put any name or brand you want on the tennis net. To top it all off, as they are affixed with adhesive, these emblems may be effortlessly removed and kept till they are needed once more.
There are also court water removers that will be installed in the facility. Court water removers may help in getting the courts back into playable condition as quickly as possible. For both hard and clay courts, there are water-removal options available, making these a must-have at any site.
There is also a necessity for the facility to have court accessories. Guests and players alike will be impressed by the facility's court accessories, as well. Having a Court Caddy on every court and lots of benches for spectators and players to sit on is a must. The event organizing team will ensure the right scorekeepers on each court for the next matches. In order to ensure a successful tournament or event, it is important to replace worn or broken court equipment. If this is the case, then new units or replacement parts will need to be purchased. These small details are necessary in that the event will be documented through filming it lives and broadcasting it later (Kersulić et al, 2020, p.7743).
Areas and departments
There are three main departments engaged in preparation of this event: logistics, field events and hospitality. Each of the three departments has a distinct role in preparation of the event and in ensuring the event is a success. The logistic department is in charge of making plans and ensuring all the activities and processes are done efficiently. It entails the finance section, the planning and quality assurance section and the overall project management. All the management functions are executed in the logistic department. The second department deals with what will be talking place in the field. This include assessing the individuals participating in competition and ensuring the players are available and well prepared. Th third department is hospitality whose main focus is to ensure there are travel and accommodation services.

Travel and accommodation
Arrangements will be made with specific travel agents and hotels to provide accommodations for the visitors. In ensuring the booking process is easier, the event preparation team will work in close association with the hotel and travel guides in ensuring guests can access safe accommodations and travel plans through contacting the facility’s management without having to contact the hotels directly. This is aimed at making it easier for visitors to access travel and accommodation.
Competition
Each of the three groups of players will compete against the other. This means at first, there will be six games to ensure all the players engage in the event. After completion of the first round, the winners will be ranked based on the group that won all the other teams. This team will be rewarded with each of the player receiving a gift and a medal indicating 125th anniversary event. The second team will also be rewarded a lower price while the third team will receive the least price.
Sustainability
In ensuring there is sustainability, there will be the use of solar as source of energy to support lighting of the facility during the night Also, part of the collected fee will be used in supporting environmental projects in the facility such as repairing the drainage system to ensure waste from the facility is cleaned before being released outside the facility. Also, occupants will be required to deposit waste in dustbins spread across the facility.
Conclusion
There is a need to ensure the 125th anniversary at the Real Club de Tennis Barcelona is successful and leaves memorable moments among the participants. This is the reason there is a need to ensure the plan is effective in meeting the needs of the target participants of the events.
