General Guidelines
1. feasible (can this be done?) detailed (how do I explain this?) reasonable (does this make sense?)
2. Formatting is crucial (table or chart, clear, descriptive headings)
3. Some grants require justification. After your chart or table, provide short paragraphs for each main category of expense explaining how you came to these figures.
4. Round up to whole numbers and always use US dollars
5. Some under/over is expected, but too much on either side says you don’t know what you’re talking about.
Major Areas of Expensive:
1. Personnel (generally 80% of your budget)
First, check what others have done. Google is your friend.
Example: average lab assistant hourly pay is between $16 and $21
Average psychologist hourly pay is between $36-$46
Average academic researcher hourly pay is between $23 and
$31, depending on experience and level of education.
Fringe benefits (social security, medicare, etc.) should be between 25% and 33% of
their total wages.
2. Travel (a heavily scrutinized item)
Plane ticket costs
Hotels/camping
Food allowance
Money/per driving
They may ask you to show calculation for all of this.
Some will even pay for visas if you are going for international travel
3. Equipment and Supplies
NSF will not fund office equipment
Include specifications (make and model numbers)
This can be broken into subcategories (office, educational, training, computer)
*In-kind contributions (donations) can be used as matching funds
