Communication Plan

Thanks for all of your great work so far. Before we move much further, I’d like to tie up another potential loose end with the new motivational team. As you know, we’ve never tried to run a team like this, virtually all virtual. There’s a lot of excitement for the new approach, but also some concern about having team members spread out across our locations.

To alleviate some of those concerns, I’d like you to start putting together a communication plan to explain how you’ll be working—covering both how the team will work internally, and how it’ll interact with other members of the organization.

I've pulled a list of software all employees have access to, but if there are tools we don't use that you think this team should be using, feel free to call those out.

CapraTek Internal Communication Resource Inventory

Communication Software Available to CapraTek Employees

· MS Outlook (e-mail).

· SharePoint (structured internal communication, file storage).

· MS Project (project management).

· Skype for Business (video conferencing, alternate IM).

· Windows Remote Assistance (desktop sharing/access).

Standard Communication Equipment, CapraTek Conference Rooms (All Sites)

· Cisco VOIP phone with speakerphone capability.

· Video screen (min. 42”) connected to Networked PC, with standard CapraTek software as above.

· Webcam connected to PC.

Minimum System Requirements for Remote CapraTek Employees

· Reliable Internet connection, minimum 8 MB/s.

· SSL VPN.

· Windows 7 or newer.

· 2.2 GHz processor, 4 GB RAM, ATI Radeon HD 2400 XT (or better) video card.

· Webcam and microphone.

· Antivirus software from CapraTek approved list.

· Software installed as above.
